Drill-Down and Drill-Up in Dashboards: What You Need to Know

Introduction

Dashboards are powerful tools for data analysis, but users often struggle to extract meaningful insights from overwhelming or overly summarized data. This is where drill-down and drill-up features come in, allowing users to explore deeper details or zoom out for broader context with ease. In this blog, we will explore what these interactive dashboard features are, when to use them and when not to use them in dashboards, how they work, and their use cases across various industries.

What are drill down and drill up in dashboards?

Drill down and drill up are data visualization features in dashboard widgets that let you explore data in detail.

The drill-down feature allows you to click on a specific part of your data to access more detailed information. For example, if you’re viewing sales by region, you can drill down to see sales figures by city within that region.

The drill-up feature, on the other hand, operates in the opposite direction. It allows you to revert to a more general perspective. So, if you’re viewing sales data by city and wish to return to the broader view of sales by region, you would use the drill-up option.

Together, these features help you move between detailed and summary views of your data, making it easier to understand and analyze.

Why do drill down and drill up matter in dashboards?

Using drill down and drill up in visualization widgets makes data exploration easier, more engaging, and more effective for everyone involved. The following are some other benefits:

why drill down and drill up matter

  • Granularity: Drilling down allows you to explore data at various levels of granularity, from high-level summaries to detailed specifics, giving you deeper insights.
  • Interactive exploration: Drill-down and drill-up features allow users to explore data in a simple way. You can start with a broad view and then zoom in to see more details, making it easier to understand complex information.
  • Discover patterns: Drilling down reveals hidden patterns, trends, or correlations that may not be evident in a static, high-level visualization.
  • User-friendly navigation: Drill-down and drill-up features make it easy for users to navigate through data. They can explore as much or as little as they want, making the experience more intuitive.
  • Enhanced reporting: When presenting data, the ability to drill down or up makes reports more dynamic. Viewers can see high-level summaries and then explore details if they want to.
  • Identify outliers: Drilling down helps you identify outliers or anomalies by focusing on specific data points that deviate from the norm.
  • Effective communication: With the ability to drill down and up, users can tell a more compelling story with their data. They can show how different pieces of information connect and justify their conclusions.
  • Contextual insights: Drilling down provides context, helping users understand the factors contributing to the data trends they observe.
  • Simplified overview: Drilling up provides the opposite. By summarizing detailed data into a broader view, it helps users see the big picture quickly without getting lost in too much information.
  • Customizable views: With these features, users can customize their view according to their needs. They can focus on what matters most to them without being overwhelmed by unnecessary details.
  • Flexibility: The drill-down and drill-up features allow users to pivot or change the focus of analysis on the fly, adapting to evolving questions or requirements.
  • Time savings: Instead of sifting through lots of detailed data, using the drill-up and drill-down features allows you to get the information you need quickly, saving time spent on analysis and giving you more time to take action.

Now, let’s explore how to enable the drill down and drill up in dashboard widgets for hierarchical data analysis in Bold BI.

How to enable hierarchical drill down and drill up in widgets in Bold BI

Using the following steps, you can enable the drill-down and drill-up features in Bold BI widgets. In this procedure, the drill-down and drill-up features are applied to a chart widget showing recovered illness cases by region. Let’s get started:

  1. Drag and drop the column data hierarchies in the columns section.

Dashboard Designer Page

  1. In the Multi-Level Drill Down window, select Yes.

Multi-Level Drill Down Pop-Up

  1. Click the series you want to drill down into in the chart. In the following figure, I have hovered over the India series, and a tooltip and shedding appear showing the data of that series—Region: India, Recovered Cases: 2.90B.

Click on the Specific Series You Want to View

  1. Next, click on the bar. The drilled-down data of the India series is rendered as shown in the following figure, allowing you to easily view the recovered cases broken down by individual countries within India.

  1. To drill up to the previous view and see the overall regional data again, click the linked Region text at the top of the chart, highlighted in the following image:

Now, let’s explore what differentiates drill down from drill up in detail.

Drill down in Bold BI dashboards

How does drill down work?

The process typically involves interacting with a visualization or reporting tool that supports drill-down capabilities. In Bold BI, the following widgets support the drill-down feature: bar chart, column chart, stacked column chart, stacked bar chart, 100% stacked bar chart, 100% stacked column chart, tree map, pivot grid, map, Bing map, and heat map.

Here’s how it works:

  1. Starting point: You begin with an aggregated or summarized view of data. This starting point provides an overview of the information you're analyzing.
  2. User action: To drill down, click on a specific data point or category of interest.
  3. Increase granularity: The widget responds by revealing a more detailed view of the data. You transition from the initial high-level summary to a more specific level related to your selection.
  4. Repeat the process: The drill-down process is often repeatable. If there are further details available, you can continue to drill down by interacting with the displayed data.

Now, let’s explore when to use it in a dashboard.

When to use the drill-down feature

Using the drill-down feature in data visualizations can enhance your depth of understanding. Here are some circumstances under which you can use it in data visualizations:

  • Hierarchical data structures: Drilling down can be used to explore hierarchical data structures, allowing users to delve into different levels of the data.
  • Time-based analysis: Drill down into time series data to investigate data patterns at various intervals, such as daily, weekly, or monthly.
  • Geospatial insights: In geospatial visualizations, drilling down lets users examine data at different geographic levels, from a global perspective down to local areas, for regional insights.
  • Anomaly detection: When anomalies or outliers are identified, users can drill down to view the underlying data points and investigate the causes or contributing factors.

Use cases of the drill-down feature

Here are some use cases that highlight the practical applications of the drill-down feature in various domains.

Insurance

In insurance claims analysis, drilling down allows agents to explore specific claim types or categories, enabling them to identify trends, assess risk, and improve claim processing efficiency.

Drill up in Bold BI dashboards

How drill up works in dashboards

The drill-up feature in dashboards ensures users have a broader view of their data by summarizing detailed information. The following Bold BI® dashboard widgets support drilling up: bar chart, pie chart, column chart, grid widget, line chart, and tree map.

Here’s how it works:

  1. Starting point: You begin with a detailed, low-level view of data. For example, if you’re viewing a sales dashboard, you may be looking at the data of individual stores.
  2. Data aggregation: As you drill up, the dashboard combines the detailed information into a summary.
  3. Broader context: You have a wider perspective on the data, helping you see trends and patterns at a higher level. You can see how specific details fit into the overall picture.

Use cases and examples of drill up

Sales

A Top 5 Products by Sales widget in a sales dashboard provides a detailed look at items’ individual sales performance. In the detailed view, you can see sales figures for the top 5 products, allowing for a focused analysis of their performance. Using the drill-up feature, you can shift to a summary view showing sales data for all products, giving you insights into overall market trends and performance.

Government

Tracking reported crimes by type in a dashboard widget helps local government authorities pinpoint the most prevalent crimes and allocate resources to their prevention. When you drill down into a specific type, you can view detailed data statistics and trends about that particular type of offense. Drilling up allows you to return to a broader overview of crime across multiple types, helping in understanding overall crime patterns and trends.
