Automating Student Attendance with n8n: A Practical Workflow Using Google Sheets and Email OTP

Managing student attendance manually can become time-consuming when multiple classes, student records, and verification steps are involved. Workflow automation can help reduce repetitive tasks and make attendance records easier to maintain.

In this tutorial, we'll explore how to design a student attendance workflow using n8n, Google Sheets, and email-based one-time password (OTP) verification.

If you're building a complete implementation, you can also refer to my detailed guide on [automating student attendance with n8n, Google Sheets, and Email OTP verification](https://aftabalamai.com/blogs/a_

_utomate-student-attendance-with-n8n-google-sheets-and-email-otp-verification).

 What Are We Building?

The goal is to create a workflow in which a student requests attendance verification, receives an OTP by email, and proceeds through a verification process before an attendance record is saved.

The main components are:

n8n: Connects the different steps and controls the workflow.

Google Sheets: Stores student information and attendance records.

Email service: Delivers the OTP to the student's registered email address.

OTP verification logic: Checks whether the submitted code is valid and has not expired.

 Understanding the Workflow Architecture

A typical implementation can follow this sequence:

A student initiates an attendance request.

The workflow identifies the student and retrieves the relevant information.

The system generates a time-limited OTP.

An email node sends the OTP to the registered email address.

The student submits the OTP through a verification interface.

The backend or workflow validates the code and its expiry.

If verification succeeds, the attendance record is written to Google Sheets.

The student receives a success or failure response.

The exact implementation depends on how the student interface, verification endpoint, and storage are configured.

 Step 1: Prepare Google Sheets

Create separate sheets or clearly separated tables for student records and attendance.

A student record might contain:

Field

Purpose

student_id

Unique student identifier

student_name

Student's name

registered_email

Email used for verification

status

Whether the student is active

An attendance record might contain:

Field

Purpose

student_id

Identifies the student

attendance_date

Date of the attendance request

verified_at

Time verification succeeded

attendance_status

Present or another defined status

Use a stable student identifier rather than relying only on names, which may not be unique.

Step 2: Build the Workflow in n8n

Start with a suitable trigger, such as a Webhook node or another request mechanism supported by your application.

A possible workflow structure is:

Trigger → Validate Student → Generate OTP → Send Email → Verify OTP → Record Attendance

This is a conceptual structure rather than an exported, ready-to-import workflow. The verification stage may need a separate request or workflow because the student submits the OTP after receiving the email.

Step 3: Generate and Send the OTP

Generate a cryptographically secure random code, set a short expiry period, and associate the code with the relevant student and attendance request.

The email should explain why the student received the code and when it expires.

For a production implementation:

Never accept a student ID or email address as proof of identity by itself.

Rate-limit OTP requests and verification attempts.

Avoid logging OTP values in execution logs.

Store a hash of the OTP when practical.

Invalidate the code after successful verification.

Prevent replay and duplicate attendance submissions.

Step 4: Verify Before Recording Attendance

The verification step must validate the submitted OTP on the server side. A successful email send is not proof that the student completed verification.

Only after verification succeeds should the system create an attendance record.

Also consider duplicate submissions, concurrent requests, expired codes, and repeated attempts. Google Sheets can work for a prototype, but a transactional database is usually more appropriate when attendance integrity and concurrency become important.

 Step 5: Test the Workflow

Test both successful and unsuccessful cases before using the workflow with real students.

Useful test scenarios include:

Valid OTP submitted before expiry.

Incorrect OTP.

Expired OTP.

Repeated OTP submission.

Repeated attendance request for the same student and date.

Email delivery failure.

Google Sheets update failure.

Multiple simultaneous requests.

Verify that failed checks never create a valid attendance record.

 Final Thoughts

Combining n8n, Google Sheets, and email verification is a useful way to learn workflow automation and integrate different services without writing every integration from scratch.

For production use, pay particular attention to identity verification, OTP security, duplicate prevention, access control, and reliable record storage.

Continue with the full implementation guide: Automate Student Attendance with n8n, Google Sheets and Email OTP Verification
