By Celine Haaverstad, COO, SoftSync

Most CRMs fail for the same reason: someone has to type everything in. Meeting notes stay in a notebook, follow-ups slip, and the pipeline goes stale. At SoftSync we describe our product as "a CRM an AI assistant can actually run", an all-in-one AI CRM without the data entry, built for founders, startups and small teams.

This post walks through three parts of SoftSync AI that developers and operators tend to ask about: the Meeting Assistant, the MCP server, and Autopilot.

 The everyday flow

SoftSync is built for small businesses and sales teams. The everyday flow is outreach → meeting → proposal → closing. Underneath it is a flexible data model:

Objects (People, Companies, Deals or custom ones) are tables with fields.

Records hold field values, notes, timeline activity and links to other records.

Groups are shared working areas with their own members, roles and views. One record can sit in several groups without being copied.

Views come in three types: Table, Kanban (drag-and-drop pipeline) and Calendar.

Email and calendar connect to Google Workspace/Gmail and Microsoft 365/Outlook through OAuth. You can choose to import only emails from CRM contacts, so your CRM doesn't fill up with noise.

Meeting Assistant: no bot joins the call

The Meeting Assistant is a desktop app for Mac and Windows ("SoftSync Desktop"). It captures your microphone and system audio and shows a live transcript. No bot joins the meeting, and no extra participant is invited.

Because it records computer audio, it works for:

online meetings in any app whose audio plays through your computer

phone calls routed through the computer (for example, iPhone with Mac "Calls on Other Devices", or Windows Phone Link)

in-person conversations near the computer

The workflow:

Give the meeting a title and add context. Type
@
to link the person, company or deal, or pick the upcoming calendar event.

Choose the spoken languages (up to ten), then Start.

When you End, generate an editable AI summary.

Attach the summary to a CRM record. Review suggested field changes, tasks and reminders, and save only the ones you want.

Nothing is written to the CRM until you click Attach. That's deliberate. You review the note first. Also tell everyone when a conversation is being recorded, and follow the consent laws that apply to each participant.

The desktop recorder is included on every plan. It is not a paid add-on.

MCP: let Claude or ChatGPT work in your CRM

SoftSync has an MCP server, so AI assistants such as Claude and ChatGPT can create customers, move deals and send email.

Setup is short:

In SoftSync, open Settings → AI assistant and copy the remote MCP URL.

Add it as a connector in Claude or ChatGPT.

Sign in with OAuth.

A few details matter to developers:

The assistant can only do what your role in the workspace allows.

The MCP server offers read-only and confirm-changes options.

On Claude Team/Enterprise or ChatGPT Business, an owner or admin has to add the connector first.

For Claude Code or Codex, there is a terminal command instead of a URL.

There is also a REST API (docs). Our rule of thumb: use REST for your own code, MCP for a person's AI assistant, and connector + workflow when SoftSync should call an outside system.

Autopilot: routine work described in plain words

Autopilot runs saved workflows. You can describe what you want in plain words, start from a library of templates, or use the visual editor. Triggers include record events, new emails, schedules or a manual run. Steps can include human review, and every workflow comes with run history and an audit log.

One example template is Pre-meeting Brief, which sends the host a brief before each booking.

 Data and pricing

Data is hosted in the EU (Azure, Stockholm). SoftSync says workspace data is never sold and never used to train models.

Every plan has the same features, including the AI Assistant, Autopilot, the Desktop recorder, the API and MCP. Pro starts at $29 per seat per month, billed yearly (prices exclude VAT). Plans differ on limits like team size and monthly volumes. See the pricing page for details. The checkout page shows any trial terms.

 Try it

If your CRM feels like a second job, take a look at softsync.ai, or book a walkthrough at softsync.ai/get-access.
