Disclosure: I'm building Notedock, one of the options below. It's not live yet — I'll be upfront about where each tool fits, including the ones that aren't mine.
Running your store ops from Notion is great: one board for fulfillment, one database for products, one for customers, all linked. The annoying part is getting Shopify data in there — and keeping it updated when an order is fulfilled, refunded or cancelled.
There's no native Shopify → Notion app on the Shopify App Store today, so here are the realistic options.
1. Manual CSV export → Notion import
Shopify Admin → Orders → Export → CSV, then import the CSV into a Notion database.
- Cost: free
- Good for: a one-off snapshot, or very low volume
- Breaks when: you need it live. Every status change means another export, and re-importing creates duplicates.
2. Zapier
Trigger: New Order in Shopify → Action: Create Database Item in Notion.
- Free plan: 100 tasks/month, two-step Zaps only, checks every 15 minutes
- Professional: from $19.99/month (≈$13.33/month billed annually), checks every 2 minutes, multi-step Zaps
- Watch out: every action is a task. Creating the order is one task; updating it on fulfillment or refund needs another Zap (find the Notion page, then update it), which costs more tasks per order. At a few hundred orders a month you're on a paid tier.
3. Make (formerly Integromat)
Same idea as Zapier, with a visual scenario builder and more control over loops and filters.
- Free plan: 1,000 credits/month, 2 active scenarios, runs at most every 15 minutes
- Core: $12/month for 10,000 credits, runs every 1 minute
- Watch out: each module action is a credit. A scenario that searches Notion for an existing order and then updates it uses several credits per order. More flexible than Zapier, but you build and maintain the logic yourself.
4. Generic sync tools (e.g. Whalesync)
Tools that sync records between apps without you building the workflow.
- Whalesync Starter: $32/month for 2,000 records in sync. Shopify is offered as a read-only "Live Export" — which is fine if you only need Shopify → Notion.
- Watch out: priced per record across all your syncs, and designed for many apps, not specifically for Shopify ops.
Notion API limits to keep in mind (any option)
Whatever you use, it talks to the Notion API, which allows about 3 requests per second per connection (180/min) on non-Business plans, and 10/s on Business/Enterprise. A historical backfill of thousands of orders takes time — a tool that doesn't throttle will hit errors.
5. What I'm building: Notedock
A Shopify app that does only this, end to end:
- One-click install from Shopify, connect Notion, done
- Ready-made Orders, Products and Customers databases, already linked — no field mapping
- Orders stay updated through fulfillment, refunds and cancellations
- Planned pricing: free up to 50 orders/month, $19 up to 1,000, $39 unlimited
