They set up a Trello board, or a Notion page, or a spreadsheet. Then they stop using it by week three.</p> <p>The reason isn't laziness. It's that most templates aren't designed for how freelancing actually works.</p> <p>A freelance business has a specific workflow:</p> <ol> <li>Lead comes in → track them somewhere</li> <li>Proposal sent → store it, know when to follow up </li> <li>Project starts → track deliverables, milestones, revisions</li> <li>Invoice sent → know if it was paid, when, how much outstanding</li> <li>Project done → retention path? Most finance tools don't link to clients.</p> <h2> The fix: build it all in one place </h2> <p>Here's what I landed on after a lot of iteration:</p> <ul> <li> <strong>Notion CRM</strong>: Client name, status, contact info, linked to Projects</li> <li> <strong>Projects DB</strong>: Status, deadline, deliverables, revision count, linked to Clients + Invoices </li> <li> <strong>Google Sheets Finance Tracker</strong>: Invoice #, client, amount, date sent, date paid — plus formula for <strong>effective hourly rate per client</strong> </li> <li> <strong>Template Library</strong>: Proposal template, Contract, Scope doc, Onboarding checklist</li> </ul> <p>The per-client hourly rate calculation changed everything. Total revenue is a vanity metric. The real question: for every hour I worked for Client X, what did I make?</p> <p>I found a client I'd been working with for eight months at a $34/hr effective rate. My target was $90.
