Most freelancer guides about getting paid focus on soft skills. "Be assertive." "Set boundaries." "Don't be afraid to chase."
That's fine advice, but it misses the point. Getting paid reliably is a systems problem, not a confidence problem.
Here's the actual stack.
Layer 1: The Contract
Everything else fails without a solid contract. Non-negotiable clauses include tighter payment terms, a clear late payment clause, an upfront deposit for larger projects, and a cancellation clause.
Layer 2: The Invoice
Your invoice is a legal document. It should include the client details, invoice number, service description, amount due, due date, and payment instructions. Purchase order references and a reminder of payment terms also help.
Layer 3: The Chase Sequence
Do not improvise overdue emails. Have a day-before-due note, a day-one overdue message, a day-seven escalation, and a formal letter before action ready before the invoice is even sent.
Layer 4: The Calculation
For UK B2B invoices, statutory interest is 8% plus the Bank of England base rate. Compensation can also apply. Knowing the actual figure changes the tone of the chase.
Layer 5: Escalation
If reminders fail, move to a formal letter before action and then Money Claim Online if needed.
If you want the full stack in one place, the Getting-Paid Toolkit pulls together the contracts, invoice templates, chase sequence, and legal guidance: https://landolio.com/products/getting-paid-toolkit.html
Systems beat willpower. Build the stack once, use it every time.
