Access Should Depend on More Than a Password

A password can tell you who someone claims to be.

It cannot always tell you where they are opening a file—or whether they are using a device your organization recognizes.

That matters when the information being shared is confidential.

A contract. A client document. An investor file. A private image. A sensitive message.

In these situations, identity is only one part of the access decision.

The safer question is:

Who is accessing this information, from where, and on which device?

Location and device are part of the security context

Traditional sharing often treats access as a simple yes-or-no decision. If someone has the link or the login, they can open the information.

But real-world work is more specific than that.

A company may want a document to be available only to an approved person, in an approved location, using an approved device. That creates a more complete boundary around sensitive information.

Vaultrix Workspace is built to support this kind of controlled collaboration.

Share with the right people in the right context

Location-based and device-based restrictions can help organizations make access more intentional.

For example:

  • A company may allow a sensitive file to be opened only within a defined region.
  • A project owner may restrict access to approved devices.
  • A legal team may want confidential documents reviewed only from trusted work equipment.
  • A business may limit where a private message or image can be opened.
  • A client workspace may require access from a known device instead of an unfamiliar one.

These controls do not replace trust. They give trust a safer structure.

Reduce access outside the intended environment

Information can become exposed when it is opened in an unexpected place or on an unmanaged device.

A shared document may be accessed from a public computer. A private message may be opened while someone is travelling. A confidential file may be viewed from a device that the organization cannot verify.

The issue is not always that the recipient is untrusted.

The issue is that the context has changed.

Location and device restrictions help organizations respond to that change by adding more context to the access decision.

Security should follow the information

Sensitive information does not become less sensitive because it moved from one screen to another.

That is why access controls should stay connected to the information itself—not only to the account that received it.

With the right restrictions in place, teams can think more carefully about:

  • Where confidential information is allowed to be opened
  • Which devices are appropriate for access
  • Whether the access context still matches the original purpose
  • What should happen when the location or device changes

This is a more practical approach than assuming that every access request is equally safe.

Built for modern collaboration

Teams today work across offices, homes, client sites, and different time zones. They use laptops, phones, tablets, and shared systems.

That flexibility is valuable—but it also makes context important.

A secure collaboration workspace should support the way people work without treating every location and every device as identical.

Location and device restrictions can be especially useful for:

  • Confidential client work
  • Legal and financial reviews
  • Investor and partner discussions
  • Internal company documents
  • Intellectual property
  • Private communication
  • Temporary project collaboration

Control after sharing

Sharing information does not have to mean giving up every boundary around it.

A stronger sharing model asks more than “Who can open this?”

It also asks:

  • Where should it be opened?
  • Which device should be trusted?
  • Does the current context match the purpose of sharing?
  • Can access be revoked when the situation changes?

That is the shift from basic file sharing to controlled access.

Vaultrix Workspace helps teams collaborate with a clearer view of the conditions around access.

Because security is not only about knowing who someone is.

It is also about understanding where they are—and what they are using.

Set the boundary. Share with confidence. Keep control after sharing.
