How to Send WhatsApp Campaigns Without Getting Your Number Blocked

The Real Problem With Bulk WhatsApp

WhatsApp is where your customers actually respond, so every business wants to reach them there — promotions, updates, re-engagement, announcements. But sending bulk WhatsApp the wrong way will get your number banned.

WhatsApp's spam detection is built to catch exactly that: unsolicited bulk messages. A number that suddenly sends hundreds of identical messages, especially to contacts who haven't chatted with you before, gets flagged quickly — and once flagged, you lose the number, sometimes permanently.

And even if the messages get out, you usually have no idea what happened next. Did people read it? Did anyone reply? Which contacts are worth following up? That is the gap Bow Chat campaigns are designed to close.

Two Sending Paths, Two Very Different Rules

Bow Chat supports two types of WhatsApp inboxes, and campaigns work differently on each. Understanding the difference is the most important thing before you send anything.

WhatsApp Cloud API — the official path

If your inbox is connected through the official WhatsApp Business API (verified by Meta), campaigns go through Meta's own messaging infrastructure. You must use pre-approved message templates — formats you submit to Meta, which checks them for quality and compliance before you can send.

This is the only path fully sanctioned by WhatsApp for marketing messages. It handles volume better and does not put your number at risk — as long as your templates are approved and your recipients genuinely opted in.

Bow Chat on the Cloud API path gives you:

WhatsApp Web — the gated, slower path

If your inbox is a regular WhatsApp number connected via QR or pairing code, campaigns work very differently — and this path carries real risk. WhatsApp can detect automated or high-volume sends from a normal number and ban it. Bow Chat does not hide this: before any WhatsApp Web campaign, you must read and explicitly acknowledge a warning that says exactly that.

Because of that risk, WhatsApp Web campaigns are:

  • Gated by an admin flag — disabled by default; only an administrator can enable it, per inbox
  • Capped — the administrator sets a maximum number of recipients or groups per campaign
  • Deliberately slow — messages go out one at a time, with a randomized gap of one to two-and-a-half minutes between sends

That pacing is not a limitation in the usual sense — it is the safety mechanism. Sending slowly at randomized intervals keeps the activity looking like normal human messaging rather than an automated blast. Two types are available when enabled: regular campaigns (one-to-one messages to individual contacts) and groups campaigns (a message to selected connected WhatsApp groups). Both require the acknowledgement and are gated per inbox.

How the Recipient Ledger Works

When you start a campaign, Bow Chat does not just fire off messages and hope. It builds a recipient ledger — one record per intended recipient — tracking each send's state: pending, sending, sent, delivered, read, failed. If the system restarts mid-send, it picks up where it left off without re-sending to anyone who already got the message; each contact gets it at most once. You can pause a running campaign and resume later — the ledger holds the checkpoint.

For large filtered audiences on the Cloud API path, the audience is resolved at send time and materialized into the ledger in batches — the campaign stores the audience rule, not a frozen list, so the exact contacts are determined when the send runs.

What You Can Track After Sending

Bow Chat records per-recipient status for every send:

  • Sent — the message left Bow Chat and reached the provider
  • Delivered — the provider confirmed it reached the device
  • Read — WhatsApp confirmed it was opened
  • Replied — a reply came back from that contact
  • Failed — it could not be delivered, and the reason is recorded

View these as a whole-campaign summary or drill into a per-recipient table with each contact's state and timestamps. Replied count is a first-class signal — a reply means the conversation is alive — and Bow Chat records when each contact first replied relative to the send.

Replies Land Back in the Shared Inbox

This is what separates a campaign tool from a broadcast-only blaster. When a contact replies to a campaign message, their reply lands in Bow Chat's shared inbox — the same place your team handles regular support and sales conversations — and the conversation is attributed to the campaign. Your team can see it, pick it up, and respond.

Campaign conversations stay out of the main inbox view until someone replies, so your working queue is not cluttered with thousands of one-way sends. The moment a contact replies, that conversation appears in the queue ready for follow-up — with all the normal tools: assign to an agent, add a label, leave a note, use saved replies, or reply directly.

Sending to Groups

For teams that operate large numbers of WhatsApp groups — distributor networks, outlet managers, franchise groups, community channels — the groups campaigns feature is relevant. When your WhatsApp Web inbox has it enabled, you can browse the groups connected to that number, filter by activity or size, and select which to send to. The audience is the group itself — the message goes to every member of each selected group.

After sending, you can see which groups had replies and which did not, and re-engage specifically the ones that replied or went quiet. Groups campaigns carry the same ban-risk warning, slow pacing, and per-inbox admin caps as regular WhatsApp Web campaigns.

What Targeting and Audience Selection Looks Like

For Cloud API campaigns, Bow Chat connects to your full contact database. You can:

  • Search by name or phone number
  • Apply filters using contact attributes — location, labels, custom fields, activity dates
  • Upload a CSV of phone numbers and names, resolved to existing contacts or created new
  • Use the output of a past campaign as your next audience — e.g. re-send only to contacts who got the last message but never replied

Filters use the same model as Bow Chat's contact database, so anything you track in your contact records can build an audience.

What Is Gated and What Are the Limits

Be clear-eyed about what is available when:

  • WhatsApp Web campaigns (regular and groups) are off by default and require an admin to enable them per inbox. No option visible = not turned on.
  • Groups and regular WhatsApp Web campaigns are each an independent flag — your inbox might have one but not the other.
  • The administrator sets a cap on recipients/groups per campaign; exceeding it stops the campaign before it sends.
  • The slow pacing on WhatsApp Web cannot be set below the enforced floor.
  • On the Cloud API path, campaigns require approved templates — you cannot send free-form text to people outside the 24-hour conversation window.

None of these are arbitrary. They reflect real WhatsApp policy and the real risk of bans — the gating is there to protect you.

  • Businesses already using WhatsApp as a primary customer channel that want structured outreach without a separate tool
  • Teams with a shared inbox who want campaign replies handled by the same team in the same place
