Originally published at https://deskline-pricing-calc.pages.dev/guide/freelance-day-rate-from-hourly/.

Freelance day rate vs project rate: convert from hourly without guessing

You already have an hourly number — or you can get one by working backward from take-home. The next mistake is quoting that hourly to every buyer, then wondering why a “small project” ate three unpaid revision rounds.

Most clients don’t buy hours. They buy a day of your attention, or a finished thing. Your job is to convert hourly into those shapes on purpose, with the unpaid work still in the number.

This is a method, not a promise that anyone will pay it. Not tax, legal, or financial advice. Estimates only.

If you don’t have an hourly yet, start here: How to set a freelance hourly rate from take-home. Then come back.

Keep one planning hourly; sell the shape the buyer buys

Write down a planning hourly you can defend. Use it internally. Then pick the quote shape:

Hourly — small, fuzzy scope; you need a cap or a check-in.

Day rate — dense work, workshops, on-site-ish blocks, “can you take Tuesday.”

Project / package — a defined deliverable. This is what most async buyers actually purchase.

Same math underneath. Different wrapper so you don’t accidentally give away meetings, context-switching, and revisions.

Day rate = hourly × a real day (not a fantasy 10-hour slog)

Pick how many billable hours you treat as one day. Common planning range is 6–8. Use 6 if you context-switch a lot or the work is heavy. Use 8 only if you truly ship eight focused hours.

Day rate ≈ planning hourly × hours in your day

Stick to that definition in proposals. If a “day” quietly becomes ten hours plus Slack, you didn’t raise your rate — you cut it.

 Worked example (illustrative only)

Round numbers, made up for clarity. Not a market recommendation.

Planning hourly: $100/hour

Hours in a day: 7

Day rate ≈ $100 × 7 = $700/day

A half-day, if you offer one, is not automatically $350. Switching into the work still costs you. Many people price a half-day closer to 60–70% of the day rate so a “quick block” doesn’t wreck the calendar. That’s a policy choice, not a law.

If the buyer wants two days on-site plus a recap doc, count the recap hours too — or fold them into the second day. Don’t leave them off the quote and hope.

Project rate = hours you will actually spend, including the ugly ones

A project fee is still hourly math. The difference is you estimate the whole job before you send the number.

Include:

Core production (the obvious hours).

Meetings / async (kickoff, feedback, handoff).

Revisions you will actually allow (one round? two?).

Buffer for the unknown — 15–25% is a common planning band; use yours.

Then:

Project fee ≈ planning hourly × (core + meetings + revisions + buffer hours)

Round to a number you can say in a sentence. Optionally show Good / Better / Best as hour bands, not fake “value.”

 Worked example (illustrative only)

Same $100/hour. A landing-page rewrite, not a real client.

Core drafting / edits: 10 hours

Kickoff + two feedback loops: 3 hours

One revision round: 2 hours

Buffer (~20% of 15): 3 hours

Total planning hours: 18

Project fee ≈ $100 × 18 = $1,800

If you quoted “about 10 hours” and ate the rest, you worked for ~$55/hour. The project number exists so that doesn’t happen by accident.

Put a scope line next to the fee: what’s in, what’s out, how many revision rounds. If they add pages, you add hours — or you say no.

 When to use which quote

Use hourly when neither of you knows the work yet, and you cap it (“up to 6 hours this week, then we reset”).

Use a day rate when they need a block of attention and the deliverable is “you, focused.”

Use a project rate when the deliverable is nameable: a pack of pages, a script set, a teardown. Most freelance buyers live here.

Don’t mix shapes in one email without translating. “$100/hour, or $700/day, or $1,800 for the rewrite” is three ways to say the same planning rate. Pick the one they can say yes to.

Check the number against take-home, not against Twitter

A pretty day rate that you only sell twice a month still misses rent. After you convert, glance back at monthly take-home and billable days/hours you actually get.

If $700/day needs eight sold days a month and you only land four, the issue isn’t the formula — it’s volume, offer, or the take-home target. Adjust the mix. Don’t inflate the day rate in a proposal to “fix” a pipeline problem.

Free tool for the take-home → hourly → day-style outputs (estimates only):

→ Freelance rate calculator

Same calculator: deskline-pricing-calc.pages.dev

Plug in take-home and hours, then apply the day/project conversions above. No account required.

 Optional worksheets ($19)

If you want this on disk — package tier builder, utilization planner, fee presets you can edit, raise/review checklist, client-facing rate blurb — that’s the Freelance Rate System download. Templates, not a course. No promise clients will pay a given number.

→ Freelance Rate System ($19)

Skip it if the free calculator plus this page is enough.

New Deskline files when they ship: subscribe

 Before you send the quote

Planning hourly written down (from take-home math, not a vibe).

Quote shape matches how the buyer buys (hour / day / project).

Day = a stated hour count, not “until I’m tired.”

Project hours include meetings, revisions, buffer.

Scope line: in / out / revision rounds.

You can say no if the math doesn’t work.

Originally published at https://deskline-pricing-calc.pages.dev/guide/freelance-rate-from-take-home/.

How to set a freelance hourly rate from take-home (free calculator)

Guessing your freelance rate is an easy way to undercharge for months. You copy a “market average,” round up a little, and hope it covers rent, taxes, and the hours you actually spend on unpaid work. Then a slow month shows up and the number that felt fine on paper doesn’t.

A cleaner start: decide what you need to take home, then work backward to an hourly (and day) rate. This is a method, not a promise. Your niche, experience, and clients still matter. The math just stops you from ignoring living costs.

Start from take-home, not from vibes

Pick a monthly take-home goal — the amount you want in your pocket after business taxes and platform fees, in a normal month. Use a number you could live on, not a fantasy ceiling.

Write it down. Everything else hangs off that line.

Next, be honest about billable hours. Most freelancers don’t bill 40 hours a week. Sales, proposals, admin, learning, and sick days eat the calendar. A common planning range is something like 15–25 billable hours per week, but use your real average if you have one.

Then apply two haircuts — labeled illustrative, because your situation won’t match a blog post:

Tax / self-employment cushion — a percentage you set aside so “take-home” isn’t the same as “gross invoice.”

Platform / payment fees — Gumroad, Stripe-ish checkout, marketplace cuts, whatever you actually pay.

These are planning inputs. They are not tax advice, legal advice, or financial advice. Run real numbers with a tax pro or software when it matters.

 Method: take-home → gross-up → hourly

In plain steps:

Monthly take-home goal (what you want after the haircuts).

Gross up for tax cushion and fees so you know how much revenue you need to invoice.

Divide by billable hours in that month to get a suggested hourly rate.

Day rate = hourly × hours you treat as a billable day (often 6–8, your call).

A simple way to think about gross-up:

If you want $T take-home, and you plan for tax cushion fraction
t
and fee fraction
f
(both between 0 and 1), then roughly:

Needed revenue ≈ T ÷ (1 − t − f)

(when
t + f
is less than 1; keep the fractions realistic).

Then:

Suggested hourly ≈ needed revenue ÷ billable hours in the month

Round to a rate you can say out loud without flinching. Then test it against what your clients actually buy — packages, retainers, project caps — without pretending the formula guarantees bookings.

 Worked example (illustrative only)

These numbers are round and made up for clarity. They are not a recommendation for your market.

Monthly take-home goal: $5,000

Tax / self-employment cushion: 30% (illustrative)

Platform / payment fees: 10% (illustrative)

Billable hours per month: 80 (about 20/week)

Gross-up:

Combined haircut: 30% + 10% = 40%

Needed revenue ≈ $5,000 ÷ (1 − 0.40) = $8,333

Hourly:

$8,333 ÷ 80 hours ≈ $104/hour (round as you like — e.g. $105 or $100)

Day rate variant (assume 7 billable hours in a “day”):

$104 × 7 ≈ $728/day

Change any input and the rate moves. More billable hours → lower required hourly for the same take-home. Higher tax cushion → higher required revenue. That’s the point of the method: you see the tradeoffs instead of guessing.

If your niche won’t pay $104/hour, you don’t “manifest” harder. You adjust the mix: fewer unpaid hours, different offer shape, different clients, or a take-home goal that matches reality this year. The calculator doesn’t choose for you; it shows the gap.

 Day rate vs hourly

Some buyers think in days. Some think in hours. Same underlying number.

Hourly is useful for scoped small work and for checking whether a project fee covers the hours.

Day rate is useful when the work is dense and context-switching costs you. Pick an hours-per-day assumption and stick to it in proposals so you don’t accidentally sell a “day” that is really ten hours.

You can quote packages (Good / Better / Best) that map to hour bands. The rate math still sits underneath so a $2,000 package isn’t a mystery — it’s X hours at your planning rate, plus buffer.

 Try the free calculator

If you want the arithmetic without a spreadsheet, use Deskline’s free in-browser tool. It starts from take-home, hours, and illustrative tax/fee inputs, then suggests hourly and day-style outputs. Estimates only — same disclaimer as above.

→ Freelance rate calculator (free)

Same tool on the custom domain: calc.desklinehq.com

Open it, plug in your numbers, screenshot the result for yourself. No account required for the calc page.

When a fuller pack helps (optional)

Some freelancers want more than a one-screen calc: a blank + filled template, a simple package tier builder, fee presets they can edit, a utilization planner (billable vs sales vs admin), a raise/review checklist, and a short client-facing rate blurb they can adapt.

That’s what the $19 Freelance Rate System download is for — templates and worksheets, not a course, and not a promise that clients will pay a given number. Instant download on Gumroad:

→ Freelance Rate System ($19)

Skip it if the free calculator is enough. Buy it only if you want the pack on disk.

Shop and follow (optional): desklinedigital.gumroad.com · subscribe

Quick checklist before you send a rate

Take-home goal written for a normal month.

Billable hours from your calendar, not a fantasy week.

Tax and fee haircuts labeled as planning estimates.

Hourly (and day rate) you can defend in one sentence.

Offer shape (hourly / day / package) that matches how the buyer buys.

Room to say no when the math doesn’t work.
