If you build software — or you just think like someone who does — tax-season hour tracking looks like a data-integrity problem. The "schema" is simple. The failure mode is human: late writes, missing foreign keys (which property?), and blobs of evidence that are not joined to the event they support. This post treats a material participation hour log like a small production system you keep running all year.

Still not tax advice. IRS Publication 925 is the primary public reference for passive activity and material participation concepts. Your CPA interprets it for you.

  The schema

Each activity row needs:

date
property_id
actor # you vs invited participant
minutes # actual, not rounded fantasy
category # repair, turnover, bookkeeping, ...
description # human-readable
evidence[] # optional but valuable attachments
created_at # when the record was written

Contemporaneous
created_at
close to
date
is part of the story you may later need to explain. Editing history matters too: know what changed after the fact.

The business rules people quote (handle with care)

As a developer you want crisp predicates. Tax law gives you tests, not unit-test fixtures. The ones rental owners cite most:

Material participation includes seven IRS tests.

Two numeric ones: > 500 hours, or > 100 hours and not less than any other individual's participation in the activity.

100 hours alone is not enough for that comparison test.

REPS conversations add > 750 hours in real property trades or businesses and a majority of personal services concept — then still require material participation in the rentals at issue.

Some STR discussions hinge on average customer use ≤ 7 days affecting whether an activity is a "rental activity" under passive-loss definitions.

Encode these as personal benchmarks and checklists, never as hard-coded "you qualify" flags in a consumer app. PropHours' own site is explicit that benchmarks reflect recorded hours only and do not determine qualification.

Pipeline design: capture → evidence → review → export

Capture. Reduce friction or users will skip writes. Timer, voice, AI draft-from-sentence, and templates for repeat tasks are all UX for the same INSERT. Review AI drafts before commit.

Evidence. Store attachments beside the row (receipt OCR can suggest fields; humans confirm). Missing-evidence indicators are like monitoring alerts.

Review. Property-level dashboards against 100 / 500 / 750 personal goals catch drift early. Participant ledgers keep the 100-hour comparison computable.

Export. CPAs need PDF/CSV narratives and file packages, not API dumps. Treat Schedule E prep fields and Section 469 summaries as drafts for professional review, not e-filed forms.

  Reference implementation in the wild

You do not have to build this stack yourself. A production example is PropHours — an STR hours tracker and REPS-oriented logger with mobile/web sync, evidence on each activity, participant invites, and CPA export flows. Use it — or any careful system — as infrastructure for records, not as a determination engine.

A deeper educational walkthrough: How to prove material participation.

  Anti-patterns

Year-end bulk insert from memory

One global counter with no
property_id

Evidence in a parallel Drive folder with no join key

Silent overwrite of historical minutes

UI copy that says "qualified" based on a progress bar

  Suggested personal SLA

Log within 24 hours of fieldwork

Weekly 15-minute review for null properties / missing evidence

Monthly export dry-run to your CPA's preferred format

Never let an automation create hours you did not confirm

  Disclaimer

This article is for engineers and operators who want cleaner records. It is not tax, legal, or financial advice. PropHours does not establish IRS material participation, REPS, or deduction eligibility. Consult a CPA. See IRS Publication 925.

Why Structured Recipe Data Beats Another Favorites Folder

Bookmarks are pointers; kitchens need rows

Developers already know the difference between a URL and a document. Instagram Saves and TikTok Favorites are closer to bookmarks: they point at media that may move, go private, or bury the useful text under a stitch. A recipe the cook can actually use looks more like a small database row—title, ingredients[], steps[], servings, optional source—because later features all depend on those fields being queryable and editable.

If your personal stack still treats “I want to cook this” as a thumbnail in a grid, every meal plan and grocery list starts with manual retyping. That is the tax structured data removes.

Ingredient parsing is the hard part people underestimate

Turning a caption or OCR’d screenshot into ingredients is not a glamorous demo, but it is the reliability bottleneck. Real sources mix:

“2 cloves garlic” next to “garlic, to taste”

Unit-less vibes (“a knob of butter”)

Ingredients split across caption, on-screen text, and spoken audio

Steps that double as ingredient mentions

A practical importer does not need perfect culinary NLP on day one. It needs a best-effort parse into editable lines, then a UI that makes correction cheap. The product win is reducing retyping, not claiming zero-error extraction.

A simple mental model for the pipeline

Think of the flow as three stages:

Ingest. Accept supported public social posts (Instagram, TikTok, Facebook), recipe URLs, and readable screenshots or photos.

Normalize. Map whatever was found into a shared recipe schema: ingredients and ordered steps a human can edit, plus metadata when available (creator credit, source).

Reuse. Search the cookbook, attach recipes to a meal plan, merge ingredients into one grocery list, and optionally surface per-serving nutrition or cost-friendly swaps.

Stage 3 only works if stage 2 produced real fields. Favorites never reach stage 3.

Why meal planning is a data problem

Meal planning fails in notes apps for the same reason sprint planning fails in Slack threads: the artifacts are not linked. When dinners are structured recipes, planning becomes “attach recipe IDs to days,” and shopping becomes “aggregate ingredient lines with servings multipliers.” Combining garlic across Monday pasta and Wednesday tacos is trivial when amounts live in fields. It is error-prone when amounts live in screenshots.

That reuse loop is what a modern recipe converter is really selling—not another place to park links.

  Hireci as a concrete example

Hireci is a recipe saver and meal planner for iOS, iPadOS, and Android built around this pipeline. You share a supported public Reel or TikTok into the app, paste a recipe website URL, or import a screenshot; the app converts the source into ingredients and steps you can edit. From there you organize a searchable cookbook, plan the week, generate a combined grocery list, and review per-serving nutrition and cost-friendly swaps. Creator credit is kept when available. It is free to start; Hireci+ unlocks unlimited smart imports, meal planning, grocery tools, and nutrition analysis.

For builders evaluating food or productivity apps, the interesting surface area is not the tagline. It is whether imports land in a schema that a meal planner app can consume without a second round of copy-paste.

Implementation notes worth stealing (even outside food)

One schema, many importers. Social, URL, and image paths should converge early.

Editable by default. Automatic extraction proposes; the user confirms.

Access boundaries. Private or dead posts should fail clearly instead of inventing content.

Downstream first. Design the recipe object for grocery merge and search, then work backward to parsers.

Credit as a field. Provenance is product ethics and a useful debug trail.

  Closing

Structured recipe data is unglamorous infrastructure for home cooking. Get the rows right and Favorites become optional. Get them wrong and every “AI cooking” feature is just a prettier bookmark. If you are tired of rebuilding grocery lists from captions, try importing one public video or screenshot into a tool that stores recipes as data—not as hope.
