Five-rung follow-up ladder

  • Capture the source: Record where the enquiry came from: phone, website form, WhatsApp, referral, marketplace, or ad click.

  • Route by urgency: Separate routine questions, owner review, sensitive topics, payment requests, and complaint or risk items.
