Build an invoice-extraction pilot that cannot write to the accounting ledger

A small-business team wants less manual entry. Connecting an extractor directly to the ledger turns an extraction experiment into an operational decision. Start with a separate review table instead.

  1. Supply text before extraction. A text PDF and a scan require different upstream steps; a scan needs OCR. n8n’s Information Extractor accepts text and a schema.
  2. Define explicit fields: vendor, invoice reference, subtotal, tax and total. Retain the source document reference so a reviewer can compare the values.
  3. Route extracted values to a draft table. In this pilot, do not connect a ledger-write node or payment trigger. Mark every record PENDING_REVIEW.
  4. Record checks separately: vendor match, amount review, and comparison with purchase orders, receipts and prior invoice records. An extracted field or matching invoice reference is not itself a payment approval.
  5. Measure the whole workflow: entry time, review time, correction time and recurring tool cost. Track missing fields and errors rather than silently guessing values.

The accompanying checklist is a proposed design, not a tested production integration. Use synthetic examples during setup and keep real invoice data inside your approved systems. No performance or cash-saving claim is made here.
