Want the best Microsoft document translator for MS Office files? As an organization that works primarily in MS Office, it’s smart to use a translation app that’s specifically optimized for Microsoft Office documents.

Aside from the fact that you will save time using a top quality translation tool made for the way you work, you will also find that your process is improved. This means less headache and more efficient translations.

When we developed Pairaphrase, we built it first and foremost for Microsoft Office users.

This is because most enterprise companies that need efficient, high-quality translations also use MS office. And translating in Microsoft Office 365 apps isn't the most productive way to translate.

Here are 10 reasons why Pairaphrase is the best MS Office document translator software.

Why Pairaphrase is the Best Translator for MS Office Documents

 1. Best Translator App Optimized for MS Office Files

When you translate with Pairaphrase, your company benefits from software that was made for Microsoft Office files. Thousands of MS Office files were translated during the development of Pairaphrase. As a result, we think you’ll agree with us that Pairaphrase is the #1 choice.

The MS Office files you work with in your day-to-day will be compatible for upload to the translator. After translation, you can also download the files into their original MS Office format. So whether you work with Word, Excel, PowerPoint, or Outlook emails, Pairaphrase makes it easy.

 2. Easy to Use

Pairaphrase is an easy-to-use document translator for MS Office files, and this means that the time your team spends learning the interface is next to zero.

The platform is intuitive and smart with a minimalist aesthetic, yet it runs on powerful technology. So no matter how often your company needs to translate files, you and your colleagues will benefit from time savings due to its ease of use.

 3. Enterprise Level Security

In 2021, data security and privacy are topics you literally can’t afford to ignore. Breaches are costly to your company’s reputation and its bottom line. When you use Pairaphrase, you keep your company’s data secure and confidential.

Just check out the enterprise-level security measures we use to protect your data and personal information.

 4. AI Helps You Improve Your Microsoft Office File Translations

Do you ever wish artificial intelligence could be used for completing your day-to-day tasks? While Pairaphrase can’t type your TPS reports for you, it does use AI to help you train the machine translation engine within your Pairaphrase account.

This means you achieve continuous quality improvements and reusable translations with the help of machine learning.

Learn more about this in our video below.

 5. Editing

When you upload an MS document for translation, Pairaphrase will give you a first-draft translation. This means your file was run through machine translation while applying any exact or fuzzy matches from your translation memory.

This simultaneously reduces hours worked and drastically improves your translations. You have the ability to edit segments in the Translation Editor, which you can save to create translation memories.

 6. Doesn’t Require Installation or Updates

Pairaphrase is one of the few Microsoft document translators that doesn’t require you to install a program on your computer. Because it’s a secure web-based platform, it doesn’t cause you to experience downtime due to updates or bug fixes.

This means you get less disruptions to your work, which means better productivity and translation turnaround times.

 7. Smart Team Collaboration

Document translation is rarely a single-person activity. Communication is often necessary between all parties to achieve high-quality translations that communicate the original intent of the document in the target language.

With features such as sms messaging and bookmarking, Pairaphrase is the best Microsoft document translator because it facilitates smart team collaboration. You’ll review and approve translations faster than ever.

 8. Translate Microsoft Office Files To Audio

The ability to convert text to audio is another reason Pairaphrase is a top Microsoft Office file translation tool.

For instance, you can upload a script that's typed in Word or Excel file and download an audio file (WAV or MP3) of your script being spoken by a synthetic male or female voice. You can either get a translation or generate audio in your source language.

This is helpful for producing foreign language voice overs, video narration, eLearning translation and more.

 9. Compliance

If you work in a highly-regulated sector, Pairaphrase might be the best Microsoft Office document translator for you based on the single fact that it helps you with compliance.

When you use Pairaphrase, you can rest assured we help you comply with GDPR (EU General Data Protection Regulation), HIPAA (Health Insurance Portability and Accountability Act), FERPA and PCI DSS.

Pairaphrase is third-party audited and tested.

 10. Live Human Support

Pairaphrase is a top Microsoft document translator that comes with 24/7 live human support.

As an enterprise customer, you deserve live support when you need help. After all, you’re investing in a productivity tool. CAT tools can require technical assistance, so this is an important consideration.

 Conclusion

In today’s fast-paced business environment, having a reliable and efficient translation tool for Microsoft Office documents is essential. Pairaphrase stands out as a powerful solution designed specifically for MS Office users, offering seamless compatibility, enterprise-level security, AI-powered translation improvements, and collaborative features. With its easy-to-use interface, web-based accessibility, and dedicated human support, Pairaphrase helps organizations streamline their translation workflows while maintaining accuracy and productivity. For companies that regularly translate Word, Excel, PowerPoint, or Outlook files, Pairaphrase provides a smarter, faster, and more secure way to manage multilingual communication.

Need to translate scanned documents but frequently encounter quality issues while using a scanned document translator online? When you translate scanned PDF document files from one language to another, it first needs to be readable by your file translator.

In this post, we'll use Pairaphrase as an example (the web-based translation management system for enterprises). Like most scanned PDF translator tools, it uses OCR (Optical Character Recognition) to read your scanned PDF file's text. Without OCR, the translation result will look like gibberish.

In this article, we'll focus on the importance of resolution and text clarity in order to achieve the most accurate scanned document translation. Continue reading to learn how to get the highest quality scanned PDF translation with these OCR troubleshooting tips.

How to Optimize a Scanned Document for OCR & Translation

 1. Check Your Scanned PDF for Text Obstructions

One of the first steps to ensure you get the highest quality scanned document translation possible is to remove any text obstructions that might exist in your file. Watch the video above to get detailed examples and learn more about why this is important.

Text obstructions can include any of the following:

Stamps that cover text

Watermarks that cover text

Handwriting that covers text

Drastic creasing that obstructs your text

Text showing through from the other side

Another document layered on top of it

Text within embedded images

Very low contrast between the background & text

Graphics on dark backgrounds

Ornate / heavily scripted text

Handwritten text (OCR technology cannot yet accurately recognize it)

Text cut off mid-sentence

 2. Confirm Your File is High Resolution

If you have access to the original file, scan it in again at a higher resolution (300 DPI or higher). Otherwise, it might not be readable enough. Even if it visually appears to have great resolution when you look at the file on your computer.

Hint: To find out if your document is high resolution, check the file size in your finder window / file directory. Each page should be around 1MB or higher if it's high resolution (this isn't always the case–but most often it is).

How to Scan Your Document in at a Higher Resolution

If at all possible, try to get your hands on the original paper document and re-scan it in at a high resolution. Set the scan at a high enough resolution to be read by Pairaphrase (again, aim for 300+ DPI). This is in your scanner’s settings.

Aim for a 300-600 DPI resolution for the best results.

The file size will be fairly large, but you will get a much better translation if you go this route.

The scanner software on your computer will have settings that you can change. This means you can make changes in the settings to scan the document in as a PDF and at high resolution. Aim for a 300-600 dpi resolution for the best results, and save the file after you scan it.

How to Translate Scanned PDF Files that are Already Optimized

Upload your scanned PDF to Pairaphrase by setting the source and target language.

Click “Translate File” and wait until the file status says "Draft."

Hover over the gear icon to the right and select "Open."

In the next screen (Active Documents), hover over the "Actions" button in the upper-right-hand corner.

Select “Download Original.” (This will show you how Pairaphrase has read your PDF.)
Even with a high-resolution file, you might still see some misinterpretations of characters. For instance, there might be a couple of spaces missing between characters or a “v” read as an “r.”

Better resolution improved the translation quality, but a few spacing issues remain. This is easy to fix and re-upload for translation!

However, most of the file characters will have been interpreted correctly if you optimize your file in the ways we’ve specified. Users can edit and correct any OCR mistakes and translate the file again.

But this just goes to show you how fragile scanned documents are.

Is there an Easier Way to Get High-Quality Scanned Document Translation?

Unfortunately, this is currently the only way to prepare a scanned file for the highest quality translation possible. This is why you should get your hands on the original digital file that was eventually printed as the paper version of itself (if at all possible).

We hope this tutorial helps you to translate scanned PDF documents more successfully and accurately in the future.

 Conclusion

In conclusion, achieving accurate translations from scanned documents depends largely on the quality of the original scan. Clear text, minimal obstructions, and a high-resolution scan (ideally 300–600 DPI) allow OCR technology to read the content more effectively, resulting in better translation outcomes. By optimizing your scanned PDFs and reviewing OCR results for minor errors, you can significantly improve the accuracy of your translated documents and ensure a smoother translation process.

How to Translate Strings Files to Another Language

Translating strings (.strings file format) is one of the core components of software localization. Do it well, and your application will be steps ahead of the competition in terms of both international user experience and performance.

As a matter of fact, that’s the exact reason we created this post. We’ll tell you how to translate strings files into another language online most productively and effectively. Whether you need to translate strings for Python, Javascript, or XML Android.

 About Strings Files

As described by Khan Academy, “A string can contain any number of characters, including none at all, and those characters can be letters, numbers, or symbols.”

Unfortunately, not all .strings file translators will improve the translation process for you. In fact, it’s not uncommon for code to be displaced or actually translated along with the data. Not exactly ideal, to say the least.

Maintaining string integrity is not always easy and you’ll want to choose translation software that will minimize the risk of breaking the code.

Here’s an example of an English .strings file:

Here’s an example of a translated .strings file:

Notice how everything stays the same except for the string text that needs to be translated. A good .strings translator will maintain the integrity of your code like this.

That being said, if you learn how to translate strings online efficiently with a solid translator for strings, your organization’s productivity will be further enhanced when it comes to language translation.

The Best Method for Strings Translation

To make it easier and faster to translate strings text to different languages, use web-based enterprise translation software for strings files. You’ll gain access to a suite of tools that make translation faster, easier and higher-quality using the power of AI and machine translation.

Plus, it can enable you to auto-translate text strings.

Read this list of the top 12 features to look for in an online strings translator that’s built for organizations like yours. We’ll recommend a solution at the end of this post.

Top 12 Software Features for Translating Strings Files

 1. Machine Translation Powered by Artificial Intelligence

Looking to streamline the process of translating strings files while minimizing your reliance on manual intervention? Employ AI-driven machine translation. In many instances, you'll obtain a translated file that can serve as an initial draft and, over time, produce translations that require little human intervention .

Would you also like to avoid the hassle of handling parsing problems? Select a strings translator that is specifically designed to handle the strings file format efficiently.

Leveraging machine translation will not only save you time but also cut down on expenses.

 2. Batch Strings File Translation

Many organizations are frustrated by the limitation of certain online strings translation tools, which restrict you to uploading a single strings file for translation. Consequently, you must translate strings pages individually.

However, a solution exists. Some string translators enable simultaneous translation of multiple strings files, a practice known as "batch translation" in the translation industry.

 3. Robust Terminology Management

Successful localization hinges on maintaining consistent terminology across languages when translating strings files. Over 50% of translation errors are actually wrong terminology.

A robust Terminology Management feature in your strings translator tool can simplify this process. If you lack a suitable term base, learn how to construct one and integrate it into your translation management system.

This strategic approach enhances translation quality and ensures uniformity across languages.

 4. Translation Memory & Dynamic Machine Learning

Are your strings files filled with repetitive content? If that's the case, the most efficient approach to online strings file translation involves harnessing the power of translation memory and dynamic machine learning.

When correctly employed, Translation Memories yield rapid enhancements in translation quality while also diminishing the costs and effort involved. Translate a strings file once, reuse often and bid farewell to the need for repetitive translations.

The explanatory video below serves as a useful resource to grasp the concept of translation memory and dynamic machine learning.

 5. Strings Translation Editor

To elevate translated text strings' quality and leverage them for ongoing improvement, choose strings translation software with a robust strings file translation editor.

This editor, incorporating machine translation, dynamic machine learning, and translation memory, enables you to edit and reuse translations, continually enhancing translation quality. As a result, your application can offer high-quality multilingual text, benefiting your organization's reputation and bottom line.

Additionally, combining translation editing with dynamic machine learning boosts your productivity. For a quick reminder of the synergy between these technologies, refer to point #4.

Select strings translation software that includes advanced editing features such as instant messaging, bookmarking, search & replace, translation lookup, segment history and more. These tools streamline the translation process and contribute to superior multilingual content creation.

 6. Translates Strings Files Online (Always)

Want a more productive, easier translation experience? In today’s world, using web-based software is crucial for making this a reality.

Most enterprise teams you talk to will understand the obstacles involved with desktop-based programs or a desktop-first hybrid. That’s why we highly recommend you choose a web-first translation solution for strings file translation.

We’ll recommend a solution at the end of this post.

 7. Encrypted Cloud Storage

Securing the online translation of strings files requires the utilization of encrypted cloud storage.

Furthermore, this approach facilitates centralized access, effectively eradicating any uncertainties surrounding the latest file version and eliminating the need for back-and-forth email exchanges with attachments.

 8. Translates More than Strings Files

Does your organization also translate non-strings files? Regardless, find strings translator software that also translates other file formats.

This way, you avoid the use of separate solutions and build larger translation memories that get leveraged to their full potential.

 9. Collaboration Tools

Do teams collaborate on string translation at your organization? Do you need a bilingual reviewer to review the translation before deployment? If the answer is yes, seek features that help your team work together efficiently.

Look for a strings file translator with functionality such as file sharing, instant messaging, translation history, segment bookmarking and user permission controls.

 10. Compatible with the Languages You Need for Localization

It’s one thing to just translate strings files to English from Spanish, for instance. It’s another thing to translate them to multiple languages.

Needless to say, you should use a translator tool that comes with all the language pairs your company needs. Not just for now, but also for the future.

 11. Robust API

Interested in linking your applications to an API enabling the automatic translation of strings files online? Seek out a robust API that goes beyond mere raw translation.

Look for one that provides advanced API calls so that you can push translations from your translation memories to your development application.

 12. Enterprise Security

Does your organization value data security? Use a top strings translator that employs enterprise security. Data security is crucial and should be a high priority when it comes to your organization’s data.

Some features to look for include multi factor authentication (MFA), Single Sign-on (SSO) and the highest levels of encryption. Be sure to inquire with the software supplier regarding their use of penetration testing and vulnerability scans.

 Conclusion:

In conclusion, translating .strings files effectively is about much more than simply converting text from one language to another. It requires preserving code integrity, ensuring terminology consistency, and leveraging the right mix of AI-powered machine translation, translation memory, and collaborative tools. By choosing a secure, web-based enterprise solution with robust features and scalability, your organization can streamline localization workflows, reduce costs, and deliver a seamless multilingual user experience. Invest in the right strings translation software today, and set your product up for global success tomorrow.

5 Things Pairaphrase Cannot Do For You

Pairaphrase is the AI-powered translation management system for teams that value faster, smarter and safer translation. But sometimes, it attracts those who are mistaken that it will perform 100% of the traditional translation tasks, acting as a replacement for the human translation and post-editing review process.

Does this sound like you? If so, please read below to learn the 5 things Pairaphrase cannot do for you.

Pairaphrase Cannot Do These 5 Things For You

 1. Generate Human-Quality Translations On Its Own

Pairaphrase does not contain a magical machine translation engine that will generate perfectly accurate, high-quality translations for you without the assistance of a human translator who post-edits your machine translations. This person is to be sourced by you as the user.

While machine translation has improved significantly over the years, most translation software products are built on the same translation engine framework. Typically, it’s Microsoft Translator or Google Translate. This means the raw machine translations generated by most professional translation software products (e.g. Pairaphrase, MemoQ, Trados, etc.) will generally be of the same baseline quality–until you (or your human translator) post-edit the translations.

The differential magic within each software product exists in its level of ease of use, and the specific tools it gives you to enhance your team collaboration and post-editing process. In the case of Pairaphrase, it’s Dynamic Machine Learning, security and the ultra-intuitive interface that reduces the manual steps you need to take to complete one action.

By no means will Pairaphrase generate human-quality, perfectly accurate translations for you. Neither will any other translation software. Instead, Pairaphrase dramatically speeds up that process for you.

 2. Format Your Files Perfectly

Automatic file formatting is an imperfect technology. While Pairaphrase will encode your files in an attempt to preserve as much of the formatting as possible, sometimes encoding isn’t enough to keep every single image or paragraph in place. It’s important to set some time aside to review your downloaded translation document after post-editing.

 3. Perform Flawless Scanned Document Translation

Pairaphrase cannot guarantee perfect scanned document translation.

This is because OCR (Optical Character Recognition) is an imperfect technology, regardless of the translation software product you use or OCR tool you use. OCR is the technology that allows your computer to read text characters in an image file or PDF. When you upload a scanned document to Pairaphrase, OCR is automatically applied to your scanned document and your scanned document is converted to editable text--to the best of its ability.

However, the quality of the OCR’d editable text file is the #1 determiner of the quality of the translation you will receive. Therefore, you’re likely to receive a gibberish translation if your scanned document isn’t of good quality. Garbage in, garbage out.

You need to ensure the quality of your scanned document prior to uploading it to Pairaphrase. For guidelines, please watch the video below.

 4. Live On Your Desktop or Server

Pairaphrase is a cloud-based translation product that exists solely on the web. It was built from the ground up as a web-first application in order to provide the most uninterrupted, efficient and flexible experience.

After all, Pairaphrase’s main goal is to enhance the productivity of its users.

Pairaphrase’s core values include speed, intelligence and security. It has some of the strongest standards for security in the translation software industry and has undergone penetration testing and has received an attestation letter from a third-party cybersecurity firm. What’s more, Pairaphrase audits its compliance with mandates.

Therefore, on-site hosting and private cloud deployment are not available, as they aren’t typically needed.

 5. Provide Human Translation Services For You

Pairaphrase is a software development company, not a language service provider (also known as an LSP). Therefore, we cannot source a human translator for you. We put all our focus on developing best-in-class SaaS products to enhance your company’s human translation process.

 Conclusion

In summary, Pairaphrase is not designed to replace human translators, guarantee flawless formatting, perfect imperfect scans, live on your internal servers, or function as a language service provider. Instead, it exists to do what it does best: accelerate, streamline and secure your team’s translation workflow. When paired with skilled human translators and thoughtful review, Pairaphrase becomes a powerful productivity engine—helping you achieve faster, smarter and safer translations without compromising quality.

Effective transcreation of university marketing materials is crucial in today's competitive higher education landscape. It demands more than mere translation to engage prospective college students.

This process transcends linguistic conversion, focusing on cultural nuances, emotional resonance and targeted messaging that resonates deeply with your university’s diverse audiences.

That’s why we created this article – to help you go beyond word-for-word translations and consider the entire message you’re sending in your university’s translated marketing materials.

As veterans of the language industry who enhance linguistic quality for the world’s largest enterprises, we’ve learned a lot about effective multicultural communication.

From these learnings, we compiled 8 transcreation tips below to help the administrative staff members at your higher ed institution.

8 Ways to Transcreate University Marketing Materials Effectively

 1. Understand the Essence of Transcreation

Transcreation of university marketing materials involves the delicate fusion of translation and creative adaptation. It's about conveying the core message and brand identity while adapting it to evoke the desired emotional response within diverse cultural contexts.

This process ensures that your marketing collateral maintains authenticity and relevance while appealing to the sentiments and aspirations of the target audience. This applies regardless of the media format – static ads, videos, brochures, billboards, website copy, social media updates, blog content, etc.

 2. Craft a Unified Brand Narrative

One key tip for successful transcreation of university marketing materials is to establish a cohesive brand narrative that transcends language barriers.

Ensure consistency in messaging across various platforms, aligning with the university's values, vision and unique selling propositions. This unified narrative forms the backbone of effective transcreation, fostering brand recognition and resonance.

 3. Adapt Tone and Voice

When transcreating college marketing materials, it's vital to consider tone and voice adjustments. Tailor the language and expressions to reflect cultural sensitivities and preferences without losing the essence of the university's personality.

Striking the right balance between formality and relatability is crucial for effective communication.

 4. Ensure Cultural Relevance

Cultural relevance is the cornerstone of successful transcreation. That being said, we recommend you dive deep into the cultural intricacies of the target audience to resonate authentically.

This involves understanding local customs, traditions, idiomatic expressions and sensitivities. Integrating these nuances into marketing materials ensures they strike a chord with the audience.

 5. Foster Collaboration between Teams

Effective transcreation requires seamless collaboration between marketing, translation professionals and cultural consultants.

Encourage open communication and teamwork to achieve a holistic understanding of the brand's identity and the audience's expectations. This synergy ensures a comprehensive transcreation approach that aligns with the university's objectives.

 6. Leverage Technology for Efficiency

Leverage technological tools and platforms specialized for transcreation. Translation management systems, content management and localization software streamline the process. They help you to maintain consistency across diverse university marketing materials.

With the right tools, they will also facilitate efficient collaboration and minimize errors in transcreation – all while delivering high-quality communication. For example, generative AI translation software, such as OpenAI, is really good for transcreation.

 7. Translate University Marketing Materials in their Native File Formats

When translating university marketing materials as part of the transcreation process, it’s oftentimes more effective to translate using the native file. This will save you a lot of time and money. This applies whether you’re translating PDFs, DOCX, PPTX, HTML, XML or IDML.

This reduces time and effort and ensures accurate translations by preserving formatting, layout and content integrity.

 8. Continually Evaluate and Iterate

Post-transcreation, evaluate the effectiveness of your university’s marketing content.

It will be important to gather feedback, analyze metrics and measure audience engagement. With this data, you can make iterative enhancements based on insights. This will help you to create more impactful marketing materials.

 Conclusion

Mastering the art of transcreation of university marketing materials is essential in today's multicultural educational landscape. By blending linguistic accuracy with cultural resonance, universities like yours can craft compelling narratives.

Ultimately, your goal is to develop communications that resonate deeply with a diverse audience, foster meaningful engagement and drive enrollment success. Embrace these tips to elevate your university's marketing strategy and effectively connect with students worldwide.

Choosing the best Machine Translation engine isn't as simple as picking the most popular name—you need a solution that fits your content type, subject matter, and workflow.

In addition, your organization is expanding, and with it, the need for accurate, fast, and cost-effective translation. So selecting the right Machine Translation engine is a crucial step for achieving accurate and context-appropriate translations. As translation industry veterans, we’ve witnessed the consequences that follow when an organization skips this step.

Today’s article explores the various AI-driven engines readily available for translation and provides guidance on choosing the best one for specific content types, subject matters, and activities. For example, Transcreation versus pure translation.

This way, you won’t make the same mistake that causes many teams to wish they took the time to choose the right translation engine for specific projects.

 What you'll learn

In this guide, we’ll cover several key areas to help you make informed decisions about Machine Translation:

How Machine Translation engines work

Which translation engines work best for your specific needs

The strengths and limitations of ChatGPT (OpenAI), DeepL, Google, and Microsoft

How to improve Machine Translation quality

Want a quick overview of 3 major translation engines? Watch this video:

Choosing the best Machine Translation engine to use by scenario

 1. Understand Machine Translation engines

As we briefly mentioned above, not all Machine Translation engines are built the same. Some excel in preserving nuance, others integrate seamlessly with your workflow, and some are best for technical content.

AI vs. Human Translation: Where do Machine Translation engines fit?

Machine Translation is fast and cost-effective, but human translators bring essential cultural and contextual expertise. A recent study found that while AI can deliver high accuracy, human review is still key– particularly for nuanced, creative, or legal content.

Therefore, choosing the right translation engine ensures better results to minimize human review. This first step will help you balance speed, cost, and quality.

 2. Choose the right translation engine for your needs

Content-type-specific engines

Different engines excel in different types of content. For instance, legal documents require high accuracy and confidentiality, making Microsoft and Google preferred options due to their robust security measures and specialized legal terminologies.

Technical manuals might benefit from DeepL's extensive technical glossary, while creative content for marketing could find its nuanced language capabilities more beneficial. See below for a complete breakdown.

Subject matter expertise

Subject matter expertise is critical in translation. For financial documents, Google's and Microsoft's engines, known for their precise handling of economic terminology, are ideal. In contrast, medical translations demand extreme accuracy, where DeepL’s specialized medical vocabularies come into play.

Note: Medical translations with Machine Translation should be approached safely and under high scrutiny.

Recommendations based on activity

When it comes to activities, translating straightforward texts such as emails or general web content can be efficiently handled by any of the provided engines. However, for Transcreation, where the translation involves creative rewriting, DeepL or ChatGPT might be more suitable due to their superior understanding of context and idiomatic expressions.

See below for a quick breakdown of the best machine translations for specific contents.

Comparison of popular Machine Translation engines

Which translation engine to use for…

Your best Machine Translation option

Why this engine is best

Technical Documentation

→ DeepL

Custom terminology support

Financial & Economic

→ Google Translate, Microsoft Translator

Economic terminology, high accuracy

General Business Communication

→ Any;* Google Translate, Microsoft translate

Fast, broad language coverage*

Marketing & Creative Content

→ DeepL, ChatGPT

Natural fluency, transcreation capabilities

Medical

→ DeepL

Specialized medical vocabulary

Legal & Compliance Materials

→ DeepL, Microsoft Translator

High accuracy, controlled terminology

*Choose Google Translate or Microsoft Translate if you want a faster option for broad language coverage.

Pro Tip: All of the engines above (except AWS) are available within the Pairaphrase translation platform, which enhances your translation productivity, quality and security.

Overview of leading Machine Translation engines

As you can see, each engine has strengths that make it more suitable for certain tasks. However each comes with pros and cons. Here’s another overview:

ChatGPT

Best MT for: Creative writing, transcreation, and nuanced content.

Why? Uses advanced AI models that excel at understanding context and tone.

Potential drawback: May require fine-tuning for industry-specific terminology.

Dive deeper into the pros and cons of ChatGPT for translation activities.

Google Translate

Best for: Casual communication, everyday use, and broad language support.

Why? Covers the most languages and delivers fast translations.

Potential drawback: Lacks accuracy in specialized content.

Discover the advantages and disadvantages of Google Translate.

Microsoft Translator

Best for: Businesses using Microsoft tools, enterprise applications.

Why? Seamless integration with Microsoft Office and Teams.

Potential drawback: Translation quality varies across languages.

Get a comprehensive understanding of Microsoft Office file translation.

DeepL

Best MT for: High-quality, natural-sounding translations, especially in European languages.

Why? Superior fluency and contextual awareness.

Potential drawback: Fewer supported languages (currently 30) compared to other engines.

Learn about the pros and cons of translating with DeepL's platform.

Pro Tip: You can now use DeepL inside of Pairaphrase, which gives you the benefits of DeepL paired with all the benefits of using Pairaphrase.

 Enhancing Machine Translation quality

After you choose the engine, you’ll also want to take preventative steps to make the most out of your translation. Machine translation is powerful, but it isn’t perfect. To get better results:

Use pre-editing: Clean up the input text before translation.

Incorporate glossaries and Translation Memories: Ensure key terminology remains consistent.

Apply post-editing: Have a human translator review and refine the output.

Read more: How to Improve Machine Translation Quality

 The Pairaphrase advantage

Why limit yourself to one engine when you can have them all? Pairaphrase lets you switch between ChatGPT, DeepL, Google, and Microsoft, giving you the flexibility to choose the best translation engine for every project.

Save up to 80% on translation costs—without sacrificing quality. With tools like Pairaphrase, you’ll get accurate, secure, and scalable translations at a fraction of the cost of traditional services. Of course, paired with the efficiency of Generative AI and Agentic Translation, paired with human-quality refinement.

Deep dive: Pairaphrase’s translation engine options

Each engine within Pairaphrase has been fine-tuned to offer specific advantages:

ChatGPT: Best for adaptive learning in varied contexts.

School document translation is one of the most important activities for overcoming language barriers with LEP parents of students. Unfortunately, administrative staff responsible for managing school translation tasks often encounter various challenges in their roles.

These challenges can arise from a lack of guidance regarding their role in the translation process and how to make it as efficient as possible. That being said, this article will provide you with tips for successfully training administrative staff in translating school documents.

How to Effectively Train School Staff in Document Translation

Here are 6 tips for effective school employee training in document translation:

 1. Identify Key Personnel

Perhaps one of the most important steps to ensure administrative staff is equipped for school document translation is to identify key individuals for training.

Take note of who is in charge of creating the source documents in need of translation. Secondly, identify bilingual personnel who will review and edit translations. Thirdly, note who is in charge of translating and distributing documents to parents, as well as who files them.

During training, discuss the roles and responsibilities of administrative staff as it relates to the translation process.

 2. Utilize Translation Tools and Software

Evaluate various translation tools and software that can streamline the school document translation process. Then, choose a single translation software made for schools.

Make sure it’s secure, accurate and easy-to-use. A simple and intuitive interface will make staff training and onboarding much easier.

Provide guidance to all key personnel on how to use the software effectively. Many software providers offer onboarding support and training resources. Utilize them!

 3. Ensure Quality and Accuracy

It’s crucial to maintain a high standard of quality and accuracy, especially in school document translation. Furthermore, if your state has mandates surrounding school document translation (such as California in regards to parent notifications), this is actually a legal matter.

Regardless, you should emphasize the importance of proofreading and quality assurance when training your school staff in document translation.

Pro tip: Create a term base and use Translation Memory in tandem with Machine Learning. This will improve productivity and help your staff adhere to school-approved terminology and deliver continuous quality improvements.

 4. Handle Sensitive Information with Care

School documents can hold sensitive data. From IEP documents to school nurse records, there’s information that should be treated with care. That being said, it’s important to address the challenges of handling confidential documents with your school staff.

Explain security measures and ethical considerations to them so the contents of these documents remain secure. We suggest you require administrative staff to keep all translation-related activities within the secure translation software you purchase.

 5. Establish a Document Translation Workflow

Create an efficient document translation workflow. You should assign all key personnel to their own tasks in the workflow. Going back to #1, it will reinforce the responsibilities of each staff member for various parts of the workflow and improve collaboration.

This workflow should be on hand for every key employee to reference.

 6. Establish Best Practices

Establishing a set of school document translation best practices for your staff is vital for maintaining consistent, high-quality translations. It also prevents any misunderstandings between the school system and parents.

As a result, you make the learning experience more equitable for all students. Not only that, but you’ll enhance the reputation of your school.

 Conclusion:

Training school staff in document translation is a critical step toward fostering clear communication and equity for LEP families. By identifying key personnel, leveraging the right tools, ensuring accuracy, protecting sensitive information, and establishing clear workflows and best practices, schools can create a reliable and efficient translation process. When administrative staff are properly trained and supported, schools not only meet compliance requirements but also build trust with parents and create a more inclusive educational environment for all students.

Want the best translation services for schools? Language service providers (LSPs) - oftentimes referred to as “translation agencies” - are not your only option for top-notch school translation services. In fact, if you want to translate school documents into Spanish and other languages in a faster, smarter and more secure way, you should use translation software for schools.

Using translation software right inside your school can help you create precise and top-quality translations quickly. You can produce more translated content and it can cut down on the time spent and save money compared to working with a translation agency. Plus, it'll give you a faster translation turnaround, so you can get your translations done quicker.

However, if you want the best translation service for schools, you need translation software that is built for your needs.

What You’ll Learn in this Article

In this article, you’ll learn how to make the most of the same cutting-edge translation tools and tech that professional school translation services use. We'll cover what these tools are, how they can help your school (or school district), and why it's a smarter choice to use these tools in-house instead of outsourcing to academic translation services.

By the time you finish reading, we'll also share our top pick for a Translation Management System that brings all these powerful technologies together into one user-friendly platform. This means your admin team and teachers can handle school translations in-house with little effort, ensuring top-notch quality while saving more money in the school budget over time.

You Don't Need a School Translation Service Provider if You Have these Technologies

Here are the technologies and capabilities that the best translation service providers use, that you can find in one software solution made just for schools like yours.

 1. AI-Powered File Translator (Top Tool Used in Translation Services for Schools)

All the best translation services for schools use a robust AI-powered file translator that supports various file formats – not just a digital PDF* or Word document.

They know to use AI tools like this that are optimized for all the different file types your school works with. Why? Because it saves them time while producing your educational translations, which means they produce translations for you at a lower cost to themselves.

These tools use Machine Translation to provide an initial first draft of your file. Then, these translation service providers post-edit it to improve translation quality (since AI translation isn’t perfect). Essentially, you could use this same technology internally and have bilingual school staff do the post-editing if you’d like.

*Note: Not all digital PDFs are the same. Some can have interoperability issues, so it’s important to be mindful of that.

 2. Translation Editor

Speaking of post-editing, your school can use a translation editing tool to increase productivity when editing and reviewing school translations. Most professional school translation services use a translation editor when translating files for educational institutions.

Professional school translation services most often use these translation editors coupled with translation memory and terminology management. And you can, too. However, it’s not a requirement, and it’s up to you and your staff how much you edit.

 3. Text Gisting

Since school translations don’t always require translating an entire file, you might need to translate a small chunk of text on occasion. For example, an email communication from a Limited English Proficiency (LEP) parent.

“Gisting” typically involves providing a rough or fundamental translation of text. And translation providers often use a gisting tool to help their clients gain a rapid understanding of text that doesn’t require publishable quality.

Having a gisting tool on hand means you can, for example, respond to that LEP parent’s email in a timely manner.

 4. Batch Translation

All the big language service providers use batch file translation for schools. This technology allows them to translate multiple files simultaneously for a single school. This way, they can perform quick AI-assisted language translations for groups of related documents.

One example of a combination of school documents that might be translated together are parent notifications, field trip permission forms and IEP documents.

 5. Translation Memory

School translation services most often utilize what is called a “Translation Memory” to save and store the high-quality translations you pay for. They automatically reuse these translations over and over again for your projects.

Translation Memory works in tandem with Machine Translation and Dynamic Machine Learning to deliver continuous quality improvements. If you want to internally store and reuse previous translations just like the large translation companies do, you can.

What’s more, this technology saves a ton of time on manual translation. You’ll never translate the same text segment twice.

Learn more in the 2-minute video below.

 6. Easy-to-Use Interface

School translation providers oftentimes use tools with lots of bells and whistles, which results in cluttered user interfaces. However, there’s no need for your school to deal with this. There are tools that have easy-to-use interfaces, and we will recommend an all-inclusive one at the end of this article.

 7. Automatic File Formatting

When it comes to a school’s documents that need to retain publishable quality, language service providers will utilize automatic formatting technology. Because sometimes, the Computer-Assisted Translation tools they use will displace text and images in the translated file.

This technology retains most of your file’s layout and formatting when parsing your original file. It will reduce the amount of time spent re-formatting your translated files. While it’s not without its flaws, it will save you time spent on reformatting files.

This technology is not only available to the big translation service providers – your school can use it, too.

 8. Collaborative Translation

The best school translators use top collaborative translation tools to effectively work with team members in the cloud.

For example, someone will upload the documents sent by the school (the "client") for Machine Translation, and then subject matter experts will weigh in to edit translations once a first draft is ready. Then the client approves it. Collaborative tools help to streamline this process for them.

Some collaborative tools used by the smartest school translation service providers include:

File sharing

Instant messaging

Translation history

Segment bookmarking

User permission controls

You can take advantage of these same capabilities in your internal translation process.

 9. Google Drive Integration

Many translation agencies will tout their ability to accommodate various file type preferences. However, you don’t need to go through an agency to translate Google Docs, Slides and Sheets.

In fact, you can get your hands on a Translation Management System that’s integrated with Google Drive. This will allow you to import your Google files directly from your school’s Google Drive account for translation and export them back to your drive.

 10. Enterprise Security (Not Often Used by Many School Translation Services)

Lastly, enterprise security is a must in this day and age. However, not many school translation agencies use translation software that has enterprise-level security.

That being said, adopting your own Translation Management System with all the technologies listed above plus enterprise security, will enable you to translate while safeguarding your school’s (including student and parent) sensitive data.

 Conclusion:

The best translation services for schools aren’t always found outside your organization. With the right translation software built specifically for education, your school can use the same powerful technologies as professional translation providers, while gaining more control, faster turnaround times, stronger security, and long-term cost savings. By bringing translations in-house with a purpose-built Translation Management System, schools can communicate more effectively with families, support multilingual communities, and stretch their budgets further, all without sacrificing quality.

Translating AutoCAD files (.DWG or .DXF) into different languages? If you learn how to translate AutoCAD files online the correct way, you’ll get better translation results at less cost and in less time. That being said, we’re here to tell you how to achieve the most efficient AutoCAD translation process for your organization.

 Quick Overview

As you might already know, the AutoDesk file format (.DWG or .DXF) is used for 2D and 3D computer-aided design (the “CAD” in AutoCad).

In the words of Adobe, “DWG files are closely associated with CAD (computer-aided design) programmes. Originally named as an abbreviation for the word drawing, it’s a file that contains two and three-dimensional vector graphics - this makes translation slow and expensive.

Typically, drafters, architects and engineers use DWG files to develop design sketches.”

The Library of Congress notes that AutoCAD is “one of the most popular computer-assisted design (CAD) packages.” That being said, DWG file translation is a common request from manufacturing companies and engineering firms.

Any text annotations or labels on the drawings are what commonly require translation when sharing designs with foreign colleagues, clients or partners, for example.

 What You’ll Learn Here

For an easier and faster way to translate AutoCAD files into another language, we recommend using enterprise translation software optimized for AutoCAD files. As veterans of the language industry, we’ve helped many organizations to improve their AutoCAD translation process.

Read this list of the top 11 features to look for in an AutoCAD language translator online. We’ll then recommend a solution at the end of this post.

Top 12 Software Features for Translating AutoCAD files

 1. Machine Translation

Want to translate AutoCAD files while drastically reducing human translation efforts? Utilize AI-powered machine translation. It produces an initial draft translation of good or better quality.

Many CAT tools (computer-assisted translation) now incorporate machine translation to assist human translators. Just make sure to choose one that supports DWG files or DXF files (which can be easily converted from DWG).

As a bonus, the translation application you choose should also include multiple options for machine translation engines (e.g. Google, Microsoft, ChatGPT, DeepL).

 2. Batch AutoCAD File Translation

Want to be able to translate more than one AutoCAD file at a time? If you produce large amounts of CAD drawings, this is enough of a reason to learn how to translate AutoCAD files in a more efficient manner.

That being said, AutoCAD translators that translate files in batches are by far the best way to translate an AutoCAD file while saving time. The official name for this is “batch translation.”

 3. Terminology Management

Is it important that you maintain consistent terminology across your CAD drawings? If so, only use an AutoCAD file translator tool with a high-quality Terminology Management component.

If you haven’t already, first create a term base. The next step is to import it into your translation management system. Not only will it streamline the translation workflow, but it will also drastically improve the quality and consistency of translations.

 4. Translation Memory & Dynamic Machine Learning

The best way to translate AutoCAD files online with repetitive text is to leverage translation memory and Dynamic Machine Learning. This is the AI component of your translation software.

Translation Memories can deliver nearly-instant quality improvements and reduce translation costs and effort, especially for AutoCAD files. Translate once and never translate the same annotations or labels again.

Watch the 2-minute video below to get a better understanding of translation memory and Dynamic Machine Learning.

 5. Robust Editor

The AutoCAD translation software you choose must include a translation editor. A high-quality translation editor will save you hours and hours of time.

This way, you can improve machine-translated segments that require quality improvements. At the same time, you store them for future reuse in a translation memory.

As a result, when those segments appear in future AutoCAD files, the highest-quality translation is automatically inserted.

When you leverage the power of translation editing along with Dynamic Machine Learning, your productivity improves even more. For example, you can automatically find and replace all repetitions of a low-quality translation across a file when you edit just one instance of it.

You can produce custom translations with just a glossary and use your translation memory for on-the-fly machine translation training.

In effect, you train your translation engine over time to deliver continuous quality improvements and produce custom translations for your organization.

 6. Translates AutoCAD Files Online (Always)

Want to optimize your productivity and streamline your work? Opt for translation software that offers web-based accessibility.

Desktop-based translation programs often come with various challenges, including downtime, frequent bugs, compatibility issues, and limitations in terms of collaboration and additional features.

These issues can arise whether you are required to download the program or if you are using software that primarily focuses on desktop usage. This is why we strongly advise selecting an online translation solution when it comes to translating AutoCAD files.

Towards the end of this post, we will provide a recommendation for a web-centric solution.

 7. Encrypted Cloud Storage

Encrypted cloud storage is an important part of efficiently and securely translating AutoCAD files online.

Storing translated files in the cloud means zero confusion over which file version is the most current. It also will provide centralized access for your team (those who are authorized). Look for a solution that offers encryption at rest, in transit and in use.

 8. Translates More than DWG files and DXF files

If your company also translates non-AutoCAD files (such as brochures in InDesign), find DXF or DWG translator software that also translates other file formats. This way, you don’t need separate solutions for different types of files.

As a result, you’ll also build and leverage a larger translation memory in one place.

 9. Collaboration

Does your team collaborate on AutoCAD translation? Does someone review and approve translations, while another person translates? If so, you’ll benefit from collaborative features that help your team work together efficiently.

Look for a AutoCAD file translator with functionality such as instant messaging, translation history, file sharing, bookmarking and robust user permission controls.

 10. Compatible with 140+ Languages

It’s one thing to just translate an AutoCAD file to English from Spanish, for instance. It’s another thing to translate an AutoCAD file to multiple languages.

Therefore, it’s important to use a translator tool that has all the language pairs your company needs now and will need in the future.

 11. Robust API

Want to connect your applications to an API that auto-translates AutoCAD files online? Look for a robust API that delivers more than just raw translation.

You want one that offers multiple API calls and pulls from your translation memory to deliver high-quality translations.

 12. Enterprise-Level Security

Enterprise security is crucial, especially for protecting proprietary drawings associated with patents. While there are a host of reasons for adopting DWG translation software with enterprise security, it’s most important to focus on the specific security features to look for.

These include, but are not limited to: multi factor authentication, Single Sign-on (SSO), HIPAA and GDPR compliance, and the latest standards for encryption. Remember to inquire with the provider about regular penetration testing and vulnerability scans.

 Conclusion:

Translating AutoCAD files doesn’t have to be slow, costly, or complex. With the right online translation software, one that combines machine translation, translation memory, terminology management, security, and collaboration, you can streamline your DWG and DXF translation workflows while maintaining accuracy and consistency. By investing in an enterprise-grade solution built specifically for AutoCAD files, organizations can reduce turnaround times, lower costs, and confidently share designs across languages and borders.

That being said, we’ll use our decades of translation industry experience to help you explore potential Phrase drawbacks and user-specific needs you might identify with. As a result, you can conclude whether an alternative to Phrase could fill these gaps. This will equip you to find the best tool for your needs.

 What you’ll learn

In this post, we’ll help you:

Identify the gaps in the Phrase platform that could impact your organization

Understand why you might need an alternative to Phrase app tools

Discover the best Phrase app alternative for enterprise use

While Phrase (formerly Memsource) remains popular, it’s not always the best solution for every enterprise team—especially those seeking streamlined document translation, fast onboarding, or AI-enhanced workflows that balance automation with quality control.

In fact, the Digital.gov’s guidance underscores that Machine Translation is improving, but human review and customization remain essential. This especially applies when accuracy, confidentiality, and compliance matter.

Therefore you’ll also see a recommendation for the best alternative to Phrase app for enterprises at the bottom of this page.

Note

Memsource is now part of the Phrase Localization Suite.

In this post, we’ll refer to “Phrase app” as the entire localization platform, which now includes the features previously offered by Memsource.

12 reasons to adopt a Phrase app alternative

 1. You want a translation tool designed specifically with enterprise standards (even if you’re not a large enterprise)

Would you prefer to use translation software with features designed specifically for enterprise users? If your answer is yes and you don’t work for a translation agency/LSP company, you might want an alternative to Phrase for this reason alone.

Phrase is a good translation tool for professional translators and translation companies. While they offer an enterprise version, many features are geared toward client project management and working with professional translators (e.g. client project submittal, white labeling, price quote tool, etc.)

If you want something more focused on internal collaboration and real-time file translation, it’s worth exploring an alternative to the Phrase app that’s built with your use case in mind.

 2. Alternatives to Phrase app might have a shorter learning curve

One of the top reasons you might seek alternatives to Phrase app is the learning curve. If your team needs to quickly get up and running on a translation platform, the key is ease-of-use and easy onboarding.

Fast user adoption isn’t possible when your team needs to learn a lot about how to use the software.

Therefore, if the Phrase solution is underutilized at your organization from the get go, this is a possible indication of a learning barrier. If this is the case, find an alternative to Phrase that’s easier to learn. In the end, your organization could realize a faster ROI.

 3. You prefer an intuitive user experience

Phrase offers some fantastic features. However, if you prefer less buttons and a less complex user experience than Phrase offers, this could indicate its Translation Management System isn’t the best fit for your organization.

While a button-heavy translation application can appear to offer additional value for the price, it could mean you are spending more time than necessary to complete a single action.

An alternative to Phrase app tools could offer fewer buttons, fewer tabs, and a more streamlined experience overall. And that translates into time saved on translation. Your software should help you to be more productive with less distractions.

 4. You won’t use 30 different translation engines

The Phrase app comes with 30+ Machine Translation engines to accommodate a wide variety of users. This is a selling point for translation agencies and freelance translators who want to invest in one translation system that covers a wide variety of preferences for their clients.

However, if your organization doesn’t want to spend money on unused features and just wants to access the top few most popular and well-suited translation engines, consider an alternative to Phrase.

 5. Your projects don’t or won’t include UI localization

Phrase has many happy customers with large-scale localization (websites, software, apps) projects managed in-house. Some of their localization features offered include connections for version control systems, UI (user interface) design tools, and open source Content Management Systems (CMS).

If these localization features sound unnecessary for your organization, you might want to find a better alternative to Phrase.

 6. You don’t have time for a bunch of different workflows in translation software

Phrase includes customizable workflow automations. But some teams already use other project management tools—or don’t need another layer of process.

If your goal is to collaborate on translations quickly and cleanly, without configuring complex workflows and automations, you might want a simpler, best Phrase app alternative that lets your team focus on the translation work itself.

 7. An alternative to Phrase app might be more secure

Phrase has robust security features, but it isn’t publicly clear whether it offers advanced compliance measures like HIPAA, “No Return” MT configurations, or detailed cloud architecture audits (e.g. AWS Well-Architected Reviews).

However, there are additional security measures you might want to look for as an enterprise user.

If your organization requires additional enterprise-level security measures including any of the following, you might want to clarify with Phrase or consider an alternative to Phrase Localization Suite.

The following is a non-exhaustive list.*

HIPAA & PHI compliance

“No Return” to Machine Translation providers

Well-Architected Review

Multi-factor authentication (MFA)

*It isn’t made clear if Phrase currently employs these security precautions.

 8. You’re looking for enterprise security you can actually verify

Phrase conducts regular vulnerability scans and offers good baseline protections. But for some enterprise teams, that’s just the start.

If your organization handles sensitive documents, legal agreements, healthcare records, or employee data, you need more: HIPAA, FERPA or GDPR compliance, “no return” policies for Machine Translation engines, multi-factor authentication, encrypted cloud storage and guaranteed data isolation.

And you shouldn’t have to dig through fine print to find out what’s really protected.

A strong alternative to the Phrase app will make these protections clear—and show you exactly how your data is kept confidential.

 9. You need better support for scanned PDFs and PowerPoint formatting

Not every document you translate is a block of code or a string file. Some of them are scanned PDFs or images. Others are PowerPoint decks for executives, training presentations, or client-facing reports.

If that sounds like the kind of content your team works with, you may run into challenges with Phrase. It’s built more for developers managing software strings than for professionals who regularly translate formatted documents.

A better alternative to the Phrase app will also support translation of scanned documents, preserve layouts, and even handle batch file translation for formatted PowerPoint or InDesign files—without hours of manual cleanup afterward.

 10. You want to translate snippets and emails—not just software strings

Sometimes, all you need is to translate a quick email, message, or short paragraph of text from a client. You’re not launching an app in 12 languages. You just need a gist—fast.

Phrase wasn’t really designed for that. It shines in structured localization pipelines, not spontaneous, real-world requests.

If you’re looking for a simple way to copy and paste small amounts of text into a translator, it might be time to consider an alternative to the Phrase app. The right alternative gives you the flexibility to translate big projects and small requests—all in one place.

 11. Most of your team relies on Google Drive, not GitHub

Phrase integrates beautifully with tools like GitHub, Bitbucket, and Figma. That’s great—if you’re a developer managing code strings and interface labels.

But if your organization works out of Google Drive, you won’t find much support there.

An alternative to the Phrase app should integrate directly with the tools your team actually uses every day—like Google Docs, Sheets, and Slides. That way, you don’t have to keep downloading, uploading, or converting files just to get your translations done.

Related reading: Learn how to integrate your translation process with Google Docs.

 12. You want real help—from a real person

When your team is on a deadline, the last thing you need is to send a support ticket and wait two days for a reply. Unfortunately, that’s a common experience with tools designed for language service providers.

Many Phrase alternatives offer a live human support option—with real people who can actually help, not just route you to a help article.

If your team values white-glove onboarding, same-day troubleshooting, and clear guidance from someone who speaks your language (literally and metaphorically), you’ll want to consider other options such as Pairaphrase.

Reasons to stick with Phrase (fmr. Memsource)

Despite what you see here, you should do additional research on forums (such as ProZ and Quora) as well as independent review websites, to see if a Phrase app alternative is truly right for your organization.

In some cases, you very well might want to stick with using the Phrase platform for your translation needs.

After all…

Phrase has the core functionality offered by many CAT tools

It can be integrated with a variety of 3rd party apps

It offers a wide variety of Machine Translation engines

 Conclusion:

Choosing the right translation platform ultimately comes down to how well it fits your team’s workflows, security requirements, and day-to-day translation needs. While Phrase (formerly Memsource) remains a strong CAT tool, especially for localization-heavy, developer-centric use cases, it isn’t always the most practical or cost-effective option for every enterprise. If your organization prioritizes ease of use, faster onboarding, document-focused translation, verifiable security, and responsive human support, exploring a Phrase app alternative could deliver better long-term value. By clearly defining your priorities, you’ll be well positioned to select a solution that balances AI efficiency with quality, control, and usability.

OpenAI Language Translation: Pros & Cons for Enterprises

Is your organization interested in leveraging OpenAI for language translation via ChatGPT or API? OpenAI and its popular generative pre-trained models offer many benefits, but there are also some potential drawbacks to consider.

Regardless, OpenAI and it’s popular Large Language Model (LLM) ChatGPT are cutting-edge technologies that will revolutionize the language translation industry.

In fact, it’s happening as you read this article.

 Background and what you’ll learn

As language industry veterans and software developers, we have first-hand experience in harnessing artificial intelligence for natural language processing. In fact, it’s our mission at Pairaphrase to make translation fast, smart and safe for multinational enterprise organizations.

While Machine Translation has been around since the 80’s, the growing popularity of AI-powered translation services is now amplified with the buzz surrounding ChatGPT and Agentic Translation solutions. OpenAI's advanced language model offers powerful translation capabilities and productivity gains.

However, there are pros and cons to using OpenAI for language translation. Oftentimes, the pros and cons depend on the content you intend to translate with OpenAI.

Familiarize yourself with the following advantages and disadvantages of translating with ChatGPT/OpenAI. As a result, you can make an informed decision for your organization.

Pros of Using OpenAI for Language Translation

 Accuracy

While there have been some concerns about accuracy and hallucinations, OpenAI's language model will oftentimes produce accurate translations. This is due to its extensive training on vast amounts of pre-existing data.

More time is needed to understand how accurate OpenAI translation is.

There are multiple benefits to using a highly accurate translation tool to translate text. These include:

Decent first-draft translation

Lack of misspellings

Less edits required

Broad Language Support

If your organization needs to translate a wide range of languages and language pairs, it’s possible with OpenAI. It supports almost any language pair your organization requires for commercial use.

 Speed & Efficiency

Its fast production of translations (compared to pure human translation) makes OpenAI suitable for real-time translation needs or situations that require high-volume translation.

You can integrate the OpenAI API into your organization’s other software applications such as Translation Management Systems (TMS) and Content Management Systems (CMS). All you need is the API key.

Alternatively, you can use translation software that comes with ChatGPT built into the application.

 Contextual Understanding

Want to produce coherent and contextually accurate translations? This is possible due to OpenAI's ability to comprehend and interpret the context of the text being translated.

While this is true in many instances, it’s important to read the “cons” list in this article to grasp the nuances of this.

OpenAI uses large language models (LLMs). This language model makes predictions based on the large amounts of data on which it’s been pre-trained. Compare this with Natural Language Processing (NLP) which uses the immediate context of your text to generate a translation.

 Continuous Improvement

OpenAI's language models are continuously updated and refined, ensuring that translation quality can improve over time as the model learns from new data. Continuous improvement means your organization will need to spend less hours translating as time moves forward.

 Ideal for Consumer-Facing Content

When you use OpenAI for language translation, you can expect it to be less “dry” than word-for-word translation. This makes it great for consumer-facing text and entertainment content. In other words, it’s ideal for transcreation.

Whether you’re translating fictional literature, video scripts or advertising copy, OpenAI is a good option.

Cons of Using OpenAI for Language Translation

OpenAI May Not Be Ideal for Technical Translation

Need to develop translations for technical concepts or straight-forward texts? Don’t use OpenAI for that. Based on our professional experience with various machine translation engines, we recommend Google and Microsoft’s engines for those types of translation projects.

Google and Microsoft stick to word-for-word translations as per traditional translation methodology. It shouldn’t be treated as a replacement for traditional translation methodology.

OpenAI is a complementary Machine Translation option, as it’s more suited for consumer-facing texts, as mentioned in the “pros” list above.

Tip: Familiarize yourself with the best translation engine to use by content type.

 Non-English Translations Might Suffer

If you have a lot of content with the source language as English, OpenAI will likely generate better translations for you. This is because it’s pre-trained on mostly English due to the existence of more English language content on the internet.

Compare this to foreign language content, of which there is naturally less abundance online. This is because there’s less volume of published content in those languages.

 Limited Subject Matter Expertise

While it’s trained on large datasets, be cautious when using OpenAI for translation of specialized knowledge. It will likely present knowledge gaps in your texts.

This applies for non-technical texts, too. For example, if you were to transcreate a science fiction novel, this would involve translating scientific concepts–albeit fictional. This means even a literary translation of a fictional technical concept could be negatively affected by relying on artificial intelligence alone.

 Trouble with Ambiguous Text

Pay careful attention to this one if your source text includes ambiguous text made complex by cultural references, nuances or idiomatic expressions or nuances. This applies to machine translation in general (not only when you translate using OpenAI).

Potential for Bias & Inaccurate Data

When you translate using OpenAI, it’s important to note that its translation quality relies on the quality of the data that was used to train it. Biased or inaccurate training data may affect the accuracy and reliability of OpenAI's translations.

This is a well-known weakness of OpenAI, and it applies for more use cases than just translation.

 Security & Privacy Concerns

When you use OpenAI/ChatGPT, it warns you not to enter confidential information into the chatbot.

If you’re going to translate sensitive or confidential information, make sure you use OpenAI via a translation management system that doesn’t return data to machine translation engines. This means your data won’t be sent back to OpenAI.

Try Pairaphrase for secure ChatGPT translations.

Can't Translate a Scanned PDF Document

ChatGPT itself cannot translate a scanned document on its own without help from external tools. It doesn't have the capability to extract the text from the scanned document for translation.

However, you can accomplish this with an AI PDF translator such as Pairaphrase.

It is translation software integrated with ChatGPT AND it includes optical character recognition (OCR). This means you can extract the text using OCR and translate your scanned document, all without leaving the Pairaphrase application.

 Key Takeaway

AI-assisted translation can completely transform your organization’s productivity.

However, it’s important to always use human oversight when using AI. If you decide to use OpenAI/ChatGPT for translation, make sure you fully understand your organization’s policies on data security and quality assurance.

And remember, you might be better off using other translation engines for technical translations.

Dive Deeper: Explore the 17 best AI translators for enterprise teams

Now that you understand OpenAI's translation strengths and weaknesses, we'll recommend a solution below that gives you the best of both LLM translation and non-LLM translation in a secure environment.

 Conclusion:

OpenAI and ChatGPT are powerful additions to the language translation landscape, offering speed, broad language coverage, and strong contextual understanding—especially for consumer-facing and creative content. However, they are not a one-size-fits-all solution. Accuracy for technical material, data privacy, language coverage beyond English, and the need for human oversight remain critical considerations. By understanding both the strengths and limitations of OpenAI-powered translation, organizations can strategically combine LLMs, traditional machine translation engines, and secure translation platforms to achieve faster, smarter, and safer multilingual communication.

Need help with Elucidat course translation? Translating an Elucidat course into different languages comes with its nuances. However, multilingual eLearning development is a crucial facet of globally scaling your business.

Want to translate ASAP? Check out the enterprise AI file translator Pairaphrase.

Furthermore, if you follow best practices from the beginning, you’ll carve out a workflow that benefits your organization for years to come.

That being said, explore the following multilingual L&D guidelines and instructions created by language industry veterans. These will help the most successful workplace training managers to effectively translate Elucidate course content.

Can you translate a course in Elucidat?

Elucidat doesn’t have a built-in translator or use a machine translation engine to translate your courses for you within the software. However, it helps facilitate the eLearning localization process by replacing the text in the course using the data in a file you translate outside of the platform.

 Elucidat Translation Best Practices

To translate an Elucidat course that results in professional-quality employee trainings, follow these best practices:

 1. Use a translation management system (TMS)

This is one of the best tools to facilitate Elucidat course translation. A top-notch TMS will be easy to use and harness the power of AI to:

produce and improve your machine translations

enhance productivity for multilingual content development

streamline team collaboration

reuse previously eLearning translations

Why this matters

Corporate learning and HR content changes year-to-year, yet much of the material maintains a long shelf life. Instead of producing entirely new course translations every year, you’ll only translate what’s changed.

No more emailing translations back-and-forth for colleague approval and input.

Prevent inaccurate / low-quality translations that confuse employees or cause them to misinterpret your training. Avoid disastrous business consequences or inability to execute processes and procedures.

Summary

Using a translation management system for workplace training will result in a significant return on investment. You’ll experience a drastic reduction in hours worked, translation-related costs and improve learning comprehension. Disseminate courses more quickly!

Learn more about translation management systems.

 2. Create a translation glossary

The vast majority of translation “errors” are actually incorrect terminology translations. When you use what’s called a “term base” (glossary) to translate Elucidate classes, you use company-approved terms and avoid inadvertently side-stepping company-wide content policies.

Learn more about terminology management.

 3. Post-edit course translations

Machine translation tools can perform a large portion of course translation work without human help. However, in some cases you’ll still need someone to post-edit translations to check the translation for accuracy and correct any mistakes. Do this before you import them to your Elucidat course.

The best translation platforms will give you the ability to save post-edited translations for reuse in future versions of your Elucidate course (plus other forms of content).

Learn more about machine translation.

 4. Create translation memories

A translation memory is a bilingual repository that consists of sentences, phrases and segments that have been translated from one language into another. It stores your previous translations for reuse, and therefore delivers near-instant quality improvements.

Leverage translation memory to drastically reduce translation costs and hours worked when you translate Elucidat courses. The sooner you begin to build a translation memory, the faster and greater your return on investment will be.

 5. Decide if you should use Elucidat’s Variation Manager

Elucidat’s Variations Manager isn’t the only way to create Elucidat courses in multiple languages within the software. However, it’s the fastest and most popular way to do so. Learn more below.

2 Ways to Translate Elucidat Course Content:

 1. Use Variations Manager

When you use the Variations Manager to create multilingual Elucidate courses, you create 1 Parent course with multiple linked language Variations. This is the most recommended and fastest way to translate an Elucidat course.

 2. Create separate standalone translated versions

Creating separate standalone courses involves creating 1 Project (course) for each language, working outside the controls of a Parent course. In other words, you would not create Variations for the different languages.

This is a less popular method for translating Elucidat content because it takes more work. However, there are use cases for it.

Common Questions About Elucidat’s Variations Manager

Why use the Variations Manager for creating multilingual Elucidat courses?

Fast way to convert your course to various languages

Don’t need to apply aesthetic changes to each language variation course individually

You can upload multiple languages at once

It preserves the format of your text

Release new version all at once

When should you not use Variations Manager?

If you are localizing Elucidat courses and this requires different images, background colors depending on each local market, the Variations Manager will always update the individual Variations of the course (each language) using the same background color, etc.

For instance, your organization might be sensitive to the fact that a color in one culture means something different to another culture. If you want to update the course background color of one language variation in the future, you cannot.

Can you translate an Elucidat course & keep the formatting?

When you translate an Elucidat course, the formatting will stay the same as long as you use a translation management system that supports CSV and XLF files exported from Elucidat.

Some translation management systems are better than others at this. We make a recommendation below for translation software that works well with Elucidat. That supports CSV and XLF file formats.

Do Elucidat text boxes expand for translated text?

The text boxes expand to fit the new text. So for instance, if you translate your eLearning content from English to German, there are naturally going to be more characters in the target language text. The text boxes in the course will expand to fit the characters so that you don’t need to worry about keeping the text visible.

Why do you need to create a Variation that is the same language as the Parent/Master course?

When you create variations, these are listed in a dropdown as language options for your students. So for example, if the original language is English and you don’t create a variation in English, “English” won’t show as a language option.

 Does Elucidat Support XLIFF 2.0?

Elucidate does not support XLIFF 2.0. It currently only supports XLIFF 1.2 and CSV.

Hopefully, Elucidat will offer compatibility with XLIFF 2.0 in the future. XLIFF 2.0 provides a better experience when it comes to compatibility between translation management systems and learning management systems (LMS). In the meantime, it’s fine to use CSV.

 Conclusion:

Translating Elucidat courses doesn’t have to be complex or time-consuming. By using the right tools—such as a translation management system, along with proven best practices like terminology management, translation memory, and post-editing, you can deliver high-quality multilingual training at scale. Whether you choose Elucidat’s Variations Manager or standalone courses, a strategic approach to localization will help you reduce costs, speed up delivery, and ensure learners worldwide receive clear, consistent, and culturally accurate training.
