Why I stopped pasting meeting notes into the cloud

Every week I used to drop the same thing into a cloud service: a recording of a client call, a founder sync, a messy brainstorm. A bot joined, transcribed, and summarized it. Convenient. But at some point I asked myself where those transcripts actually live.

What a meeting transcript really contains

A transcript is more than notes. It holds pricing discussions, unreleased product plans, hiring opinions, client complaints, and sometimes health or legal details someone mentioned in passing. It is a searchable record of everything said, attributed by name.

When a cloud bot such as Otter or Fireflies joins your call, that audio and text are uploaded to someone else's servers. Depending on the plan and settings, they may be retained, indexed, used to improve models, or shared with workspace admins. Participants also see a bot in the room, which changes how openly people talk.

 On-device vs cloud bots

Cloud bots

Join the call as a participant

Upload audio and transcripts to remote servers

Great for team search and integrations

You depend on the vendor's retention and security policy

On-device capture

Audio is processed on your own phone or laptop

No bot appears in the meeting

Notes stay with you unless you choose to export them

Works offline and in person, not just on video calls

Neither approach is wrong. A big sales team may genuinely want a shared, searchable archive. But the default of sending everything to the cloud deserves a second look.

 When private notes matter most

Freelancers often handle several clients' confidential material. An NDA rarely anticipates a third-party AI company storing your call recordings.

Founders discuss fundraising, runway, cap table details, and strategy. Leaking those, even accidentally through a breach or a misconfigured share link, can be costly.

Anyone in a sensitive conversation, such as a performance review, a customer who is upset, or a candidate interview, deserves the courtesy of not having a bot silently archive it.

 What I changed

I now ask three questions before recording any meeting: Who needs this transcript? Where will it be stored? Could I live with it being read by a stranger? If the answer to the last one is no, it stays on my device.

That is why I started using Risenote, an iOS app that turns meetings into notes and summaries with a privacy-first approach, without sending a bot into your calls. It is not trying to replace team knowledge bases. It is for the moments when the notes are yours.

If this resonates, try it and see whether on-device notes fit your workflow:
