Then there are the final steps:
- Put everything in the correct order
- Rotate scanned pages
- Add a signature
- Add annotations or highlights
- Add a confidentiality or approval stamp
- Insert page numbers

- Reduce the final file size

Why document preparation can become complicated
Consider a typical application or business workflow.
You might start with:

Instead of editing the original scan, you can rotate the affected page during document preparation.
This is a small feature, but it can make a final document much easier to read.
4. Add a Signature
The studio supports adding a signature by:

Important limitation
A visual signature is not the same thing as a certificate-based digital signature.
The studio's signature feature places a visual representation of a signature on the document.
Whether that is acceptable depends on the recipient, organization, jurisdiction, and type of document.
For documents requiring legally recognized digital signatures or certificates, use an appropriate qualified electronic-signature or digital-signature service.
This distinction is important because adding an image of a signature should not be confused with cryptographic document signing.
5. Add Stamps
Documents often need a visible status or classification.
For example:
- APPROVED
- DRAFT
- CONFIDENTIAL
- PAID
The studio includes document stamps that can be placed on pages.
A stamp can also be copied across multiple pages when needed.

8. Compress the Final PDF
A document can become surprisingly large after combining scans and images.
This can create problems when:
- An email has an attachment-size limit
- A government portal limits upload size

- A document needs to be shared through a messaging platform
The studio provides different compression approaches.
Light compression
Light compression focuses on optimizing the PDF while keeping text selectable.
Strong and Maximum compression
Stronger compression can render pages as JPEG images at reduced resolution.
This can significantly reduce the size of scan-heavy or image-heavy PDFs.
However, there is an important trade-off:
Strong and Maximum compression can make text non-selectable because pages are flattened into images.
So compression should be chosen based on what you need from the final document.

Privacy: Files Are Processed in the Browser
One reason I designed this as a browser-based workflow is that documents can contain sensitive information.

According to the tool's current design, files are processed locally in the browser rather than uploaded to a server.
The files remain in browser memory while you work and are discarded when the tab is closed or reset.

Important Limitations
No document-processing tool handles every file perfectly.
There are several limitations worth knowing before using the studio.
DOCX conversion
DOCX files are imported as text pages.
Complex Word layouts, fonts, images, and text boxes may not be reproduced exactly.
If you need pixel-perfect Word formatting, exporting the document to PDF from Microsoft Word or another compatible application first is a better approach.
Digital signatures
The signature feature creates a visual signature.
It is not a certificate-based digital signature.
Redaction
A redaction box visually covers content.
For the underlying text to be removed from the exported output, the document needs to be exported using Strong or Maximum compression, which flattens pages into images.
For highly sensitive or legally significant redaction, specialized redaction software and verification should be used.
Large documents
The studio supports projects up to 1,000 pages and files up to 100 MB each, but very large projects can require significant browser memory.
For particularly large documents, a desktop browser with sufficient available memory is recommended.
A Simple Example Workflow
Suppose you need to submit an application containing:

financial-statement.pdf
You could prepare it like this:
Step 1 — Import
Add all five files to the studio.
Step 2 — Organize
Arrange the pages into the required order.
Step 3 — Clean up
Rotate incorrectly scanned pages and remove unnecessary pages.
Step 4 — Annotate
Add any required text, highlights, or other annotations.
Step 5 — Sign
Place your signature where required.

Why I Built It
There are many specialized PDF utilities available online.
The problem is that real document workflows rarely involve just one operation.
You might need to merge files and then reorder pages.
Then you may need to sign the document.
Then add page numbers.
Then reduce the file size.
Instead of treating each operation as a completely separate task, the idea behind the Universal Document Preparation Studio is to provide one workspace for the entire preparation stage.
