Why We Ditched Zapier and Built Our Own Automation Tool ( Qvista ) in Python

We kept hitting roadblocks with tools like Zapier, Make, and others — especially when it came to flexibility, deeper logic, and cost scaling.

So we built our own automation system for our SaaS dashboard Qvista.io.

It supports:

API-based workflows

Webhook listeners

Custom logic per client

Better caching + export features

and most importantly — full control

We didn’t plan to build a full tool at first — we just wanted to automate our own internal reports. But now, it’s running most of our data workflows.

Still evolving it, but the results are exciting.

How I found a Smarter Way to Automate my Workflows with Webhooks

A few months ago, I built a small internal dashboard that needed to stay in sync with Stripe transactions. My first instinct? Set up a cron job to ping Stripe's API every few minutes.

It worked—until it didn’t.

The lag, the unnecessary API calls, and the overhead of managing those scripts started piling up. That’s when I revisited something I had underestimated before: webhooks.

I replaced my polling logic with a single webhook. The moment a payment happened, Stripe sent the data straight to my server. No waiting. No wasted calls. Just instant updates and a clean pipeline.

Since then, I’ve started building webhook-first. Whether it’s Slack alerts, email triggers, or database updates—webhooks make automation feel instant and effortless.

I'm Soniya, and I work with a small team at Rimik Technologies. We recently started BuildWithSaaS to share what we do and connect with developers and founders here on Dev.
