The "Napkin Contract": How to Digitize Field Sales Data

Why your CRM is missing the most important data because it was written with a pen.

We talk a lot about "Digital Transformation," but we ignore a massive reality of business:

People still like to write things down.

  • The Trade Show: You meet a hot lead. You don't pull out a laptop. You grab a pen and write their email on the back of a flyer.

  • The Delivery: A driver drops off a pallet. The receiver signs a paper delivery note and scribbles "2 boxes damaged" in the corner.

  • The Site Visit: A contractor fills out a safety checklist on a clipboard.

This data is gold. But it is stuck in the "Analog Trap."

Why Standard OCR Fails

For years, we tried to solve this with OCR (Optical Character Recognition). OCR works by matching pixel patterns to letters. It works great on a typed PDF.

It fails miserably on human handwriting.

  • It confuses a "7" with a "1".

  • It can't tell which text belongs to which box.

  • It chokes on cursive.

Because of this, businesses default to the only reliable "OCR" they have: A human being typing the data manually.

The Shift to Vision Models

We are no longer using OCR. We are using VLMs (Vision-Language Models).

Scanny AI doesn't just "read" pixels. It "understands" the document. If you upload a photo of a handwritten form, the AI looks at it like a human does.

  1. Context Awareness: It sees the text "Total:" and looks for a number next to it, even if that number is scribbled.

  2. Spatial Logic: It understands that the text inside the box labeled "Comments" belongs to the Comments field.

  3. Pattern Recognition: It can decipher messy handwriting by using the context of the sentence to guess the word, just like you do.

The Workflow: Paper to HubSpot

Here is how you automate the ingestion of "Analog Data":

1. The Capture

Your rep takes a photo of the document with their phone. They upload it to a specific Google Drive folder (e.g., Trade_Show_Leads).

2. The Translation (Scanny AI)

Scanny detects the image. It applies a "Lead Form Schema" you defined:

  • Name

  • Email

  • Company

  • Handwritten Notes

3. The Sync

Scanny creates a new Contact in HubSpot. It takes the messy handwritten note "Interested in Q3 Enterprise Plan" and puts it directly into the Description property.

Stop Ignoring Paper

Paper isn't going away. But the manual labor associated with it should. Don't force your field team to become data entry clerks. Let them write. Let the AI read.
