Here is the exact step-by-step process to set up single or multiple custom email addresses in under 10 minutes.

📋 Prerequisites

• A domain name from any registrar (Namecheap, GoDaddy, Hostinger, etc.)
• A free Cloudflare account
• A regular personal Gmail account
• A Google App Password (requires 2-Step Verification turned on)

Step 0: Point Your Registrar’s Nameservers to Cloudflare

Domain already on Cloudflare? Skip to Step 1.

1. Sign into your Cloudflare dashboard. Add your domain : Look for the Add a Site (or Add Domain) button, usually found near the top right or within your account overview. Enter your name: Type in your actual domain name (e.g., yourwebsite.com). Choose the plan: Scroll down and select the Free Plan , then click continue.
2. Cloudflare will scan your DNS and give you two nameservers (e.g., dash.ns.cloudflare.com and sam.ns.cloudflare.com). Copy both.
3. In your registrar (e.g., Namecheap ): Go to Domain List → Manage ** → *Nameservers * → Switch from BasicDNS to **Custom DNS → Paste the two Cloudflare nameservers → Save.

1. Back in Cloudflare, click Check Nameservers. (DNS propagation can take a few minutes to a couple of hours).

Step 1: Enable Cloudflare Email Routing (Inbound)

1. In Cloudflare, select your domain and go to Email → Email Routing in the left sidebar.
2. Go to Settings tab.
3. Cloudflare will auto-generate the necessary MX and SPF records. Click Lock records.

For each rule:

1. Click Create address.
2. Enter only the local part (e.g., hello, support, or info).
3. Select Send to an email and choose your verified Gmail destination.
4. Save the rule and repeat for any additional addresses. Multiple custom addresses can point to the same Gmail inbox.

C. Organize incoming messages in Gmail

Because all messages arrive in the same Gmail inbox, create filters to separate them:

1. In Gmail, click the search options icon in the search bar.
2. In the To field, enter [e-mail].
3. Click Create filter.
4. Check Apply the label and create a label like Support (and optionally check Skip the Inbox or Star it).
5. Repeat for [e-mail] and other addresses.

At this point, your inbox looks like a legitimate business and can receive mail for multiple addresses, but you still send from @gmail.com. Next, we fix sending.

Step 4: Set Up “Send Mail As” in Gmail (Outbound)

To send or reply as [e-mail] or [e-mail], you must configure Gmail’s SMTP settings.

A. Generate a Google App Password

1. Go to your Google Account (myaccount.google.com) and make sure 2-Step Verification is turned ON.
2. Search for App passwords in the top search bar.

1. Create a new app password (name it “Cloudflare Custom Mail”) and copy the generated 16-character code.

B. Add Each Custom Address to Gmail

1. Open Gmail → Click the gear icon (Settings) → See all settings.
2. Go to the Accounts and Import tab.
3. Under Send mail as, click Add another email address.
4. Enter your name and [e-mail]. Uncheck Treat as an alias for cleaner separation.

• SMTP Server: smtp.gmail.com
• Port: 587
• Username: Your full Gmail address ([e-mail])
• Password: The 16-character App Password from Step 4A
• Secured connection: TLS

1. Click Add Account. Gmail will send a confirmation code to [e-mail]—since forwarding is already live, it will land right in your inbox! Enter the code to verify.
2. Repeat this process for every custom address ([e-mail], [e-mail], etc.) using the exact same SMTP settings and App Password.

C. Make Replies Use the Correct Address

To ensure you automatically reply from the address the sender emailed:

1. Go to Gmail Settings → Accounts and Import.
2. Find Send mail as → When replying to a message.
3. Select “Reply from the same address to which the message was sent”. Now, when composing or replying, you can also manually select the desired sender from the From dropdown.

Step 5: SPF Configuration for Better Deliverability

To avoid going to spam, merge Cloudflare and Google into a single SPF record on your root domain:

1. Go to Cloudflare → DNS → Records for your domain.
2. Locate the existing TXT record for SPF (or create one with Name @).
3. Set the single TXT record value to: v=spf1 include:_spf.mx.cloudflare.net include:_spf.google.com ~all

(Note: Do not create multiple SPF records at @. Merge them into one record as shown above. If Cloudflare auto-generated a separate record at cf-bounce.yourdomain.com, leave that unchanged).

⚠️ Important Limitation to Keep in Mind

This setup gives you multiple aliases, not completely separate mailboxes:

• Mail sent to [e-mail] and [e-mail] arrives in the same Gmail inbox.
• You can send or reply as either address after adding both to Gmail.

If you need completely isolated inboxes for team members, route each Cloudflare address to a separate Gmail account and configure “Send mail as” inside each respective account.
