Why I Run My Business on Custom-Domain Email (and Pay $0 for It)
Customers don't think about email. They feel it. shop-sunset-deals-2024@gmail.com feels like it might vanish tomorrow. support@yourstore.com feels like there's a store. The trust gap costs real money, and fixing it costs almost nothing.
The setup: domain + free email routing
You don't need Google Workspace ($7+/user/month) for a one-person business. Here's the $0 version:
- Own a domain — you're probably paying ~$10/year for it anyway.
- Enable Cloudflare Email Routing (free, ~10 min setup): MX + SPF records, then a catch-all rule forwarding everything to your real Gmail.
-
Create purpose-specific addresses:
support@,orders@,press@,newsletter@. Each one forwards to the same inbox but arrives labeled by address.
In Gmail, add filters: mail to support@ skips the inbox and lands in a "Support" label; mail to orders@ gets a star. One inbox, three workflows, zero cost.
Why catch-all beats aliases
Most "email alias" services give you 5–10 aliases and charge for more. A catch-all on your own domain gives you infinite addresses, including ones you invent on the fly:
- Sign up for a supplier?
suppliername-2026@yourstore.com. When the spam starts, you know exactly who leaked it — and you kill that one address without touching anything else. - A service forces a phone-verified account but lets you use any email?
service-oct@yourstore.com, done.
Every address is disposable. Your real inbox is never the address you handed out.
The sending side (the part people forget)
Receiving is the easy half. To send as you@yourstore.com, you still need an SMTP path:
- Lightweight: use your domain registrar's or a transactional service's free tier for low-volume sends (order confirmations, password resets).
- Human replies: most people just reply from their Gmail and set the custom address as the "From" via Gmail's "Send mail as" — works fine at small scale.
Don't send marketing blasts through a free forwarding setup; that's how you earn a spam reputation. Keep bulk sends on a proper provider.
What this actually changed for me
Support response time didn't change. But the number of "is this legit?" messages from first-time customers dropped to near zero, and supplier conversations started getting answered one reply faster. Nobody admits they judge the email address — everybody does.
Total cost: one domain I already owned, one free Cloudflare account, twenty minutes of setup. Cheapest trust upgrade I've ever bought.
