What’s New in BoldSign: October 2025 Features and Enhancements

In the month of October, BoldSign introduced a wave of updates aimed at enhancing standards compliance, flexibility, and productivity in your e-signature workflows. From advanced template controls to AI-powered mobile features, these improvements are designed to help you work more efficiently at your desk and on the move. 

In this blog post, we’ll explore the latest additions and show how they can elevate your document signing experience. 

Lock template fields with full control for creators

Now BoldSign lets template creators prevent senders from adding, editing, or deleting form fields when using templates. By default, senders can modify fields, but this new feature can make sure templates are used exactly as intended, maintaining document integrity. 

Field configuration options 

Template creators configure these restrictions in the Template Usage Settings > Field Configuration section during template setup. Three configuration types can be enabled or disabled independently. 

Configuration Type Behavior Best for
Allow senders to add new fields Allows the sender to configure new fields during document creation. Scenarios where the template provides a base structure, but senders occasionally need to add custom fields (e.g., ad-hoc contracts requiring variable clauses).
Allow senders to edit or delete fields Allows the sender to edit or delete existing fields defined in the template. Situations requiring high flexibility, such as collaborative templates where senders must adapt fields to specific recipients (e.g., sales agreements with varying terms).
Allow senders to set default values only for fields Allows the sender to update only the default values of fields. No structural changes are allowed. Cases where the layout must remain fixed for compliance or branding, but values can vary per send (e.g., HR forms with standard fields but personalized employee data).

If all three configuration options are disabled, the sender is denied access to the field configuration page entirely. They will proceed directly from the preparation page to sending or previewing the document, ensuring a streamlined workflow for locked templates.

Key usage restrictions 

Before enabling these settings, note that certain restrictions apply to ensure templates work as intended and maintain workflow integrity: 

  • During template creation:
    •  If Allow senders to add new fields is disabled, each role must include at least one field assigned to it. Alternatively, enable Allow Configure Field or set the signer type to Reviewer.
    • If Allow senders to edit or delete fields is disabled, all required labeled fields must be prefilled with default values before saving the template.
  • During document sending:
    • Files can still be added to the document even if Allow senders to add new fields is disabled, but no new fields can be inserted into those files. 
    • New signers can only be added if Allow Configuration is enabled or the role is set to Reviewer, and field configuration permits it. 
    • Self-signing is not supported when all three field configuration options are disabled, as it would bypass sender restrictions. 
    • If Allow senders to edit or delete fields is off, the same data sync tag cannot be reused in a new field, as it’s already mapped to non-editable template fields. This prevents data conflicts in integrated workflows. 

Enhanced template download behavior via API

BoldSign now allows users to download template documents via the API with or without form field values. Use the includeFormFieldValues parameter to control this behavior: 

  • includeFormFieldValues=false (default): Excludes all form field values, returning the original clean document. 
  • includeFormFieldValues=true: Downloads the template with all form field values embedded (e.g., default values, prefilled data). 

This feature lets users share base templates, generate prefilled previews, or maintain data-free originals in automated workflows.

Move users between teams via API

BoldSign now allows you to move users between teams using the Change Team API, currently in beta. You can transfer a user to a new team and choose whether to reassign their documents to another user or keep them with the original owner. 

Key features: 

  • Specify the destination team using toTeamId
  • Optionally transfer all documents to another user with transferDocumentsToUserId
  • In-progress documents are automatically declined or revoked during transfer. 
  • Sender identity approvals are revoked; the new owner must re-approve to access on-behalf documents. 

Use cases: 

  • Reorganizing teams during growth or restructuring. 
  • Offboarding users while preserving document ownership. 
  • Managing role changes with minimal workflow disruption. 
  • Ensuring compliance in regulated environments. 
  • Reassigning users to project-specific tasks for better resource allocation.

Mobile app enhancements

The BoldSign mobile app has been upgraded with powerful new template features, bringing full desktop-level control to your fingertips. 

AI-based form field detection for templates in the Mobile App 

Users can now generate form fields automatically using AI during template creation. After uploading a PDF or Word document, tap the AI icon on the Configure Fields screen. 

The AI scans the layout and automatically places the following field types: 

  • Signature 
  • Text box 
  • Date signed 
  • Checkbox 
  • Radio button 

AI-placed fields are marked with a  sparkle icon and can be repositioned, resized, reassigned to roles, or deleted. Remove all AI fields at once via the dropdown menu. 

This speeds up template setup for standard forms like contracts, applications, or compliance documents.

Download templates without form fields in the mobile app 

The BoldSign mobile app now allows you to download any template document as a clean, original PDF that matches the file you originally uploaded and contains no form fields, annotations, or signer data. 

This feature is for: 

  • Sharing base documents with teams or clients without revealing signature placeholders. 
  • Archiving original files for legal compliance or record-keeping. 
  • Reusing documents in external systems or other workflows where clean files are required. 

You no longer need to manually cleanup or export cluttered versions. Keep your original documents intact, every time.

Schedule and send documents in the mobile app 

The BoldSign mobile app now allows you to schedule documents to be sent at a specific time, giving you more control over document delivery. Whether you’re managing time-sensitive tasks or coordinating across different time zones, this feature helps ensure your documents reach recipients at the most convenient times.

Manage scheduled sends 

Tap the context menu (three dots) on any scheduled document to access: 

  • Edit a schedule: Change the date or time your document will be sent. A box pops up to pick a new time. 
  • Send now: Skip the scheduled time and send the document to the signers right away. 
  • Cancel sending: Stop the scheduled send completely. The document moves to your Drafts folder instead.

Benefits: 

  • Send documents on your time: Schedule documents to arrive at the perfect time, even when you’re away from your desk. 
  • Coordinate across time zones: Choose a time suitable for your recipient’s local time zone. 
  • Avoid mistakes: Prevent sending documents too early or too late. 
  • Stay organized: Plan multiple document deliveries in advance for a smoother workflow.
