How do you handle milestone approvals with non-tech clients?

I’m a freelance web dev and I keep running into the same issue on every client project.

I finish a milestone, send the client a staging link by email, and ask them to review and confirm before I move on. Then one of three things happens:

Radio silence for days. I have to chase them.
They respond on WhatsApp with vague feedback like “it’s nice but can you change some things” — no specifics, no structure.
They say “looks good” casually, I move on and invoice, and suddenly they have 5 more changes they assumed were included in the original scope.

By the end of the project I’ve done hours of unpaid work and there’s no clear record of who approved what and when. When scope creep comes up it’s my word against theirs.

I’ve tried shared Trello boards, Notion pages, Google Docs — non-tech clients never bother creating accounts. They ignore the invite and text me on WhatsApp anyway.

What I really want is dead simple: send a link, client sees what’s done, clicks approve or leaves structured feedback, and there’s a timestamped record I can point to. No account creation on their end.

How are you all managing this? Is there a tool that actually solves this, or is everyone just winging it with emails and hoping for the best?
