Remind from the ledger, not yesterday's list

Automated EMI reminder calls help a lender explain an upcoming due date and capture a borrower's requested next step. The useful outcome is an accurate reminder or an owned follow-up, based on current account information. A statement such as “I will pay on Friday” is an intention, not evidence of a settled payment.

Fonix.AI supports multilingual business voice conversations and cloud or on-premise deployment. Evaluate the reminder with your loan-management and payment systems. The account lookup, contact verification, payment-link process and escalation route need to be established for your deployment.

This guide addresses reminder operations. Account decisions, disputed amounts, hardship requests and settlement terms belong to your authorised team and approved policies. Build the call around the facts the agent may explain and the questions it must route.

 Establish eligibility before every attempt

A scheduled list can be out of date before the first call. Payments may settle, balances may change and a borrower may already have spoken to staff. Resolve each account against the current source before an attempt, including retries.

Preserve the account reference, due date, amount, source timestamp, approved contact and existing follow-up owner. Define which payment states suppress reminders and which require reconciliation. A pending payment should not be silently treated as failed or settled.

Use your approved identity process before disclosing private account information. The person answering a registered number may be someone else. When verification fails, give a neutral next step through an approved channel rather than reading out financial details.

Put calling eligibility, permitted contact timing, frequency and preference handling into a policy the workflow enforces. Have the responsible team review that policy against applicable requirements. A product feature does not establish that a campaign is suitable to run.

Figure 01. A queued account is an input. Current payment state decides the action.

Read back the amount and date accurately

Use the current approved record for the reminder. Speak the amount, due date and available next steps clearly. Distinguish an EMI amount from an outstanding balance or a charge; combining them without explanation can change what the borrower understands.

Input

Conversation check

Outcome field

Due date

Repeat an unambiguous day and month

Source date and accepted readback

Amount

Use the applicable currency and amount type

EMI amount, separate from other balances

Already paid

Ask only for approved clarification

Reported payment and reconciliation task

Intends to pay

Preserve the stated date and uncertainty

Payment intention, not paid status

Amount disputed

Capture the question without deciding it

Dispute and responsible queue

Requests assistance

Route according to the approved process

Callback or assistance request

Test mixed-language numbers and corrections. “Eight thousand four hundred, not eighty-four thousand” must change the stored amount interpretation. When the source itself is unclear, stop quoting the amount and assign a review.

Do not improvise penalties, credit consequences or alternative terms. The agent should explain only approved information, preserve the borrower's words and route decisions to their owner.

Reconcile reported payments and stop stale reminders

When a borrower says they have paid, record the report separately from the ledger. Use an authorised payment-status lookup or create a reconciliation task. The agent cannot infer settlement from confidence in the caller's voice.

Before scheduling another attempt, check whether a payment has settled or a staff follow-up is active. A retry should have the same task identity and explicit stop conditions. An old queue item must not start a new sequence after the account no longer requires contact.

Where payment-link delivery is configured, use an approved destination and track its actual send result. Explain the next step without requesting passwords, card security details or payment authentication codes during the call. A sent link remains distinct from a completed transaction.

Retain enough evidence for the team to resolve an unknown result: the source timestamp, lookup reference, delivery result and receiving owner. Follow your retention and access policy rather than collecting additional information because it might be useful later.

Figure 02. Only the confirmed account record establishes settlement.

A worked reminder and payment correction

This fictional example assumes the account has been verified and the current record shows a due amount, with no settled payment yet.

Assistant: This is the automated reminder assistant for Cedar Finance. The current record shows an instalment of ₹8,400 due on 12 November. Is there a question you would like our team to review?

Borrower: I paid this morning. App mein pending dikh raha hai.

Assistant: I have recorded that you paid this morning and that the app shows pending. I will route a payment-status check. I will not mark this as a settled payment until the account system confirms it.

The operational record preserves a borrower-reported payment, a pending status and a reconciliation owner. It should not create a second payment request while the agreed review is pending unless the responsible policy explicitly calls for that action.

Suggested fields include account reference, verification result, current due record, source time, borrower response, reported payment status, intended date, dispute reference and follow-up owner. These are design suggestions, not a Fonix API schema.

 Give exceptions a responsible destination

Exception

Expected workflow

Payment settles while a call is queued

Suppress the attempt after a fresh lookup

Another person answers

Use a neutral response without account disclosure

Ledger and payment service disagree

Preserve both source references and assign reconciliation

Borrower disputes a charge

Route the exact dispute to the authorised queue

Lookup times out

Avoid quoting a stale result as current

Borrower requests a person

Transfer or create an owned callback with context

Borrower needs different terms

Record the request for authorised review

Demonstrate these cases with the resulting records visible. A calm tone is useful, but the test must also establish whether the account is correct, stale tasks stop and unresolved questions reach a person.

Measure account outcomes and unnecessary contact

Track eligible accounts, attempted contacts, verified conversations, reconciliation tasks, accepted callbacks and settled payments using the same cohort and observation window. Keep the status at call time so later settlement does not erase the original context.

Compare equivalent account groups and contact periods. A settled payment after a reminder may have been an existing automatic debit; do not claim that every subsequent payment was caused by the call. A pilot baseline or holdout can support a more careful comparison.

Also measure repeated contact after settlement, wrong-person disclosures, incorrect readbacks and unresolved reconciliation time. Those failures matter even when total payment volume looks favourable.

 Evaluate one reminder stage first

Bring a masked due record, payment states, verification rules, approved language and your exception destinations. Ask to see a newly settled payment, a disputed amount and a source lookup with an unknown result.

Use the multilingual guide to test dates and amounts, and the on-premise guide to review deployment boundaries. Request an EMI reminder workflow review before expanding the scope of account actions.

Originally published as a Fonix.AI practical guide by AntEngage. This republication uses the same guide content.

A reminder should make the appointment easier to manage

Automated appointment reminder calls contact someone about an existing booking and capture whether they plan to attend, need to reschedule or want help. The useful result is an updated attendance response or an owned request. Sending a reminder does not establish that the person heard it, and a reminder response should not silently change the appointment.

This workflow is different from an AI receptionist for new clinic enquiries. The receptionist creates or changes a booking after a conversation; the reminder begins with a booking already in the scheduling source. Keeping those triggers separate helps prevent duplicate appointments and stale notifications.

Start with one appointment category and a clearly defined reminder window. Use the clinic's approved contact and privacy process, keep clinical questions with the care team, and have the front desk review unresolved outcomes before expanding the pilot.

Recheck the booking before each attempt

The reminder job should carry an appointment reference, scheduled time, appointment version and the contact record selected through the clinic's process. Do not identify the booking only by phone number: a household may have several appointments and share a number.

At job creation, apply the reminder window and contact preferences. Immediately before calling, read the appointment again. It may have been cancelled, moved to a different branch or assigned a different doctor since the job entered the queue.

If the version changed, replace the stale task according to your scheduling rules. If the appointment is no longer eligible, stop the reminder. Keep the reason visible so an operator can distinguish intentional suppression from a failed call.

Choose whether the workflow merely records a reschedule request or can complete a new booking. Those are different permissions. A reminder integration that reads upcoming appointments should not be presented as a rescheduling integration unless the relevant write actions are supported and tested.

Figure 01. Replace or suppress a job that no longer matches the booking.

Ask for a response the front desk can use

Introduce the clinic and automated assistant, then follow the approved process for speaking with the intended recipient. Disclose only the appointment information needed for this task. Appointment calls should not become a place to collect symptoms or generate treatment advice.

Repeat the current appointment date, time and branch where appropriate, then ask whether the person plans to attend. Make it easy to request a different time or a staff callback. Read the selected next step back before recording it.

Here is an illustrative conversation, assuming the scheduling source has returned the current booking:

Assistant: Hello, this is the clinic's automated appointment assistant. Is now a suitable time to discuss your upcoming booking?

Patient: Tomorrow morning possible nahi hai. Friday ko shift kar sakte hain?

Assistant: You would like a Friday appointment instead of tomorrow morning. I will check the clinic's rescheduling process. I will confirm a change only after the scheduling system accepts it.

If the deployment supports only callback requests, the assistant should instead explain that the front desk will receive the request. The original booking remains unchanged until the authorised process completes.

Keep attendance response and booking status separate

Use separate fields or equivalent system concepts for the appointment itself and the response to the reminder. “Plans to attend” is an attendance response. “Cancelled” or “rescheduled” is a booking state that should be confirmed by the scheduling source.

Reminder result

Appointment treatment

Next action

Plans to attend

Keep the current booking

Record attendance confirmation

Requests a different time

Keep current state until the change is confirmed

Check availability or assign a reschedule task

Requests cancellation

Follow authorised cancellation rules

Save the confirmed result or an owned request

Requests a person

Preserve the booking

Assign callback context to staff

Does not answer

Preserve the booking

Apply the agreed retry policy

Wrong recipient or unclear identity

Do not disclose further details

Review contact information

A suggested outcome record includes appointment reference, observed version, attempt time, recipient-verification result, attendance response, requested action, confirmed action result and callback owner. Adapt it to the clinic's system; it is an example record design, not a Fonix API contract.

Treat rescheduling as a controlled transaction

If direct rescheduling is supported, retrieve availability from the correct doctor, service and branch. Repeat the proposed date and time and obtain agreement before making the change. The scheduling system should define whether it offers one atomic reschedule operation or requires another sequence.

Do not cancel the original appointment first and then discover that the replacement slot is unavailable. Confirm how the integration protects the original booking when a replacement write fails. If it cannot guarantee the transition, use an explicit staff-reviewed process.

When a write times out, query the appointment and attempted operation before retrying. The change may have succeeded even though the response did not arrive. Blind retries can create duplicates or send conflicting confirmations.

If messaging confirmation is configured, send the final source-system details after the change succeeds. Track message delivery separately. Cancel or invalidate future reminders associated with the old appointment version.

Figure 02. Unknown or failed change? Check state and use the recovery route.

Test stale jobs and contact boundaries

Question and responsible owner

Test shared family contact numbers and a person correcting the date halfway through the call. Have front-desk staff check whether each saved response is sufficiently clear to complete the next action.

Measure reminders against an appointment baseline

Track eligible appointments, attempted reminders, conversations with the intended recipient, attendance confirmations, reschedule requests and completed changes. Measure callback completion separately so a growing queue does not disappear behind a high call-answer rate.

For attendance, use appointments from the same defined cohort and observe their final outcomes. A reasonable measure is attended appointments divided by eligible appointments, with cancellations and reschedules handled consistently in the comparison. Also review attendance by reminder-response state.

Compare similar services, booking lead times and periods. Holidays, appointment urgency, staffing and changes to the scheduling process can affect attendance. Do not promise a no-show reduction percentage without measured evidence from the actual deployment.

Check record quality as well as attendance: stale reminders sent, wrong branch details, duplicate appointments and unresolved reschedule requests all matter. A pilot that increases attendance while creating incorrect records still needs repair.

Evaluate one reminder window with Fonix

Fonix.AI supports reminder conversations and Indian-language calling. Bring upcoming appointments, reminder timing, recipient-verification rules, scheduling permissions and a front-desk owner. Ask for a normal attendance confirmation, a cancellation in the queue and a failed reschedule.

Request a reminder and rescheduling demo.

Originally published as a Fonix.AI practical guide by AntEngage. This republication uses the same guide content.

Recover the unanswered question behind checkout

AI abandoned cart recovery calls can help a D2C team understand why an eligible shopper left checkout and offer an approved next step. The aim is to resolve a question or obstacle, then verify whether an order followed. A promise to purchase, a sent link and a paid order are different outcomes.

Cart recovery happens before a completed order. COD confirmation verifies an existing order before dispatch; NDR calling addresses a shipment after failed delivery. Keeping those states separate prevents the wrong call from reaching a customer.

Fonix.AI provides business voice conversations in Indian languages. Use this guide to evaluate a cart workflow against your store and contact policies. Store events, checkout links and product lookups require confirmed deployment connections; this page does not imply a native ecommerce plugin.

Recheck the cart immediately before contact

An abandoned-checkout event records what was true at a particular time. By the time a queued call runs, the shopper may have purchased on another device, changed the cart or contacted your support team.

Preserve the checkout reference, event time, store, contact preference and allowed outreach window. Read the latest checkout and related order state before calling. Suppress completed purchases, superseded checkouts and records that are no longer eligible under your policy.

Do not treat an identical telephone number as sufficient proof that two carts belong to the same person. Decide how your store resolves checkout identity and avoid revealing another shopper's items. Keep only the context needed for the assistance task.

If the store cannot provide a current result, hold the call or route the record for review. Repeating a stale discount or asking someone to buy an order they already paid for creates avoidable confusion.

Figure 01. Keep event history. Suppress outreach when the order is complete.

Find the blocker before offering a remedy

Start with permission to discuss the unfinished checkout. Ask whether help would be useful. The shopper might be comparing products, checking delivery coverage, looking for a payment option or simply choosing not to buy.

Shopper's question

Source needed

Appropriate next step

Is this size available?

Current variant inventory

Explain the available choice without reserving unheld stock

Does delivery reach my postcode?

Approved serviceability lookup

Confirm current coverage or route uncertainty

Can I pay on delivery?

Store's payment and cart rules

Explain the applicable option

Is the offer still valid?

Current offer conditions

Quote the approved terms, not a remembered campaign

Can I change the item?

Current catalogue and checkout capability

Help with an allowed change or send the request to support

I do not want to order

No sales inference required

End the recovery flow and honour the preference

Avoid inventing scarcity, delivery dates or discounts to secure a commitment. When a question needs expertise or a store decision, hand it to the right person with the exact product and question attached.

Regional language tests should include sizes, colours, quantities, prices and corrections. “One blue, not two black” changes the order. Review the final checkout state against the conversation rather than scoring fluency alone.

Keep link delivery and order completion separate

A checkout link should point to the store's approved destination and current cart. Define who can create or retrieve it, how long it remains usable and what happens if the contents change. Never ask the caller to disclose payment credentials to complete a purchase.

If a message is configured, record whether it was requested, sent and delivered using the evidence your messaging system supplies. Do not announce delivery simply because a send request was accepted.

Recheck the order state before scheduling another follow-up. Once an order exists, move to its appropriate post-order workflow instead of continuing cart recovery. A retried event should not create another recovery sequence for the same checkout.

Agree on the attribution window before the pilot. A shopper who purchases several days later through another channel may be relevant to the cohort, but the call cannot automatically take credit for every subsequent order.

 An illustrative recovery conversation

Assume a fictional store has confirmed that the checkout is still open and the requested payment option is currently available.

Assistant: Hello, this is the automated assistant for Willow Store. Would you like help with the checkout you started?

Shopper: Payment nahi hua. I was checking if COD is available for this address.

Assistant: I can check the approved delivery and payment options. Which postcode should I use for this checkout?

Shopper: The saved address is correct. Also one medium, not large.

Assistant: I have noted medium as your requested size. I will check its availability and the payment option before sending a checkout link.

The record should keep the payment question and size correction distinct. A link should not preserve the old size. If changing the cart requires staff action, record the request for review rather than say it was updated.

Suggested outcome fields include checkout reference, current cart version, eligibility result, blocker, approved answer source, change request, link status, follow-up preference and verified order reference. They are proposed workflow fields, not a Fonix API specification.

 Handle changes and unanswered calls

Exception

Decision

Purchase completes while the call is queued

Suppress outreach after a fresh order check

Product becomes unavailable during the call

Explain the current result and offer only approved alternatives

Two checkouts share contact details

Resolve identity using the store's rules before exposing items

Link creation times out

Check whether a link was created before retrying

Shopper requests later contact

Record a single requested time and recheck eligibility then

Shopper raises a refund or delivery complaint

Route to support; do not continue the cart pitch

Apply your contact preference and attempt policy to unanswered calls. Use a bounded sequence with explicit stop conditions rather than repeated calls until someone answers.

Measure incremental orders with a holdout

Report eligible carts, contacts attempted, conversations, blockers resolved, links delivered and verified orders. Separate delivered, cancelled and returned orders when assessing revenue quality.

For a randomly assigned eligible cohort, compare the order rate among called shoppers with a holdout receiving the usual treatment. Use the same observation window and account for other campaigns. The difference estimates incremental orders under the pilot conditions; total orders after calls do not establish that the calls caused them.

Include calling, platform and follow-up costs in the evaluation. A recovered gross order value is not contribution margin. Review discounts, shipping, cancellations and returns using your own business data.

Figure 02. Same eligibility and observation window; report costs and returns.

 Review a small store-specific pilot

Bring a real abandoned-checkout event, catalogue and offer sources, purchase-suppression rules and an attribution baseline. Demonstrate an already-purchased cart, an unavailable size and a link request with an uncertain result.

The customer-support guide covers answers and escalation; the voice cost guide helps compare pilot economics. Request a cart recovery review to establish the required connections and outcome definitions for your store.

Originally published as a Fonix.AI practical guide by AntEngage. This republication uses the same guide content.

What an AI property call should accomplish

AI calling for real estate helps a sales team respond to property enquiries, clarify buyer requirements and arrange a relevant site visit. The useful output is a record the salesperson can use: which project the person asked about, what they need, whether a visit was agreed and who owns the next step. A connected call alone does not establish buying intent.

Start with one project and one enquiry source. Compare the source record with the conversation, then compare booked visits with visits actually attended. This makes it possible to distinguish a routing problem from unsuitable inventory or a weak handoff.

Fonix.AI supports inbound and outbound conversations in Indian languages. Use it to evaluate a defined property-enquiry workflow; confirm the source-system, CRM and calendar connections needed for your deployment. This guide proposes an implementation and test plan, rather than promising that every property portal is already integrated.

Start with the enquiry and the right project

A form submission should carry an enquiry reference, project reference, source, creation time and the agreed contact preferences. A telephone number helps identify a conversation, but it does not uniquely identify a buyer or a project. A household may share a number, and a person may enquire about several properties.

Before calling, resolve duplicate submissions against your team's policy. Keep the individual enquiry history even if several records share one contact. Assign a current sales owner so a callback does not conflict with a salesperson already speaking to the buyer.

Open with the actual enquiry: identify the business, explain that it is an automated assistant and name the project or location the person requested. Ask whether it is a suitable time. If the person does not recognise the enquiry, record that result and stop the qualification flow. A wrong number should not become a disqualified buyer in your pipeline.

Use the same opening context for inbound calls after hours. If the project is unclear, ask which listing the person saw before presenting availability or a price.

Qualify for relevance without a long interrogation

The purpose of the first call is to find the appropriate next conversation. Ask a few questions that determine which inventory or salesperson can help, and let the person answer in their own words.

Question

What the answer changes

What to record

Which location or commute matters?

Suitable projects and branches

Required locality and flexible alternatives

What home configuration are you considering?

Relevant inventory

Stated configuration, not an inferred family profile

When are you hoping to move or buy?

Follow-up timing

Their stated timeframe and any uncertainty

Is there an approximate budget range?

Whether a project is worth discussing

Range and currency, with clarification when needed

Would a site visit or a salesperson callback help?

Immediate next action

Preferred action and suitable contact time

Avoid turning missing answers into guessed answers. If a buyer has not decided on a budget, preserve that uncertainty. If the person is still exploring, offer the approved information or a later conversation instead of forcing a visit.

A multilingual qualification test should include place names, amounts and corrections. Understanding “around eighty lakh, not one crore” correctly matters more than sounding fluent while saving the wrong number. The language evaluation guide explains how to score those fields.

Figure 01. Sales should see the next useful conversation, not a guessed score.

Book a site visit against real availability

Use an approved project-information source for current inventory, indicative pricing, location, visit hours and contact instructions. Give each document an owner and update date. The assistant should distinguish an approved quoted fact from a question that needs the sales team.

Do not let it infer possession dates, discounts, financing approval, legal status or investment returns from an old brochure. Route these questions to the responsible person when the answer is not explicitly approved. Even a correct brochure statement may be outdated for a particular unit.

When a buyer requests a visit, retrieve available visit times. Repeat the project, branch or meeting point, date and time. Write the booking only after the buyer agrees, then announce it after the scheduling system confirms the write. If only callback assignment is configured, describe it as a callback request.

Include a reference and sales owner in the resulting record. If directions or a confirmation message are part of the deployment, test that delivery separately. A message being attempted does not prove the buyer has received the address.

A worked call and its resulting record

This is an illustrative conversation for a fictional project. Assume its approved visit calendar has returned an available Sunday slot.

Assistant: Hello, this is the automated assistant for Cedar Homes. You asked about our Whitefield project. Is now a good time to discuss the enquiry?

Buyer: Haan, but two BHK chahiye. Saturday nahi, Sunday afternoon dekh sakte hain.

Assistant: Understood: a two-bedroom home, and Sunday afternoon for a visit. I will check the visit schedule. Are you looking only in Whitefield, or are nearby locations also suitable?

Buyer: Whitefield only. Office wahin hai.

The useful record captures Whitefield as a location requirement, two bedrooms as the requested configuration and Sunday afternoon as a preference. It does not mark a visit confirmed until an exact time has been selected and successfully saved.

An illustrative outcome record could contain
enquiry_ref
,
project_ref
,
requested_configuration
,
location_requirement
,
visit_preference
,
confirmed_visit_ref
,
open_questions
and
sales_owner
. These are suggested fields for your workflow, not a published Fonix API schema. Store unknown values explicitly and preserve any correction made during the call.

Handle the cases that break the normal path

Situation

Decision

Handoff context

The lead already has a sales owner

Follow the current ownership rule

Existing owner and last contact

The requested unit is unavailable

Explain the approved availability; ask about alternatives

Original requirement and alternatives accepted

The brochure and CRM disagree

Stop quoting the conflicting fact

Both source references and the disputed field

Calendar booking times out

Check the write result before retrying

Attempt reference and requested time

Buyer asks about legal approval or returns

Send the question to an authorised salesperson

Exact question and project reference

Person requests no further calls

Stop this flow and apply the agreed suppression process

Preference update and affected contact record

Buyer asks for a different day

Retrieve availability again

Original visit and replacement result

Demonstrate a duplicate enquiry and a failed booking during evaluation. Both can sound normal to the buyer while leaving incorrect pipeline records behind. Your team should be able to find and repair the exception without replaying every call.

 Measure visits and pipeline quality

Track enquiry response time, useful conversations, visits requested, visits confirmed, visits attended and callbacks completed. Define “qualified” using agreed buyer requirements and available projects. Avoid treating every connected call as a qualified lead.

Calculate attended visits divided by confirmed visits for the same cohort. Also review attended visits divided by eligible enquiries; the second measure catches a workflow that books few visits but has a high attendance rate. Separate wrong contacts, duplicates and requests for unsupported projects.

Review a sample of records for wrong location, configuration, amount or ownership. Compare similar enquiry sources and project periods when evaluating a pilot. A different campaign mix or a new price can change conversion independently of calling automation.

Figure 02. A booking answers one question. Attendance answers another.

Bring one project to the demo

Bring a sample enquiry, current project facts, visit-calendar rules, representative buyer phrases and your handoff process. Ask for a normal booking, an unavailable unit, a duplicated lead and a buyer correcting the visit date. Review the written records as well as the audio.

The Fonix real estate use-case page describes the industry context. This implementation guide focuses on how to evaluate the enquiry-to-visit workflow. The calling software guide covers broader integration and purchasing questions.

Request a property-enquiry demo with your project and languages. Confirm the integrations, routing and operating responsibilities before extending the pilot across projects.

Originally published as a Fonix.AI practical guide by AntEngage. This republication uses the same guide content.

An answered call is only the beginning

AI calling software answers or places telephone calls, understands the caller's request and helps execute a defined business workflow. To be useful, it needs more than a convincing voice: it must retrieve the right information, record the outcome and hand over to a person when the request goes beyond its scope.

For an Indian business, a practical starting point is inbound enquiries or follow-up with people who requested contact. The goal might be a qualified enquiry, a confirmed callback or a booked appointment. Choose one of those outcomes before choosing a script, a call volume or a software plan.

Fonix.AI by AntEngage runs voice agents, chat and campaigns in one platform, supporting 14+ Indian languages and cloud or on-premise deployment. This guide explains the workflow to evaluate with the team. Specific telephony, CRM and booking integrations should be confirmed against your existing systems before rollout.

Choose the job before the calling tool

A dialler, a voice broadcast and a conversational agent solve different problems. Start with what the recipient needs to do, not with how many calls the system can initiate.

Tool

What it does

A sensible use

Dialler

Connects a call to a person or queue

Staff conduct the conversation and decide the action

Voice broadcast

Delivers a recorded message

An announcement does not require a conversation

IVR

Routes the caller through configured choices

A small, predictable set of destinations

Conversational voice agent

Handles free-form replies within a defined workflow

An enquiry needs clarification, a lookup, a booking or a handoff

If a contact only needs a short announcement, an interactive agent may add unnecessary cost. If the recipient needs to ask a question or change a booking, a one-way recording will not finish the job. Evaluate both the normal path and the requests you expect to escalate.

Connect the enquiry to a completed next step

 1. Start from a trustworthy record

An inbound call starts with the caller's request. Outbound follow-up should start from an enquiry or another agreed contact reason, with the appropriate permission, number and current status. Identify the system that owns this information and keep it current.

Before an outbound attempt, check whether the person has already been contacted, opted out or completed the task. A fresh campaign upload should not erase those facts. Agree who maintains contact rules and how updates reach the calling workflow.

 2. Define one useful conversation

Write down the agent's job in a sentence: establish the enquiry, ask the agreed qualification questions, then arrange a callback with the right team. Give it the information it can use and the decisions it is allowed to make.

Separate known facts from generated language. Course fees, appointment availability, property inventory and payment status must come from an approved source. When a fact is unavailable, the next action is clarification or handoff, not a plausible guess.

 3. Handle the caller's language and timing

Introduce the assistant clearly and establish whether it is a suitable time to talk. Let the caller change language, ask for a callback or request a person. A Hindi opening with English dates and regional place names is a realistic evaluation case.

Fonix supports Indian-language and code-switched speech. Test with your own names, vocabulary and accents, including pauses, interruptions and corrected answers. A polished sample call does not establish how every call in your campaign will behave.

 4. Read, confirm, act

Retrieve information from the agreed system, confirm the caller's choice and then perform the permitted action. Announce a booked meeting or appointment only after the destination system confirms the write. If the write fails, retain an explicit pending outcome and offer the agreed alternative.

For a callback, establish who will receive it and what time can genuinely be offered. For lead qualification, capture the useful answers and hand them to the appropriate team. Do not turn an uncertain answer into a stronger sales signal merely to improve a dashboard metric.

 5. Finish with a usable outcome

Store the request, relevant answers, agreed next step, action result and handoff reason. A transcript is useful evidence, but it is not a substitute for a record that tells the team what to do next.

Use explicit statuses such as callback requested, booking confirmed, handoff pending, not interested or unresolved. These are illustrative categories, not a published Fonix API contract. Agree how they map into your actual CRM and which person owns each pending task.

A follow-up example with an honest handoff

This is an illustrative enquiry call, not a customer recording or a conversion claim. Assume a prospect has requested contact about a product demonstration.

Caller: Hindi. कल तीन बजे के बाद.

Assistant: मैंने Hindi में, कल तीन बजे के बाद callback की preference note की है। हमारी team availability confirm करेगी।

The assistant records a requested time, not a guaranteed appointment. If the workflow can retrieve a real team slot and reserve it, it can instead confirm the booking after a successful response. The wording follows the action result.

A useful handoff tells the receiving team the enquiry source, preferred language, requested callback window, relevant qualification answers and any unresolved question. Send only information needed for the task through the configured system. Assign responsibility so the handoff does not end in an unattended queue.

Build retries around state, not repetition

Failure or interruption

Workflow response

What to verify

Call is unanswered

Apply the agreed attempt policy

Attempts stop at the configured limit

Caller requests a later call

Record the preference and check scheduling rules

The request is not treated as a completed sale

Caller opts out

Update the suppression source

Later imports do not reintroduce the contact

CRM is unavailable

Keep an explicit pending state and an owner

An update is not reported as saved when it failed

Action times out

Reconcile the destination record before retrying

A retry cannot create a duplicate booking

Caller disputes a fact

Retrieve the approved record or escalate

The agent does not invent an explanation

Caller wants a person

Transfer or assign a callback

The receiving team has context and responsibility

For write actions, agree how duplicate requests are detected. A request identifier or another supported reconciliation mechanism can distinguish a retry from a new task. Demonstrate the actual integration's behaviour; do not assume that a timeout means the first write failed.

Pilot the system with failed lookups, interruptions and contradictory answers. If every test ends in success, you have not tested the operational boundaries.

Figure 01. No answer, unknown result and completed task need different paths.

 Check integrations and deployment responsibilities

Connection

Questions to resolve before rollout

Business number and telephony

Which number is used, how are calls routed and what is the fallback?

CRM or enquiry source

Which fields can be read and updated, and how quickly do changes propagate?

Calendar or booking system

Can the integration reserve a slot, detect a conflict and reconcile a timeout?

Confirmation channel

What triggers a message, what is its delivery status and where are failures recorded?

Human team

Who accepts transfers and callbacks, and what happens outside staffed hours?

Reporting

Can the team trace an outcome back to its call and destination record?

Fonix.AI can be deployed in the cloud or on-premise. Evaluate the complete system boundary: voice processing, telephony, integrations, records, staff access and ongoing maintenance. An on-premise model does not, by itself, make every connected service local.

Ask the team to confirm available integrations and show the exact deployment you need. Assign owners for scripts, approved knowledge, contact policy, support and source-system changes. These responsibilities continue after the first live call.

Compare cost per outcome, not just per minute

A per-minute quote is an input to the budget, not the final cost of the workflow. Ask what is included: platform access, business numbers, telephony, connected or attempted minutes, setup, integration work, support and recording storage where relevant.

Use a worksheet with your own expected volumes. Do not apply one estimate to both answered calls and unanswered attempts without checking how they are billed.

Budget input

What to establish

Connected call minutes

Expected answered calls multiplied by their average connected duration

Other billed attempts

The provider's billing rules for unanswered, failed and partial calls

Fixed charges

Platform, numbers and any agreed recurring support

One-time work

Setup and integration costs, with a clear scope

Human handling

Time spent on transfers, exceptions and callbacks

Completed outcomes

Verified bookings, qualified handoffs or completed callbacks

For the same reporting period, divide the total included operating cost by the number of verified completed outcomes. State what the total includes and keep quality measures beside the calculation. A low cost per outcome is not useful if the booking is wrong or the callback never happens.

Review current Fonix pricing and ask for estimates at both pilot volume and expected operating volume. Cloud and on-premise deployments have different cost structures; request a scoped quote rather than infer one from a generic rate.

Figure 02. Total operating cost ÷ verified completed tasks = cost per outcome.

An evaluation checklist for the live demo

Bring one real workflow, a sample record without sensitive customer data, preferred languages and the actions the team needs to complete. Ask the demo to show:

A normal enquiry with a verified next step.

A language change and an interruption halfway through the call.

A source-system lookup that fails.

An action whose response is delayed or uncertain.

A request for a human and a callback outside staffed hours.

An opt-out followed by another attempt or import.

The final outcome record and the person responsible for any pending work.

Compare the evidence against the work your staff currently do. Launch one bounded workflow, review the unresolved outcomes with the team and expand only when the records and handoffs are reliable.

Questions buyers ask about AI calling software

Is an AI calling agent the same as a dialler?

No. A dialler connects calls; an agent conducts a defined conversation and may retrieve information or trigger actions through configured integrations. Choose based on the task, not the label.

Can it connect to our existing CRM?

Discuss the CRM, access requirements and fields your workflow needs with the Fonix team. An integration must support the specific reads, writes and failure handling required. Do not assume every CRM is available as a ready-made connector.

Can it make calls in Hindi and regional languages?

Fonix supports 14+ Indian languages and code-switching. Evaluate your particular language mix and business vocabulary in a real call. The platform overview explains the broader voice, chat and campaign capabilities.

What should stay with a person?

Requests outside the approved workflow, disputed facts, sensitive judgement and any explicit request for a human need a defined handoff. Agree that boundary before running a campaign.

 Evaluate your own calling workflow

Ask the Fonix team to review your workflow. Bring the enquiry source, language requirements, expected volume and one action you want the call to complete. Ask for an integration walkthrough and a demonstration of both success and failure.

Explore the Fonix platform, the clinic receptionist workflow and current pricing as you compare your options.

Originally published as a Fonix.AI practical guide by AntEngage. This republication uses the same guide content.

Choose which calls benefit from conversation

Conversational AI IVR lets callers describe a request in natural speech and uses that request to select a route or complete a permitted task. Traditional IVR commonly uses defined prompts, keypad choices or constrained speech options. The practical choice is which approach helps a specific call path and how the caller can continue when it fails.

A short, familiar menu can work well for a small set of stable destinations. Conversation becomes useful when callers struggle to choose a category, need a language switch or want a task completed against a business system. Neither approach removes the need for verification, current information and a working human route.

Fonix.AI provides voice conversations for business workflows. Use one troublesome IVR branch as the evaluation scope. Confirm routing, transfers, keypad support and any business-tool connections for the proposed setup rather than assuming every telephony feature is available in every deployment.

Audit a branch before replacing the call tree

Draw the current route from entry to outcome. Note each prompt, language choice, destination, transfer and failure path. Use available call records to identify repeated menu selections, abandonment, misroutes and transfers between teams.

Pick a branch with a clear purpose, such as order status. Define who should reach it, what information is needed and what successful completion means. Keep unrelated billing and account-change requests routed through their approved paths.

Write a baseline for the branch: eligible calls, completed tasks, transfers, unresolved calls and repeat contacts within a defined window. A shorter call is not automatically better if the customer has to call again.

Ask staff which words callers use for the issue. A menu labelled “fulfilment” may receive calls described as “my parcel has not arrived.” That vocabulary gap is a concrete reason to evaluate intent-based routing, rather than replace a menu because conversation sounds more modern.

Compare task behaviour rather than labels

Requirement

Defined-menu approach

Conversational approach

What to evaluate

Small stable destination list

Direct menu selection may be sufficient

Speech can add another route

Time and effort to reach the right destination

Caller uses varied issue descriptions

Caller must choose the nearest category

Interpret and clarify the request

Misroutes and clarification success

Account-specific status

Requires a lookup behind the selected branch

Requires the same trusted lookup behind intent

Verification and source accuracy

Multiple languages

Separate prompts and routes may be needed

Language-aware conversation may help

Actual task success in each language

Unclear audio or understanding failure

A known menu can remain available

Needs clarification and a defined fallback

Whether the caller can still progress

A permitted business action

Deterministic branch with action checks

Conversational input with action checks

Confirmed result, not spoken assurance

Do not confuse conversational input with unrestricted action permissions. Understanding “cancel my order” does not establish the caller's authority, order eligibility or whether cancellation succeeded. Both architectures need those checks.

Figure 01. Verification → lookup → permitted action → confirmed result.

 Design an intent-to-action contract

Define the supported requests and their permitted outcomes. A caller can ask for something outside the pilot; the system should recognise that boundary and use an appropriate route instead of stretching a supported task to fit.

For an order-status branch, the contract might be: identify the request, establish access through the approved process, read current status, explain the supported next step and offer escalation where needed. Cancellation could remain a separate staff-reviewed route.

Preserve the original request and any clarification in the handoff record. A useful routing result contains intent, verified account or case reference where permitted, lookup result, action result and receiving destination. These are suggested design fields, not a claimed Fonix API schema.

Use the caller's correction to update conversational state. If “I want delivery status” becomes “actually the package arrived damaged,” the system should re-evaluate the route instead of continuing the old lookup flow. Clarify the current request before exposing account details or taking an action.

A worked branch: from request to route

This illustrative call uses a fictional store. Assume account verification has an approved process and the delivery lookup is part of the proposed deployment.

Assistant: Welcome to Willow Store's automated assistant. Please tell me what you need help with. You can also ask for a person.

Caller: Order ka status chahiye. Actually delivered dikha raha hai, but parcel mila nahi.

Assistant: The order shows delivered, but you have not received it. I will follow our verification process and route this as a delivery issue rather than only read the status.

The important distinction is the requested task. Reading “delivered” back to this caller would not resolve the issue. The workflow needs the relevant delivery-support route and the disputed-status context.

After any verification and lookup, a confirmed ticket or accepted transfer should determine the final message. If a transfer fails, the caller needs the configured alternative rather than an indefinite hold.

Keep a known route through failure

Define clarification limits and the point at which a caller gets a fallback. The fallback may be a menu, a staffed queue or a callback process, depending on what your telephony setup supports and what the business can operate.

Failure

Useful behaviour

Acceptance test

Request is not understood

Ask a relevant clarification, then use a known route

Caller can escape repeated misunderstanding

Caller requests an unsupported task

Explain the scope and route appropriately

No invented completion

Caller wants a person

Use the configured staffed destination

Transfer availability and timeout are checked

Account verification fails

Keep account details protected

Approved alternative remains available

Business lookup fails

Explain that the result is unavailable

No answer generated from a guessed status

Selected queue is closed

Use the approved after-hours path

Callback has an owner and correct expectation

Ask specifically about keypad input and existing IVR coexistence. Treat these as setup requirements to demonstrate, rather than assume that adding a voice agent automatically preserves every current menu function.

Migrate one branch with a rollback path

Keep a documented route back to the existing branch during the pilot. Agree how eligible calls are selected, which languages are included and when the pilot runs. If you compare two routes, use similar call groups and record routing changes that could affect the results.

Run scripted success and failure tests before live traffic. Then review an appropriately handled sample of actual outcomes with support staff. Look for misclassified requests, repeated verification, incorrect lookups, missing tickets and transfers without context.

Expand only after the first branch meets the agreed task and operational criteria. Adding every intent at once makes it harder to identify whether a failure comes from language understanding, route definitions, permissions or source-system integration.

Figure 02. Set acceptance criteria first. Speed alone is not resolution.

Measure whether callers reached a useful finish

Compare completed tasks divided by eligible calls, correct routes, accepted handoffs, abandonment and repeat contacts for the same issue. Review handling time alongside those measures, rather than treating speed as the sole outcome.

Segment by issue, language and time of day. An aggregate improvement may conceal a failing after-hours path or an unsupported language. Review a sample of the underlying records to check that “resolved” actually means a verified answer or completed action.

The customer support voice-bot guide goes deeper into trusted lookups and escalation. The calling software guide covers broader integration and purchasing decisions.

Request a review of one IVR branch. Bring the current call tree, baseline outcomes, language mix and fallback requirements so the demo can answer a concrete migration question.
