What I Built

HisabPilot is an AI-powered document extraction and paperwork assistant built specifically for the 63+ million small businesses, freelancers, shopkeepers (kiranas), and independent accountants in India.

The Problem

Every month before the 20th (India's GSTR-3B tax filing deadline), freelancers and small business owners face a mountain of crumpled paper bills, digital PDFs, and WhatsApp photos:

  1. Manual Entry is Slow & Painful: Typing invoice numbers, 15-digit alphanumeric GSTINs, and line items into spreadsheets takes 8–15 hours every month.
  2. Costly Tax Discrepancies: If an invoice has an invalid GSTIN or confuses Intra-state tax (CGST + SGST) with Inter-state tax (IGST), the business risks losing its Input Tax Credit (ITC) or receiving a tax notice.
  3. Rounding & Handwritten Errors: Printed and handwritten bills frequently have discrepancies between itemized line items and the grand total.

The Solution

HisabPilot allows anyone to upload receipt images or PDFs, or capture photos using a phone camera, and automatically:

  • Extracts Vendor Name, Address, Supplier GSTIN, Buyer GSTIN, Invoice Number, Date, Due Date, Payment Mode, and Expense Category.
  • Extracts itemized Line Items with HSN codes, quantity, unit price, tax rate, and line totals.
  • Audits Financial Calculations: Verifies whether Subtotal + Taxes − Discounts approximately equals the Grand Total and flags discrepancies with color-coded severity.
  • Validates GST Rules: Checks whether intra-state or inter-state tax treatment appears consistent with supplier and buyer state codes.
  • One-Click Recalculation: Helps resolve rounding mismatches between line items and invoice totals.
  • Exports in Seconds: Generates formatted dual-sheet Excel (".xlsx") workbooks (Invoices Overview and Line Items Breakdown), CSV, JSON, and print-ready A4 audit vouchers.

HisabPilot is an AI-powered document extraction tool tailored for Indian freelancers, shopkeepers, small businesses, and accountants. It parses GST tax invoices, retail receipts, bills of supply, and cash memos in JPG, JPEG, PNG, and PDF formats—or captures them live via a mobile device camera.

  1. Multimodal Document Extraction via Google Gemini

    • Extracts Vendor Name, Vendor Address, Supplier GSTIN (15 characters), Customer Name, Customer GSTIN, Invoice Number, Invoice Date, Due Date, Payment Mode, and Expense Category.
    • Extracts itemized Line Items: Description, HSN/SAC Code, Quantity, Unit Rate, Discounts, Tax Rate %, Tax Amount, and Line Totals.
    • Uses official @google/genai TypeScript SDK on the server side (gemini-3.8-flash or gemini-3.1-flash-lite).

Tech Stack

  • Validation: Zod schema validation and custom Indian GSTIN format validation
  • Spreadsheet Generation: "xlsx" (SheetJS) for formatted multi-sheet Excel generation

How I Built It

  1. Server-Side Gemini Vision Engine

HisabPilot uses the official "@google/genai" TypeScript SDK on the backend ("server.ts"). Uploaded documents (JPG, PNG, and PDF) are processed using multimodal AI:

  • Configures a low temperature ("0.1") and a structured response schema for consistent JSON output.
  • Supports images and multi-page PDFs without intentionally saving uploaded files to persistent server storage.
  • Handles API quotas, rate limits, and content-safety restrictions with user-friendly retry guidance.
  1. Indian GST & Financial Auditing Engine

Rather than blindly trusting AI-generated text, HisabPilot passes extracted data through an automated financial auditing module ("src/lib/invoice-validation.ts"):

  • GSTIN Structural Validation: Checks the 15-character Indian GSTIN format, including the state code, PAN-based identifier, entity number, default "Z" character, and checksum structure.
  • Intra-state vs. Inter-state Logic: Compares supplier and buyer GSTIN state codes. When the states match, it checks whether CGST and SGST are applied consistently and flags potentially incorrect IGST treatment. When the states differ, it checks for potentially expected IGST treatment, subject to applicable GST rules.
  • Mathematical Consistency Check: Recalculates line-item totals and checks whether Subtotal + Taxes − Discounts matches the Grand Total. A mismatch greater than ₹2.00 triggers a Review Required alert.
  1. Side-by-Side Review Workspace

Users can inspect the original document on one side, with zoom, pan, and rotate controls, while reviewing and editing vendor details, GST numbers, tax figures, and tabular line items on the other.

  1. Privacy-Focused Document Processing

Financial documents may contain sensitive trade prices and vendor information. HisabPilot is designed to process uploaded documents in temporary server memory rather than intentionally persisting the original files. Extracted invoice records are stored in the user's browser "localStorage", supporting offline search, category filtering, and export.

Users should still review the application's hosting configuration, browser storage, and third-party AI provider policies before uploading confidential financial documents.

Why Does Open Innovation Matter?

Small-business accounting depends on trust and data privacy. Shopkeepers, freelancers, and independent accountants need tools that reduce paperwork without making their financial records difficult to access or export.

Open innovation matters here because:

  1. Verifiable Architecture: An open-source codebase allows developers to inspect how document processing and storage are implemented.
  2. Reduced Vendor Lock-in: Modular TypeScript schemas and export formats such as Excel, CSV, and JSON help users retain control over their records.
  3. Accessibility: Integrating eligible Google Gemini API models can help developers build useful tools for small businesses while managing costs within available API quotas and pricing limits.

This application was developed using AI Studio Build and agent-assisted workflows to support full-stack TypeScript scaffolding, backend Gemini integration, Zod schema design, and Indian GST tax-reconciliation logic.
