Originally published on the SoftSprouts blog.

If customers still book by phone, email, or a free-text form, online booking can save hours every week. The hard part is choosing how. Most businesses don’t need custom software on day one, and some outgrow a ready-made tool fast. Here’s how to tell where you fit.

The short answer: start with a ready-made booking tool if your bookings are simple. Connect it to your other systems when you’re copying details between apps by hand. Build your own when your pricing, availability, or customer journey is what makes you different and no tool handles it well.

 Option 1: A ready-made booking tool

Scheduling tools such as Calendly, Acuity, or Square Appointments, and rental tools such as Booqable or Goodshuffle, cover a lot of ground. You sign up, set your hours or inventory, and add a booking button to your website.

This is usually the right choice when:

Each booking is one thing, such as an appointment, a class, or a single rental item.

Prices are fixed or follow simple rules.

You need it working this week and don’t want to manage software.

The trade-off: you work the way the tool works. That’s fine until your business stops fitting its boxes.

Option 2: The tool, plus the right connections

Many businesses hit a middle stage. The booking tool works, but people spend hours around it: copying bookings into a spreadsheet, sending the same confirmation details, answering “is this available on Saturday?” by hand.

Before replacing anything, look at connecting what you have:

Booking to accounting or CRM, so customer and payment details don’t get retyped.

Automatic reminders and follow-ups by email or text to cut no-shows and late returns.

A smarter enquiry form that asks for the date, address, and headcount up front, so quotes don’t start with three emails.

An AI assistant on your website that answers common questions from your own policies and passes real requests to your team.

This keeps the tool you already know and removes the repetitive work around it. It’s often the best value of the three options.

Option 3: A custom booking system

Custom makes sense when the booking itself is complex or is part of what you sell. Common signs:

Quotes have many moving parts: several items, delivery distance, setup and teardown time, deposits, or seasonal pricing.

Availability depends on more than a calendar: shared inventory, staff, vehicles, or buffer time between jobs.

You run a marketplace where other people list items or services and customers book them.

You’ve tried several tools and each one forces workarounds your team hates.

A custom system can match exactly how you work, and it can grow with you. It also means a bigger upfront investment and ongoing care, so it should solve a problem a tool genuinely can’t.

What decides the cost of a custom booking system

Every project is different, but the same few things drive the price:

Your pricing and availability rules. Simple time slots are quick. Bundles, deposits, and inventory that overlaps take longer to get right.

Payments. Taking full payment is simpler than deposits, refunds, and damage holds.

Connections to other software, such as accounting, CRM, email, or an existing booking tool you keep for part of the business.

The admin side. Your team needs a clear dashboard to see, change, and confirm bookings. It’s often as much work as the customer side.

Web app or store app. A booking web app works on every phone and computer. A store app for iPhone and Android adds work, and it only pays off for customers who book often.

We wrote more about this in what drives the cost of a custom app or AI feature.

Five questions to ask before you choose

How do most customers book today, and where do they drop off or get stuck?

How many hours a week does your team spend on booking questions and admin?

Could a ready-made tool handle at least 90% of your bookings as they are?

What are you copying by hand between systems?

If you doubled your bookings next year, what would break first?

If a tool covers almost everything, use it. If your answers keep pointing to the same manual work, connect your systems first. If your pricing or availability rules don’t fit anywhere, that’s when custom software earns its place.

 Get an honest recommendation

If an existing tool fits, we’ll tell you to use it. If not, we’ll suggest the smallest version that does the job. You can ask for a free estimate, or, if you run a rental or booking business, get a free AI check with three practical ideas for your bookings.

 Common questions

Do I need a custom booking system to take bookings online?

Usually not at first. Ready-made booking tools handle appointments, classes, and simple rentals well. Custom software makes sense when your pricing, availability rules, or customer journey don’t fit any tool without constant workarounds.

Can I keep my current booking tool and still automate more?

Often, yes. Many booking tools can connect to accounting, email, and CRM software, and an AI assistant on your website can answer common questions before they reach your team. That removes much of the manual work without replacing the tool.

Should a booking system be a website feature or a mobile app?

For most small businesses, a booking web app is the better start because it works on every phone and computer with nothing to install. A store app is worth it when customers book often and would use features like push notifications.
