How to Prepare a Sheet Metal RFQ for Accurate Quoting

An RFQ does not need to be complicated. However, incomplete drawings, unclear material requirements, or missing quantity information can lead to repeated questions, delayed pricing, and quotations that are difficult to compare.
This guide explains what buyers and engineers should prepare before sending a custom sheet metal RFQ.

  1. Provide Clear Drawings The drawing is the starting point for any custom metal fabrication quotation. Whenever possible, provide a clear 2D PDF drawing together with a 3D file in a format your supplier can review. Your drawing should show the part geometry, critical dimensions, hole locations, bend information, and any features that affect manufacturing. If a dimension is especially important for assembly or function, make that clear rather than assuming every dimension has the same priority.

A 3D model can help a manufacturer understand the overall form of the part, while a 2D drawing is often necessary to communicate dimensions, notes, material requirements, and revision control

Before sending the RFQ, check that the latest revision is clearly identified. Old or conflicting drawings are a common source of avoidable mistakes

  1. Specify the Material Requirement
    Material selection affects cost, forming behavior, welding, surface finishing, corrosion resistance, weight, and the final appearance of a part.
    State the material grade or specification when it is known. Also include the required thickness, temper or condition if relevant, and whether substitutions need approval before they are considered.
    If the final application drives the material decision, describe that application. For example, a part intended for indoor equipment may have different requirements from a part used in an outdoor electrical enclosure. This context allows the supplier to ask better questions during the review stage.
    Do not assume that materials with similar names are automatically interchangeable. If a specific standard or customer requirement applies, include it in the RFQ.

  2. Describe Surface Finish and Cosmetic Requirements
    Surface finishing should be included at the quotation stage, not added after the part has already been priced.
    Specify the required finish, color reference, texture, masking areas, screen printing, labeling, or other cosmetic requirements. If the part has visible surfaces, identify which areas are customer-facing and which are internal.
    For powder-coated or painted parts, include the relevant color standard whenever possible. For printed markings, provide artwork and identify its position, orientation, and required durability.
    Clear finish requirements help avoid a situation where two quotations appear similar but are based on different assumptions.

  3. Include Quantity and Project Stage
    Quantity has a major effect on manufacturing planning and cost. State whether the request is for a prototype, a pilot batch, repeat production, or a larger production order.
    Include the quantity required for the current RFQ and, if available, your expected annual volume. A supplier may consider different process routes, tooling decisions, nesting strategies, or purchasing plans depending on the production stage.
    It is also helpful to state whether you need first articles, inspection samples, or a phased delivery schedule. This gives the manufacturer a clearer view of the project instead of treating every order as a one-time purchase.

Final RFQ Checklist
Before sending your next RFQ, confirm that you have included:

Current 2D drawings and, where available, 3D files

Material and thickness requirements

Surface finish and cosmetic notes

Required quantity and project stage

BOM information for assemblies

Quality, documentation, and packaging requirements

A clear contact person for technical questions

A complete RFQ does not remove every question from the manufacturing process. It gives both the buyer and the supplier a stronger starting point for an accurate, practical, and efficient quotation.
