Who still owes, and who you owe a makeup

If you teach piano, guitar, or voice from home, you already know who showed up. The notebook is worse at the other two questions: who has not paid, and who is still owed a makeup.

A studio of 10 to 30 students does not need a parent portal for that. It needs one page.

What to track

Four lists are enough.

  • Roster: name, instrument, lesson length, and the rate you actually charge.
  • Lesson log: date, student, and what happened. Taught, student cancel, teacher cancel, or no-show.
  • Payments: date, student, amount, and how they paid.
  • Packages, only if you sell a block of lessons up front.

From those, two numbers matter at month end.

Balance due is tuition you billed minus payments you recorded. A minus means they paid ahead.

Makeup credits owed is a count of lessons, not dollars. A student cancel adds one. Teaching that lesson later, marked as a makeup, uses one. A teacher cancel does not create a credit. A no-show bills the lesson and does not create a credit.

A week of it

Say three students.

Maya pays $320 for an 8-lesson package at $40. You have taught 4. She does not owe. She is ahead.

Eli's rate is $55. You taught 3 and he paid for 1. He owes $110.

Priya paid in full and canceled once. She owes nothing, and you owe her one makeup.

That is the whole job. The rest is typing those rows instead of hunting through a notes app.

What this is not

It will not email parents, send invoices, take cards, or replace MyMusicStaff. If you want those, keep the tool you already pay for.
