  Why Your Cold Emails Are Landing in Spam (And How to Fix It)

&lt;p&gt;You've written the perfect cold email. Strong subject line. Personalized opener. Clear CTA.&lt;/p&gt;

&lt;p&gt;And then... nothing. No reply. No bounce. No open.&lt;/p&gt;

&lt;p&gt;The harsh truth: if your emails aren't landing in the inbox, nothing else matters.&lt;/p&gt;

&lt;p&gt;Deliverability isn't a technical footnote. It's the foundation. This checklist is the same one used by outbound agencies generating 12%+ average reply rates. I've broken it into four sections so you can work through it systematically.&lt;/p&gt;

  📧 Part 1: Email Content Rules

&lt;p&gt;These are the most common reasons cold emails get flagged — and they're all avoidable.&lt;/p&gt;

&lt;strong&gt;Emojis: 0–2 maximum&lt;/strong&gt; — one well-placed emoji can boost open rates; five screams "newsletter"&lt;/li&gt;

&lt;strong&gt;Grammar and spelling checked&lt;/strong&gt; — bots flag bad grammar as a spam signal&lt;/li&gt;

&lt;strong&gt;"RE:" or "FW:" prefix when you didn't actually reply or forward&lt;/strong&gt; — this is deceptive and immediate spam territory&lt;/li&gt;
&lt;li&gt;
&lt;strong&gt;ALL CAPS in subject or body&lt;/strong&gt; — same reason as above&lt;/li&gt;
&lt;li&gt;
&lt;strong&gt;Words like FREE, URGENT, LIMITED TIME in subject&lt;/strong&gt; — 2026 spam filters are trained to punish these&lt;/li&gt;
&lt;li&gt;
&lt;strong&gt;Dollar/euro amounts in subject lines&lt;/strong&gt; — especially common in discount spam&lt;/li&gt;
&lt;li&gt;
&lt;strong&gt;Excessive punctuation (!!! ???)&lt;/strong&gt; — one question mark is fine. Three is not.&lt;/li&gt;
&lt;li&gt;
&lt;strong&gt;URL shorteners (bit.ly, tinyurl)&lt;/strong&gt; — these are heavily associated with spam&lt;/li&gt;
&lt;li&gt;
&lt;strong&gt;Attachments in cold emails&lt;/strong&gt; — unless specifically requested, attachments = spam&lt;/li&gt;
&lt;li&gt;
&lt;strong&gt;Image-only email body&lt;/strong&gt; — text + image is fine. Image only, with no body text, is a spam trap&lt;/li&gt;
&lt;li&gt;
&lt;strong&gt;"Click here" or "buy now" language&lt;/strong&gt; — cold emails should educate, not sell aggressively&lt;/li&gt;
&lt;li&gt;
&lt;strong&gt;Links to recently registered domains&lt;/strong&gt; — your tracking domain should be at least 30 days old&lt;/li&gt;

  🖥️ Part 2: Sending Infrastructure

&lt;p&gt;This is where most early-stage founders cut corners — and it's the fastest way to get your domain burned.&lt;/p&gt;

  ✅ Domain Setup (Do This Before You Send Anything)
&lt;/h3&gt;

&lt;ul&gt;
&lt;li&gt;
&lt;strong&gt;Use a dedicated sending domain&lt;/strong&gt; — not your primary company domain, not Gmail. A subdomain like &lt;code&gt;outreach.yourdomain.com&lt;/code&gt; that you control&lt;/li&gt;
&lt;li&gt;
&lt;strong&gt;Domain age: at least 30 days old before sending volume&lt;/strong&gt; — new domains are automatically higher risk&lt;/li&gt;
&lt;li&gt;
&lt;strong&gt;SPF record configured and published&lt;/strong&gt; — this tells receiving servers which mail servers are authorized to send for your domain&lt;/li&gt;
&lt;li&gt;
&lt;strong&gt;DKIM signature configured and active&lt;/strong&gt; — cryptographically signs your emails so receivers can verify they came from you&lt;/li&gt;
&lt;li&gt;
&lt;strong&gt;DMARC record set (p=quarantine minimum)&lt;/strong&gt; — prevents others from spoofing your domain. &lt;code&gt;p=none&lt;/code&gt; is not protection; start with &lt;code&gt;p=quarantine&lt;/code&gt;

&lt;strong&gt;Custom tracking domain&lt;/strong&gt; — never use a shared tracking domain. Your deliverability is only as good as your worst neighbor&lt;/li&gt;

&lt;strong&gt;What we do&lt;/strong&gt; — 1 sentence. No features, only outcomes.&lt;/li&gt;

&lt;strong&gt;Social proof&lt;/strong&gt; — 1 sentence with a number if possible.&lt;/li&gt;
&lt;li&gt;
&lt;strong&gt;Soft CTA&lt;/strong&gt; — Question, not a request. Low-pressure.&lt;/li&gt;
&lt;/ol&gt;

&lt;p&gt;&lt;strong&gt;Total:&lt;/strong&gt; Under 120 words. Short enough to read on mobile. No fluff.&lt;/p&gt;

  Follow-Up Sequences
&lt;/h2&gt;

&lt;p&gt;80% of your replies will come from follow-up emails, not the first send. Most founders give up after email 1.&lt;/p&gt;

&lt;li&gt;Warm up your sending domain for 2 weeks before any serious volume&lt;/li&gt;
&lt;li&gt;Keep bounce rate under 3% — remove hard bounces immediately&lt;/li&gt;
&lt;li&gt;No attachments in cold emails (instant spam trigger)&lt;/li&gt;
&lt;li&gt;Send at natural times — vary by ±15 minutes daily&lt;/li&gt;
&lt;li&gt;Use 2–3 from-names in rotation (not just your name)&lt;/li&gt;
&lt;li&gt;Test at &lt;strong&gt;mail-tester.com&lt;/strong&gt; before any campaign send&lt;/li&gt;
