&lt;p&gt;AI is now part of everyday work.&lt;/p&gt;

&lt;p&gt;We use it to draft emails, analyse reports, summarise documents, and generate ideas.&lt;/p&gt;

&lt;p&gt;Most AI problems don’t happen because the model is bad.&lt;/p&gt;

&lt;p&gt;They happen because people skip basic safety checks — often because they’re in a hurry.&lt;/p&gt;

&lt;p&gt;I’ve been talking to leaders about AI governance, and I’ve found that even a simple checklist can reduce risk dramatically.&lt;/p&gt;

&lt;p&gt;Here’s a practical checklist any team can use before AI-generated work is shared, approved, or sent outside the organisation.&lt;/p&gt;

&lt;p&gt;✅ AI Safety Checklist&lt;/p&gt;

&lt;p&gt;1️⃣ Did a human review the output carefully?&lt;br&gt;
Nothing AI produces should go out without human judgement.&lt;/p&gt;

&lt;p&gt;2️⃣ Did we upload sensitive data?&lt;br&gt;
Internal strategy, financials, customer info, patient data — if yes, pause.&lt;/p&gt;

&lt;p&gt;3️⃣ Do we know where the tool stores information?&lt;br&gt;
If the answer is “not sure,” treat it as untrusted.&lt;/p&gt;

&lt;p&gt;4️⃣ Can we explain the result?&lt;br&gt;
If we can’t explain why the answer looks the way it does, we shouldn’t rely on it.&lt;/p&gt;

&lt;p&gt;5️⃣ Would we be comfortable if this became public?&lt;br&gt;
If the answer is no — don’t use it.&lt;/p&gt;

&lt;p&gt;6️⃣ Who approves the final action?&lt;br&gt;
AI never owns decisions. A human always does.&lt;/p&gt;

&lt;p&gt;Governance starts with habits, not big frameworks&lt;/p&gt;

&lt;p&gt;Policies and frameworks are important.&lt;/p&gt;

&lt;p&gt;But real governance begins with simple behaviours:&lt;/p&gt;

&lt;p&gt;✔ review&lt;br&gt;
✔ awareness&lt;br&gt;
✔ accountability&lt;br&gt;
✔ respect for data&lt;/p&gt;

&lt;p&gt;When teams follow small checklists like this, AI becomes safer — and leaders sleep better.&lt;/p&gt;

      <description>&lt;p&gt;Artificial intelligence didn’t arrive quietly.&lt;/p&gt;

&lt;p&gt;It arrived with headlines, fear, excitement, grand promises and — increasingly — regulation.&lt;/p&gt;

&lt;p&gt;But while leaders debate “AI strategy,” something else is happening quietly inside organisations.&lt;/p&gt;

&lt;p&gt;Employees have already adopted AI.&lt;/p&gt;

&lt;p&gt;They’re using tools to draft emails, summarise documents, analyse data, brainstorm ideas, and even generate legal or medical text — often without approvals, controls, or governance.&lt;/p&gt;

&lt;p&gt;That invisible layer is what I call Shadow AI — and it may be the most misunderstood AI risk today.&lt;/p&gt;

&lt;p&gt;What Shadow AI Actually Looks Like&lt;br&gt;
Shadow AI isn’t malicious.&lt;/p&gt;

&lt;p&gt;In most cases, it looks like this:&lt;/p&gt;

&lt;p&gt;A manager pastes internal reports into a public AI tool.&lt;br&gt;
A teacher uploads student information to generate feedback.&lt;br&gt;
A junior analyst feeds confidential financial data into a chatbot.&lt;br&gt;
A healthcare worker “tests” patient symptoms inside an AI assistant.&lt;br&gt;
Nobody intends harm.&lt;/p&gt;

&lt;p&gt;They’re trying to save time, improve accuracy, or simply keep up with expectations.&lt;/p&gt;

&lt;p&gt;But there’s a problem.&lt;/p&gt;

&lt;p&gt;Once information leaves the organisation’s ecosystem, leaders no longer control:&lt;/p&gt;

&lt;p&gt;where it is stored&lt;br&gt;
who can access it&lt;br&gt;
whether it is reused to train other systems&lt;br&gt;
whether copies exist forever&lt;br&gt;
Even if the AI vendor claims strong privacy controls, leaders rarely know what employees are doing — or what data has already left the building.&lt;/p&gt;

&lt;p&gt;Why Education And Policies Alone Are Not Enough&lt;br&gt;
Most organisations respond to AI in one of two ways:&lt;/p&gt;

&lt;p&gt;1️⃣ They ba&lt;br&gt;

2️⃣ They publish guidelines and hope people follow them.&lt;/p&gt;

&lt;p&gt;Both approaches fail.&lt;/p&gt;

&lt;p&gt;When AI is banned, people quietly use it anyway — just out of sight.&lt;/p&gt;

&lt;p&gt;When policies exist without governance, employees tick compliance boxes while still improvising with the tools that help them work faster.&lt;/p&gt;

&lt;p&gt;Shadow AI grows either way.&lt;/p&gt;

&lt;p&gt;This isn’t a “bad people” problem.&lt;br&gt;
It is a governance problem.&lt;/p&gt;

&lt;p&gt;Governance Means Controlling Actions, Not Just Tools&lt;br&gt;
From my perspective, responsible AI isn’t primarily about the model.&lt;/p&gt;

&lt;p&gt;It’s about what AI-touched work is allowed to do.&lt;/p&gt;

&lt;p&gt;Become a member&lt;br&gt;
Drafting an email?&lt;br&gt;
Reasonably low risk.&lt;/p&gt;

&lt;p&gt;Sending an email that was fully generated by AI — to thousands of customers — without human oversight?&lt;/p&gt;

&lt;p&gt;Very different.&lt;/p&gt;

&lt;p&gt;That’s why organisations need both:&lt;/p&gt;

&lt;p&gt;policy — what employees should or should not do&lt;/p&gt;

&lt;p&gt;governance gates — what actually leaves the building&lt;br&gt;
In practical terms, that means:&lt;/p&gt;

&lt;p&gt;sensitive data cannot be pasted into external tools&lt;br&gt;
AI outputs must be reviewed before execution&lt;br&gt;
high-risk actions require approvals&lt;br&gt;
activity is logged transparently&lt;br&gt;
When governance exists, AI becomes less scary — because nothing important happens automatically.&lt;/p&gt;

&lt;p&gt;A Simple Starting Framework: SAFE AI&lt;br&gt;
To make this easier for non-technical teams, I use a simple approach I call SAFE AI:&lt;/p&gt;

&lt;p&gt;S — Set rules&lt;br&gt;
Define clearly what data is allowed, what is prohibited, and why.&lt;/p&gt;

&lt;p&gt;A — Approve tools&lt;br&gt;
Provide secure, organisation-approved AI platforms instead of leaving people to experiment.&lt;/p&gt;

&lt;p&gt;F — Filter sensitive data&lt;br&gt;
Personal, confidential, strategic or regulated data should never leave protected environments.&lt;/p&gt;

&lt;p&gt;E — Educate everyone&lt;br&gt;
AI literacy is now part of professional responsibility — not just an IT topic.&lt;/p&gt;

&lt;p&gt;This isn’t meant to slow AI down.&lt;/p&gt;

&lt;p&gt;It is meant to build trust and accountability, so AI can scale without creating reputational or legal damage.&lt;/p&gt;

&lt;p&gt;AI Won’t Slow Down — Governance Must Catch Up&lt;br&gt;
AI isn’t going away.&lt;br&gt;
Tools will become faster, more available, and easier to hide.&lt;/p&gt;

&lt;p&gt;Leaders have a simple choice:&lt;/p&gt;

&lt;p&gt;Ignore it&lt;br&gt;
— or —&lt;br&gt;
Build systems that manage it responsibly.&lt;/p&gt;

&lt;p&gt;Shadow AI is not the villain.&lt;br&gt;
Unmanaged AI is.&lt;/p&gt;

&lt;p&gt;We don’t need fear.&lt;br&gt;
We need governance, clarity and responsible leadership.&lt;/p&gt;
