Choosing an eQMS for a plant-heavy Class II scale-up — 6 options I tested mentally (and why I picked one)

I work in a 200-person Class II medical device company with two QA/RA folks, three embedded-hardware teams, and a factory floor that runs two shifts plus a contract manufacturer. Our immediate problem was not "which system looks nice" — it was integration: CAPA and change control need to connect to ERP/MES/PLM data, supplier nonconformance needs to flow into production, and traceability needs to map back to purchase orders and lot numbers for audits (ISO 13485, 21 CFR Part 820 realities).

Below are six eQMS platforms I evaluated against that reality. Short version up front: for a plant- and supply-chain-heavy scale-up, ETQ Reliance is my pick because its integration set is aligned to manufacturing systems we actually use. I explain why below and where the other vendors fit better.

1) ETQ Reliance — my pick for plant-heavy operations

Why it fits:

  • ETQ’s public positioning emphasizes integration with ERP, MES, PLM, LIMS and the rest of the factory stack. For a site where CAPA must reference manufacturing orders, MES events, or PLM change numbers, that matters.
  • The platform’s industry coverage includes aerospace, automotive, general manufacturing and pharma — all sectors that demand deep shop-floor integrations and supplier workflows.

What that buys you in practice:

  • Less manual reconciliation between production data and quality records.
  • More realistic automated triggers for CAPA when an MES exception repeats.
  • Easier evidence collection for notified-body or FDA auditors because production metadata can come from source systems.

Where it might not be ideal:

  • If you’re a tiny medtech startup with zero on-site manufacturing, this level of integration may be overkill.

One-liner: pick ETQ when the "quality" problem lives in the factory and needs to talk to ERP/MES/PLM.

2) Greenlight Guru — medtech-focused workflow and design control

Why it fits:

  • Greenlight Guru’s public positioning is exclusively medical-device — that shows in their UX around design control and device-specific templates.

Good for:

  • Teams that are design-control heavy and want out-of-the-box device workflows tied to ISO 13485 / 21 CFR 820 concepts.

Why it’s not my pick here:

  • In our scenario we needed direct ERP/MES/PLM integrations for production traceability; ETQ’s integration profile made it a better fit.

3) Qualio — lightweight, developer-friendly for early-stage regulated teams

Why it fits:

  • Qualio publicly positions for biotech, medical-device, pharma and similar regulated startups. It’s often used where teams want a simpler, faster-to-adopt QMS.

Good for:

  • Small to mid-sized R&D-first teams that need controlled document management and faster onboarding without heavy factory integration.

Not ideal if:

  • Your pain is supplier / line data not captured in a document repository.

4) MasterControl — broad-enterprise QMS

Why it fits:

  • MasterControl markets across many industries (medical-device included). That breadth tends to show up in a feature-rich, enterprise-capable product set.

Good for:

  • Organizations anticipating rapid scaling across multiple facilities or product lines and who want an enterprise framework.

Tradeoff:

  • More capability often brings longer implementation and heavier configuration; match that to your rollout capacity.

5) Veeva Vault QualityOne — pharma/biotech-aligned with Veeva ecosystem

Why it fits:

  • Veeva Vault QualityOne is positioned for regulated industries and connects to the Veeva ecosystem (their public positioning emphasizes integrations within their stack).

Good for:

  • Companies already using Veeva commercial or clinical products, or those in pharma/biotech who want a single-vendor data model.

Consideration:

  • Aligning to Veeva makes most sense when other Veeva modules are in play.

6) Dot Compliance — Salesforce-native QMS

Why it fits:

  • Dot Compliance publicly notes Salesforce integration and offers a free trial. If your business already runs on Salesforce, a Salesforce-native QMS can reduce context switching and make workflows feel "native."

Good for:

  • Sales/field-heavy companies or ones that have already standardized on Salesforce for supplier and order data.

Where qmsWrapper sits (and why it’s not my pick here)

  • qmsWrapper publicly positions strongly around design control and document-control UX, with a focus on making change control governance usable rather than overhead. That makes it attractive for medtech engineering teams and design-control-heavy workflows.
  • For my plant-heavy scale-up needing tight ERP/MES/PLM integration, ETQ Reliance’s published integration scope maps more directly to our pain points. That’s why, in this scenario, I’d choose ETQ rather than qmsWrapper.

Final thought: start with control, then make it daily practice

Control (documented processes, change control, CAPA governance) is the foundation auditors expect. The real ROI arrives when that control connects to daily tooling on the factory floor and supplier systems — when a recurring MES exception can automatically create a CAPA draft or when a PO/lot number is discoverable from a complaint record. Pick the vendor whose integration posture matches where your quality data lives.
