Your mailbox and your OneDrive hold contracts, prices, customer history and half of what your company knows. That is exactly why people want an AI that can search and summarise them, and exactly why they hesitate. The useful question is not how clever the assistant is. It is what it is allowed to do.
In short
- DeskRaven Mail AI only reads. It prepares analyses and conclusions from your mail and OneDrive files and never sends, deletes, moves or changes anything.
- It works on your own mailbox and your own OneDrive, under rules you set, and every question is logged.
- Judge quality on your own data: run the same real questions for 14 days and check each answer against the source. The first free pilots start on 30 December 2026.
What actually worries people
When IT or management hears “AI on company mail”, the concerns are practical, and they are not about the quality of the writing. They are about control.
- Can the assistant send a message or reply on someone’s behalf by mistake?
- Can it delete, move or overwrite a mail or a file?
- Whose data can it see: only the person asking, or everybody’s?
- Can we show later who asked what, and when?
If any of the first three answers is “yes”, you have given the assistant more power than the task needs. Searching and analysing do not require it.
Read-only, in plain words
Mail AI reads messages and files and turns them into something you can use: an answer, a summary, an analysis, a conclusion with the source next to it. That is the whole job.
| Action | Mail AI |
|---|---|
| Search and read your mail | Yes |
| Search and read your OneDrive files | Yes |
| Prepare analyses, summaries and conclusions | Yes |
| Send, reply or forward a message | No |
| Delete, move or change mail | No |
| Edit, move or delete OneDrive files | No |
Because it can only read, the worst case of a wrong answer is a wrong answer. Nothing in your mailbox or on your drive is changed by it, so there is nothing to undo.
Your own data, your own rules
The assistant works on the mailbox and the OneDrive of the person using it, not on a pool of everybody’s data. IT decides which accounts take part and what the assistant may look at.
Set the rules once, centrally. A rule that applies to the whole company is easier to explain to an auditor than a habit that depends on each user.
Every question is logged, so IT can see who used the assistant and when. If something looks odd, you can look into it instead of guessing.
One question, mail and files together
Real questions rarely stay in one place. The answer to “what did we agree with this supplier about delivery?” is usually split between an email thread and a document on OneDrive. Searching both at once is where an assistant saves time.
| You ask | Where the answer lives |
|---|---|
| What did the supplier promise us about delivery in March? | Mail thread plus the signed offer on OneDrive |
| Find the contract with the termination clause | A file on OneDrive, with the related emails |
| Summarise everything about this client from the last six months | Mail history and shared documents |
How to judge quality: test it on your own mail
Many companies bought an AI assistant for Microsoft 365 and now say the answers are average: vague, missing the one email that matters, ignoring the file that was on OneDrive all along. A demo will not show that. Your own data will.
- Write down ten real questionsThe ones you or your team ask every week. Not examples from a vendor.
- Ask them in the pilotSame questions, your own mailboxes and files.
- Check every answer against the sourceDid it find the right message? Did it use the right file? Does it say where the answer came from?
- Count the missesA wrong or empty answer is a result. Keep the list.
- Compare with what you use todayIf it is not clearly better, you stop. That is what a pilot is for.

How to try it
The pilot is free and lasts 14 days. You connect a few of your own mailboxes, keep the rules you want, and on day 14 you continue, change the rules or stop. Mail AI works with Microsoft 365, Exchange Server, Outlook.com, Gmail and HCL Domino. The first pilots start on 30 December 2026.
