What Is Invoice Factoring? How It Works for Freelancers and Small Businesses

You have done the work, sent the invoice — and now the client pays in 60 days. Meanwhile rent is due this week. That cash-flow gap is exactly the problem invoice factoring exists to solve.

 What is invoice factoring?

Invoice factoring is selling your unpaid invoices to a third party (a "factor") at a small discount, in exchange for most of the money up front — usually 70–90% within a day or two. The factor then collects the full amount from your client on the due date and pays you the remainder, minus its fee.

It is not a loan: you are selling an asset (the invoice) rather than borrowing against it, so it does not add debt to your balance sheet.

For a fuller explanation, see the guide: Invoice Factoring.

How it works, step by step

You invoice the client as normal, with standard payment terms.

You sell the invoice to the factor, which advances you most of its value immediately.

Your client pays the factor on the invoice due date.

The factor pays you the balance, minus a fee — typically 1–5% of the invoice value.

 When it makes sense

Your clients are large businesses with long payment terms (30, 60 or 90 days).

You need cash now for payroll, materials or a new project.

You have steady, creditworthy customers — factors check your clients' ability to pay.

When it does not make sense

Your clients already pay quickly — the fee would eat your margin for nothing.

Your invoices are small and irregular — many factors have minimum volumes.

You are uncomfortable with a third party contacting your clients about payment. (Some factors offer "non-notification" factoring, but it costs more.)

 Factoring vs. invoice financing

People mix these up. With factoring, the factor buys the invoice and collects from your client. With invoice financing, you keep collecting yourself and the invoice is simply collateral for a short-term advance. Factoring is simpler but less discreet; financing keeps the client relationship entirely with you.

 Get the invoice right first

Factoring only works on clean, professional invoices — factors will reject invoices with missing details. A free tool such as NexBillio — a free online invoice generator, no sign-up needed — creates a proper PDF invoice in seconds, with your business details, the client's details, line items and tax. It also handles quotes, estimates, receipts and credit notes.

Invoice factoring is a tool, not a habit: useful when a big invoice is stuck in a long payment cycle, but not a substitute for chasing late payers or tightening your own payment terms.

UK VAT Invoice Requirements: What Must Be on Your Invoice

If your UK business is VAT-registered, your invoices have to do more than ask for payment — they are legal tax documents, and HMRC is specific about what must be on them. Get it wrong and your customer cannot reclaim the VAT, which is a fast way to lose repeat business.

Here is what a compliant UK VAT invoice needs.

The essentials every VAT invoice must show

Your business name, address and VAT number — the VAT number is the part people most often forget.

A unique invoice number — sequential, with no gaps or duplicates.

The invoice date and the tax point (the date the goods or services were supplied, if different).

Your customer's name and address.

A description of the goods or services, with quantities.

The VAT rate applied to each item — standard 20%, reduced 5%, zero-rated 0%, or exempt.

The VAT amount per rate, and the total excluding VAT, the VAT, and the total including VAT.

The total amount payable and the currency.

For a full checklist and examples, see the guide: UK VAT Invoice Requirements.

Full VAT invoice vs. simplified invoice

For supplies under £250 (including VAT), a simplified VAT invoice is allowed — it needs your name, address and VAT number, the date, a description, and the VAT rate and amount. Anything above that, or any invoice where the customer needs to reclaim VAT, should be a full VAT invoice with everything listed above.

 Common mistakes

Missing or wrong VAT number. Without it, the invoice is not a valid VAT invoice.

One VAT figure for mixed rates. If you sell items at different rates, show the VAT separately for each rate.

No tax point date. If you issue the invoice after the supply date, state both dates.

Rounding errors. The VAT shown must add up to the total; even a penny out can cause a query.

Making compliant invoices without the hassle

You do not need accounting software to get the format right. A free tool such as NexBillio — a free online invoice generator, no sign-up needed — lets you enter your business details and VAT number, add line items with their tax rates, and download a professional PDF in seconds. It also covers quotes, estimates, receipts, proforma invoices and credit notes.

A VAT invoice is a small document with outsized consequences. Get the required fields right once, save a template, and every invoice after that takes a minute.

How to Send an Invoice by Email (and Get Paid Faster)

If you freelance or run a small business, email is still the fastest way to get an invoice in front of a client — and to get paid. But a sloppy invoice email (wrong subject line, no PDF attached, no due date) is one of the most common reasons payments drag on for weeks.

Here is a simple process that works, whether you send one invoice a month or twenty.

 1. Create a clean PDF invoice first

Never paste invoice details only in the body of the email. Clients forward invoices to accounts departments, file them, and print them — so send a proper PDF.

I use NexBillio for this: it is a free online invoice generator, no sign-up needed. Fill in your business details, the client, line items and tax, then download the PDF in seconds. It also handles quotes, estimates, receipts and credit notes.

 2. Use a subject line the client can search for

A good subject line states what it is, who it is from, and the invoice number:

Invoice #1042 — Due Nov 22, 2026

Invoice for October design work — $1,200 due Nov 15

Avoid vague subjects like "Hi" or "Attached". Accounts teams search by invoice number, so make it findable.

 3. Keep the email short

Three or four lines is enough:

Hi Sarah,

Please find attached invoice #1042 for $1,200, for the October design work. Payment is due by November 22, 2026, by bank transfer — details are on the invoice.

Thanks!
Bilal

The invoice itself carries the detail. The email just points to it.

 4. Double-check before you hit send

Is the PDF actually attached?

Does the amount in the email match the invoice total?

Is the due date and payment method on the invoice?

Did you send it to the right person — the client contact, or their accounts email?

A two-minute check saves days of chasing a payment that went to the wrong inbox.

 5. Follow up politely, on a schedule

If the due date passes, send a short reminder the next day, then again a week later. Keep it factual and friendly: "Just checking in on invoice #1042, due November 22 — please let me know if you need anything from me to process it."

 The full guide

For the step-by-step version — including email templates, what to do when a client does not pay, and how to handle VAT details — see the complete guide: How to Send an Invoice by Email.

Getting invoicing right is mostly about being clear, consistent, and easy to pay. A professional PDF, a searchable subject line, and a polite follow-up will get you paid faster than any amount of chasing.
