Silent clients are normal. Most freelancers lose deals in the follow-up, not the pitch.
I treat WhatsApp like a light CRM: three short messages, then a clean exit. No guilt. No daily pings.
The 3-touch WhatsApp sequence
Day 3 — value nudge (not “just checking in”)
Hi [Name] — circling back on the [project] note I sent. One idea that might help while you decide: [one specific tip tied to their problem]. Happy to adjust scope if timing is the blocker. Want me to send a smaller option?
Day 7 — binary choice
Quick one: should I (A) hold the quote as-is, (B) send a lighter package, or (C) close the loop for now? Reply with A/B/C — either way is fine.
Day 14 — warm breakup
I’ll assume now isnt the right time and archive this. If [problem] comes back up, reply anytime and Ill reopen with fresh dates. Appreciate the chat.
Rules that keep it professional
- One channel primary WhatsApp or email as the main thread; the other is a mirror, not a second nag.
- Never invent urgency — fake deadlines destroy trust.
- Offer a smaller scope, not a random discount, when they go quiet after price.
- Stop after three touches — chasing past day 14 trains them to ignore you.
If they reply late
Don’t restart the full pitch. Reply with:
Glad youre back timeline shifted on my side too. Confirm whether [outcome] is still the goal this month, and I’ll send an updated start date + quote.
Useful AI assist (optional)
Before you send, paste their last message + your packages into ChatGPT and ask for a calm, under-90-word WhatsApp follow-up that offers a smaller scope and a clear A/B/C choice. Edit 20% so it sounds like you.
I keep a free pack of 10 freelancer ChatGPT templates (discovery-call agenda, follow-ups, pricing replies) here if useful:
