ERP systems are designed to handle common business processes, but real businesses rarely work exactly like the default workflow.

Sooner or later, someone asks:

Can we just add one small customization?

That sounds harmless.

Then another customization is added. Then another. A few months later, the ERP has become heavily modified, upgrades are difficult, and developers are afraid to touch parts of the system they did not originally build.

This is one of the most common challenges with ERP customization.

** The Problem Isn't Customization**

Customization itself is not necessarily bad.

The real problem is customizing without a clear architecture.

Before changing an ERP system, it is worth asking:

Is the requirement actually missing from the standard system?

Can configuration solve it instead of custom code?

Can the workflow be handled with existing automation?

Does the customization need to affect the core logic?

Will it still work after a future version upgrade?

These questions can prevent a simple requirement from becoming technical debt.

A Better Approach: Configure First, Customize Second

A useful approach is to move through the following order:

1. Standard functionality

First, check whether the ERP already supports the requirement.

2. Configuration

If the feature exists but needs different behaviour, configuration may be enough.

3. Automation

For repetitive tasks, automated workflows, notifications, scheduled jobs, or server-side logic may provide a cleaner solution.

4. Custom application logic

Only when the requirement genuinely falls outside the standard functionality should custom development become the main solution.

This approach doesn't eliminate custom development. It makes sure custom development is being used where it actually adds value.

 Example: A Custom Approval Process

Imagine a company wants purchase orders above a certain amount to require additional approval.

One approach would be to modify the ERP's core purchase order code.

A more maintainable approach could be to use an approval workflow with defined conditions and roles.

The business gets the required behaviour without unnecessarily changing the underlying application logic.

Think About Upgrades Before Writing the Code

One question developers should ask before implementing an ERP customization is:

“What happens when the next major version is released?”

A customization that works perfectly today can become expensive if it depends heavily on modified core files.

Using extension points, custom applications, APIs, hooks, and configuration where appropriate can make future maintenance much easier.

The goal isn't to avoid code.

The goal is to keep custom code isolated, understandable, and maintainable.

 ERPNext and Custom Development

ERPNext is particularly interesting from a development perspective because businesses can extend the platform rather than treating the standard system as completely fixed.

Depending on the requirement, developers can work with custom fields, workflows, scripts, integrations, APIs, custom applications, and other extension mechanisms.

The important part is choosing the right mechanism for the requirement instead of immediately modifying core functionality.

What We Have Learned at Zikpro

At Zikpro, we work on ERPNext implementation, customization, integrations, automation, and support.

One lesson that consistently matters is that a successful ERP project isn't just about making a requirement work today.

It is also about making sure the solution can be understood, maintained, tested, and upgraded later.

A customization should solve a business problem without creating three new technical problems for the development team.

A Simple Rule for ERP Developers

Before writing custom ERP code, ask:

Can I configure it?

If not:

Can I automate it?

If not:

Can I extend it cleanly?

And only then:

Do I really need to modify the core behaviour?

That small decision-making process can make a significant difference to the long-term health of an ERP implementation.
