Late invoices are rarely about bad clients. Most of the time the invoice is sitting in someone's inbox, waiting for an approval nobody asked for. A clear, polite, scheduled follow-up fixes most of it. Here's the sequence I use.

 Before you send the invoice

Put the due date and payment method in the email body, not just the PDF.

Name the person who approves payment. If you don't know, ask: "Who should I copy so this gets to accounts payable?"

Use a specific subject line:
Invoice #1042 – March design work – due Apr 15
.

Step 1: Friendly reminder (3 days before due)

Hi Sam, quick heads-up that invoice #1042 ($1,200) is due on Friday. The pay link is here: [link]. Thanks again for a great project!

Step 2: Due-date nudge (1 day after due)

Hi Sam, invoice #1042 was due yesterday. Could you confirm it's in the payment queue? Happy to resend anything AP needs.

 Step 3: Firm follow-up (7 days late)

Hi Sam, following up on invoice #1042, now a week past due. Can you share the expected payment date? Per our agreement, new work is paused until outstanding invoices are settled.

Step 4: Final notice (14+ days late)

Hi Sam, invoice #1042 is now 14 days overdue. Please arrange payment by [date]. After that, a late fee of [X]% applies as outlined in our contract. Let me know if there's an issue I can help resolve.

 Tips that make it work

Put it on a calendar the day you invoice. Sequences only work if they're automatic.

Always ask a question. "Can you confirm a date?" gets replies. "Just checking in" doesn't.

Keep the tone flat and factual. No apologies, no guilt.

Have the late-fee clause in your contract up front. Step 4 is only credible if it's already agreed.

 Want the full kit?

I packaged this sequence plus invoice email templates, payment-terms snippets, an invoice tracker, and an aging checklist as the Invoice + Payment Chase Pack ($19, instant download): https://buy.stripe.com/aFa9AU3jH5b4e6Y1TwfEk04

More freelance ops kits (proposals, scope/change orders, a $9 SEO checklist) are at https://opspack.vercel.app, plus a few free templates at https://opspack.vercel.app/free.
