In today’s fast-paced world of product sales, every order is more than just a transaction, it’s a story of trust, precision, and compliance. Behind the scenes of each successful deal lies a critical process that ensures everything runs seamlessly: the audit process.

As an audit team lead, I’m at the core of this operation, where numbers meet integrity and systems meet scrutiny. My role isn’t just about checking boxes; it’s about safeguarding the standards that keep our businesses credible and our customers confident.

I lead three specialized teams that form the backbone of this process:

  • Audit evaluation: This team makes sure every order meets compliance and accuracy benchmarks.
  • Audit return: When orders are returned for technical or other reasons, this team collaborates with both the representatives and the customer to address the issue and work towards saving the sale. It manages customer concerns, cancellation requests, and related work with transparency and efficiency.
  • Audit renewals: This team oversees continuity and adherence to policy for recurring engagements.

How I Start My Day: A Look into My Workflow

Every productive day begins with clarity, and for me, that clarity comes from data. I begin my workday by reviewing the Bold BI® dashboards of my teams. These dashboards provide a fast, comprehensive snapshot of overall performance and clearly highlight areas that require immediate attention. Starting my shift with this review helps me prioritize tasks effectively and ensure smooth coordination across teams throughout the day.

Along with the team's dashboards, I briefly review individual dashboards to track KPIs. This helps me understand overall progress at an individual level and identify whether any action or support is required. If I notice any concerns or deviations, I promptly reach out to the respective team members to ensure timely resolution and continuous alignment.

What Does Evaluation Really Mean?

In simple terms, evaluation is the process of reviewing and assessing something to determine its quality, accuracy, or compliance. In my world, that “something” is a sales order, a document that represents the sale of a product to a customer.

The Core of My Evaluation Process

Here’s a glimpse into what I look for when evaluating a sales order:

Accuracy of order details

Every order must be precise. I verify:

  • Product name and legal name of the company.
  • Quantities, quote line items, and unit prices.
  • Discounts and total amounts.
  • Customer contract signatory and subscription details.

Even a small mismatch can lead to big issues down the line.

Compliance with policies

Does the order follow internal company policies? Are there any deviations from standard procedures? I ensure that:

  • Discounts are appropriately set.
  • Orders placed go through the appropriate internal channels.
  • Terms and conditions are properly communicated.
  • Key subscription and usage considerations have been properly shared.

Financial integrity

I check that:

  • The numbers of end users and documents are correct and covered by customers’ current licenses.
  • Correct product SKUs are used.

It’s all about making sure the numbers add up and tell the right story.

Authorization and approval

No order should go through without the right approval. I validate:

  • Contract signatory details from the customer end.
  • Approval workflows for legal aspects.
  • That proper paths were followed for any special pricing or terms.

This is where experience and intuition come into play.

Documentation review

A well-documented order is important, especially for future reference. I ensure:

  • All supporting documents are attached (POs, invoices, delivery notes).
  • All evaluation details are mentioned.
  • Consistency across all records, making sure they follow the same standards.

Why It Matters

Evaluation is not limited to finding or reducing potential errors. We know our customers value timely, effective, and accurate delivery. For the company, it means reduced risk and better decision-making. For me, it’s the satisfaction of knowing that every order that passes through my hands is clean, clear, and compliant with policy. And each morning, I align my priorities using my dashboards to ensure clarity, direction, and impact for the teams I lead.
