Build an AI-Assisted Website Lead Capture Workflow with n8n

A website contact form is only the first step in lead capture. Someone still needs to review the enquiry, understand what the customer wants, store the details, and notify the right person.

You can connect these steps with n8n, an AI model with API access, and your existing CRM or database.

This tutorial walks through a practical workflow blueprint. Adapt the nodes and credentials to your own services before using it in production.

Workflow overview

The workflow connects five steps:

  1. Website form — collects the enquiry.
  2. n8n Webhook — receives the submission.
  3. AI summarisation — creates a concise summary.
  4. CRM or database — stores the lead.
  5. Team notification — alerts the right person.

The exact nodes depend on your form provider, AI service, CRM, and notification channel.

Step 1: Receive website enquiries

In n8n, create a workflow and add a Webhook node. Configure its HTTP method and path, then use the test URL while developing.

Your website form needs to send the submitted fields to this endpoint. A typical payload might look like this:

{
  "name": "Alex Morgan",
  "email": "alex@example.com",
  "company": "Example Co",
  "message": "We need help automating our customer enquiries."
}
Enter fullscreen mode Exit fullscreen mode

This is illustrative sample data, not a real customer submission.

Test the webhook with a sample request before connecting it to a live form. When you're ready, activate the workflow and use the production URL.

Important: Protect the endpoint against spam and unwanted requests. Validate inputs, use appropriate authentication or verification where possible, and avoid exposing credentials in your frontend code.

Step 2: Validate the lead data

Before calling an AI service, check that the required fields exist and have reasonable values.

For example:

  • Confirm that the email field is present and has a plausible format.
  • Reject or route submissions with missing required information.
  • Limit message length.
  • Handle empty or malformed payloads without stopping the entire workflow unexpectedly.

Use an n8n IF or Code node as appropriate. Validation rules should match your form and business requirements.

Step 3: Summarise the enquiry with AI

Add the node for your chosen AI provider and configure its API credentials securely.

Send the customer's message with a constrained prompt, such as:

Summarise this customer enquiry in two sentences. Identify the main need, requested outcome, and any stated urgency. Do not invent details. Return a concise summary suitable for a CRM record.

Keep the original message alongside the summary. The AI output is an aid for the team, not a replacement for the customer's actual words.

For more reliable downstream processing, request structured output and validate the response before using it. Avoid sending unnecessary personal or sensitive information to an external AI service.

Step 4: Save the lead to your CRM

Connect the workflow to your existing CRM or database using its supported n8n node or API.

Map the fields deliberately:

Field Value
Name Submitted name
Email Submitted email
Company Submitted company, if provided
Original enquiry Submitted message
AI summary Validated AI output
Status New

Use a unique identifier, such as a CRM contact ID or a suitable deduplication key, to reduce duplicate records. Decide how the workflow should behave when a CRM request fails or a lead already exists.

Step 5: Notify the right person

Add an email or connected messaging node after the CRM step. Include the lead's name, contact details, AI summary, and a link to the CRM record if available.

A notification should help someone act quickly, without unnecessarily copying sensitive customer information into a public or broadly accessible channel.

Consider whether a failed CRM write should stop the notification or trigger a separate error alert. A successful AI response does not guarantee that the lead was saved.

Step 6: Test before going live

Test the workflow with several cases:

  • A normal, complete enquiry.
  • A submission with a missing email.
  • A very long message.
  • Duplicate submissions.
  • An AI provider timeout.
  • A CRM or notification failure.

Check the execution history and confirm that failed steps can be retried safely. Avoid creating duplicate CRM records when a retry occurs.

Which tools do you need?

  • Collect enquiries: Your existing website form
  • Connect the steps: n8n
  • Summarise messages: An AI model with API access
  • Store lead information: Your existing CRM or database
  • Notify the team: Email or a connected messaging app

You don't need to replace every tool you already use. Start with the step that causes the most manual work and connect the systems that are already part of your process.

Final thoughts

An AI-assisted lead workflow is useful only when the full process is reliable. The webhook must receive the enquiry, the AI must produce a usable summary, the CRM must save the record, and the team must know when action is required.

Start with a small test workflow, verify each step, and expand it once you understand how it behaves under real conditions.
