An estimate, a quote, and an invoice are three different pieces of paper. Mixing them up is how a client thinks they already owe you, or thinks a firm price is still a guess.

 When to use which

Document

When you send it

What the total means

Estimate

Before the job starts

A price that can still change

Quote

When you want a yes or no on a defined scope

The firm price for that scope

Invoice

After the work is done

The amount due, with a due date

Receipt

After they pay

The amount paid, and how

A quote in this sense is a business quotation. It is not a generator of famous sayings.

On the PDF itself, the title should match the job. An estimate should not say INVOICE. A receipt should not show a due date.

What to put on the page

For an estimate: who you are, who it is prepared for, a job name, a number, the date, a valid-until date, line items, tax if you charge it, and a short scope note.

For a quotation: the same parties and lines, plus a reference if they sent an RFQ, and a valid-until date. The total is the quoted total.

For an invoice: Bill to, a number, the invoice date, a due date, an optional PO number, the lines, and payment terms. The total is the amount due.

You still send the file yourself. A generator does not file your taxes and should not pretend to.

 A no-signup option

[free estimate maker]

Bill to PDF is a form for those four documents. You can download a PDF without an account. Free files include a small “Made with billtopdf.com” line. The draft you are typing stays in the browser; Download PDF asks the server for an A4 file. It will not email the client for you.

Other places people start: [invoice-generator.com] and Invoice Simple’s estimate maker. Open the live form and see what the PDF title says before you send it to a client.
