Why Your Personal Knowledge Base Should Be Local-First and AI-Friendly

We've become incredibly good at collecting information.

Articles, bookmarks, screenshots, PDFs, research papers, code snippets, ideas, and random thoughts. There's always something worth saving.

But there's a problem: most of this information ends up scattered across different applications.

Your notes are in one app, bookmarks in another, documents in cloud storage, and screenshots somewhere in your file system.

Over time, managing information becomes almost as difficult as finding it.

I think the next generation of personal knowledge management tools should approach this problem differently.

They should be local-first, built around portable data formats, and accessible to AI agents.

Let's break down why.

 1. The Problem With Keeping Everything Inside Applications

Most productivity applications provide a convenient experience by managing your information behind the scenes.

You create notes, organize folders, add tags, and everything works.

Until you want to leave.

Depending on the application, exporting your information might mean downloading archives, converting proprietary formats, or losing relationships between documents.

Your information technically belongs to you, but accessing it outside the application can be difficult.

This creates unnecessary dependency on a single software provider.

A personal knowledge base should be something you can maintain independently of the application used to access it.

 2. Local-First Software Changes the Relationship With Your Data

Local-first software prioritizes keeping data on your own device while allowing applications to provide a convenient interface for working with it.

Instead of treating the cloud as the only place where your information exists, your local device becomes an important part of the architecture.

This has several advantages:

Your files remain accessible through your operating system.

You can use other applications to work with your information.

You have more control over backups and storage.

Your workflow doesn't necessarily depend on a cloud database.

You can choose how and where to synchronize your files.

Local-first doesn't automatically mean every application is private or secure. Implementation matters.

But the underlying philosophy is valuable: your data should not become inaccessible simply because an application changes its business model or disappears.

 3. Why Markdown Is a Good Foundation

Markdown is one of the simplest ways to make information portable.

A Markdown file is essentially a plain-text document with lightweight formatting conventions.

For example:

# Competitor Research

## Product
Example SaaS

## Observations
- Simple onboarding
- Clear pricing
- Interesting positioning

## Ideas
- Improve onboarding flow
- Explore a different pricing model

Nothing complicated.

You can open this file in a text editor, code editor, Markdown application, or process it programmatically.

Markdown offers:

Portability: Your notes aren't locked into a proprietary format.

Longevity: Plain text is easy to preserve and migrate.

Interoperability: Many applications and development tools support Markdown.

Automation: Scripts and AI agents can read and modify Markdown files.

This makes Markdown particularly interesting for people who want more control over their personal knowledge base.

 4. Your Knowledge Base Should Be Accessible to AI Agents

AI agents are changing how we interact with software.

Previously, we manually searched through documents, copied information, and organized everything ourselves.

Now, agents can perform many of these tasks.

But there's a fundamental requirement: agents need access to your information.

Consider a workspace where your notes, research, and resources are stored in accessible files.

An AI agent could potentially:

Summarize research documents.

Organize scattered notes.

Extract recurring themes.

Connect related ideas.

Turn research into structured documents.

Update existing notes based on new information.

You don't necessarily need an AI chatbot built into every productivity application.

Sometimes, making your data accessible through a filesystem or CLI is enough to let external AI tools work with it.

This is an interesting design direction: instead of building another isolated AI experience, make existing software interoperable with the agents people already use.

 5. Visual Thinking and Traditional Note-Taking Are Different

A lot of knowledge management applications are built around documents, folders, and hierarchical organization.

That works well when you're writing structured notes.

But research and brainstorming aren't always linear activities.

When exploring an unfamiliar topic, you might have:

Several articles open simultaneously.

Screenshots and diagrams.

Different ideas connected to one another.

Research documents.

Questions that haven't been answered yet.

An infinite canvas offers another way to work with this information.

Instead of organizing everything into a hierarchy, you can arrange resources spatially.

Related information can live together. Different concepts can form clusters. Your workspace can evolve as your understanding develops.

This is especially useful for research, brainstorming, visual planning, and connecting ideas.

 6. What Would an Ideal Knowledge Workspace Look Like?

I think a good knowledge workspace should combine a few fundamental principles:

Local-first storage: Your information should remain accessible on your device.

Portable formats: Use formats such as Markdown wherever practical.

Multiple content types: Support more than just text notes.

Visual organization: Allow users to arrange information spatially.

AI interoperability: Let external tools and agents work with the workspace.

User ownership: Avoid unnecessary dependency on proprietary storage systems.

These principles don't require an extremely complicated application.

In fact, the best implementation might be surprisingly simple: a flexible workspace sitting on top of accessible files.

 7. Exploring This Approach With Toxvas

This is the approach I've been exploring with Toxvas, a local-first infinite canvas for macOS.

Toxvas combines visual organization with file-based storage.

Its cards are Markdown files, and you can place different kinds of content on your canvas, including links with previews, videos, images, PDFs, and other files.

You can also record audio directly on the canvas.

One feature I'm particularly interested in is its agent CLI.

It allows AI agents to work with the Toxvas workspace through its files, making the workspace more accessible to external tools.

The idea is simple: your knowledge shouldn't be trapped inside an application. It should be something you can interact with using different tools and workflows.

If you're interested in this approach to visual knowledge management, you can explore Toxvas here:

Toxvas — Local-First Infinite Canvas for Mac

 Final Thoughts

I don't think the future of knowledge management is about building increasingly complicated note-taking applications.

It's about reducing friction between collecting information, understanding it, connecting ideas, and actually using what we've learned.

Local-first architecture, portable formats like Markdown, visual workspaces, and AI interoperability are interesting pieces of that direction.

Your knowledge base should be an asset you own, not another collection of data trapped inside an application.
