I made Yotei, a Windows and Mac app that is mentioned in this guide. Originally published at yotei.win.

Meeting details reach an office assistant in every shape: an email thread, a chat message, a forwarded PDF, a screenshot from a client. The manager's calendar is only as good as how quickly and accurately those details are entered. These habits cut the time and the errors.

 TL;DR

Use one consistent event format: title, place or link, who attends and a short note.

Put the time zone in the event whenever a client is abroad.

Add travel time and preparation as their own entries.

Capture details from the screen instead of retyping them, then check each event.

 1. A consistent format

Name events the same way every time, for example "Client name: topic". Put the room or video link in the location field, and the agenda or contact in the notes. A calendar that is consistent is easy to scan on a phone.

 2. Time zones for clients abroad

Outlook can show a time zone on the event. When a message says "10:00" without a zone, ask. Our guide to calendar time zones shows how.

 3. Buffers around meetings

Add travel and preparation as separate entries, and leave space between back-to-back meetings. It is easier to remove a buffer than to find time that does not exist.

 4. Share the calendar properly

Outlook lets a manager share their calendar with an assistant. Agree on whether you may edit it and who sees private entries, so changes are not blocked by permissions at the worst moment.

 5. Stop retyping details

The slowest part is copying details from a message into an event. Capturing them from the screen is faster:

Open the email, chat or PDF with the meeting details.

Press the Yotei shortcut and drag over the details.

Check the title, date, time and place, and fix anything that is wrong.

Confirm, and the event is added to Outlook.

If your whole team does this, a team plan gives each person their own account and events. See creating Outlook events from your screen and Yotei for teams.

Yotei deletes the screenshot as soon as you confirm the event, or within 48 hours if you do not. The AI service that reads the screenshot may be outside the EEA and is only used after you consent. Details are in the privacy policy.

 FAQ

How can I add several meetings to Outlook at once?

If the details are on your screen, a tool such as Yotei can read several events from one selection, let you edit each, and add them together.

What should I check before saving a meeting?

The date and year, the time and its time zone, the location or video link, and whether the event duplicates one already in the calendar.

Can an assistant edit the manager's Outlook calendar?

Yes, if the manager shares it with edit rights. Agree on the permissions in advance.

How to Add WhatsApp Messages to Your Calendar

I made Yotei, a Windows and Mac app that is mentioned in this guide. Originally published at yotei.win.

WhatsApp is where plans get made and then forgotten: a dentist time, a school trip, a client who writes "Tuesday at 10?". WhatsApp has no calendar of its own, so the date stays in the chat until someone copies it out. Here are four ways to get it into Google Calendar or Outlook, from simplest to quickest.

 TL;DR

Write the full date, time and place back in the chat, so the message itself is clear.

Copy the line into a new calendar event: reliable, but you retype the details.

For several messages or on a computer, capture them from the screen and review the result before saving.

Always check the date, the year and the time zone before you save.

 1. Confirm it in writing first

"Thursday at 3" depends on who sent it and when. Reply with the full version, for example "Thu 12 Nov, 15:00, at the clinic". That reply is what you add to the calendar, and it also stops misunderstandings.

 2. Copy the message into a new event

Select the text, copy it, open your calendar and paste it into the title or notes of a new event, then set the date and time by hand. It works everywhere and costs nothing, but it is slow when plans arrive all day.

 3. Use WhatsApp Web on a computer and capture the screen

If you use WhatsApp Web or the desktop app, the messages are on your screen, and a screenshot tool can read them. With Yotei you press the shortcut, drag a box over the messages, and it lists the events it found for you to edit and confirm. This is useful when a parent group sends several dates at once or a client lists three appointments in one message.

Open the chat on your computer.

Press the Yotei shortcut and drag over the message.

Check the title, date, time and place, and untick events you do not need.

Confirm, and the events go into your Google or Outlook calendar.

 4. Ask the sender for an invitation

For anything with more than two people, ask them to send a calendar invitation. It adds the event to everyone's calendar and updates it if the time changes.

Yotei deletes the screenshot as soon as you confirm the event, or within 48 hours if you do not. The AI service that reads the screenshot may be outside the EEA and is only used after you consent. Details are in the privacy policy.

 Mistakes to avoid

Relative dates. "Tomorrow" and "next Friday" mean something different a day later. Check the date the message was sent. See calendar time zones explained for time zone traps.

Missing year. A message without a year can be saved in the wrong one.

Duplicates. If the same plan is mentioned twice in the chat, add it once.

For school messages in particular, see how to add school newsletter dates to your calendar.

 FAQ

Can WhatsApp add events to my calendar automatically?

WhatsApp does not create calendar events from messages by itself. You copy the details, or use a tool that reads them from your screen.

How do I add a WhatsApp message to my Outlook calendar?

Copy it into a new Outlook event, or capture it from the screen with a tool such as Yotei, which adds the confirmed event to Outlook.

Does this work for group chats?

Yes. If the messages are on your screen, you can select them and add several events at once, after you review them.
