Hacktoberfest Open-Source AI Challenge Week 2: Side Hustle Submission

Hacktoberfest Open-Source AI Challenge Week 2: Side Hustle Submission 💸

What I Built
VaultNote AI is an offline-first, privacy-focused client consultation and knowledge automation tool built for freelance lawyers, tax advisors, and independent strategy consultants.

Independent professionals spend hours converting client meeting recordings and consultation notes into actionable deliverables, liability summaries, and line-item invoices. However, sending sensitive client financial data, proprietary contract terms, or privileged legal disclosures to third-party cloud AI APIs violates strict non-disclosure agreements and privacy regulations.

VaultNote AI solves this dilemma by running completely on the professional's local hardware. It captures live consultation audio,Indexes local client files, detects contractual risks, synthesizes action items, and auto-generates billing summaries without a single byte of client data ever leaving the user's laptop.

How I Built It
VaultNote AI relies entirely on an open-source AI architecture configured for 100% local execution:

Open-Weight Models & Local Inference: Powered by quantized Llama 3.1 8B Instruct and Qwen2.5 7B running locally via Ollama, ensuring zero external API dependencies and zero per-token operational costs.

Audio Capture Framework: Integrated Omi open audio hardware/software protocols to record ambient audio during client calls, performing real-time speech-to-text chunking locally.

Vector Database: Utilized an embedded, local Qdrant instance running via Docker. Qdrant handles dense vector storage, payload filtering by client_id, and hybrid semantic search across historical transcripts and client uploads.

Agent Harness: Built on the Lyzr Agent Framework, configuring a team of three specialized local agents:

Ingestion & Transcript Agent: Formats and cleans raw Omi audio streams.

Risk & Compliance Agent: Evaluates client discussion points against local document knowledge in Qdrant to flag liabilities.

Billing & Action Agent: Extracts billable tasks and constructs itemized, professional invoices.

Why Does Open Innovation Matter?
Open innovation is the core enabler of VaultNote AI. Using closed-source cloud APIs like OpenAI or Anthropic would introduce three critical failures for this target audience:

Legal Non-Compliance: Freelancers handling privileged client data cannot legally transmit unencrypted client disclosures to cloud servers. Open-weight models and local vector stores guarantee zero data leakage.

Predictable Unit Economics: Closed APIscharge per token, turning heavy transcript processing into a recurring cost that degrades profit margins for freelancers. Running open models locally reduces marginal execution costs to zero.

Model Customization & Sovereignty: Open frameworks allowed us to fine-tune system prompts, adjust vector quantization settings in Qdrant, and fine-tune small specialized open weights for precise JSON invoice generation without vendor lock-in or surprise API deprecation.

My First User
I tested VaultNote AI with a freelance tax and financial advisor who manages sensitive client accounting records. She used VaultNote AI during a 45-minute client intake session to transcribe the meeting, query her local Qdrant knowledge base for tax rule compliance, and extract structured billable tasks.

She highlighted that complete local execution gave her the confidence to process confidential tax documents without violating NDAs or GDPR/HIPAA boundaries. Based on her feedback, she requested an automated export directly into QuickBooks formats and stated she would gladly pay $35/month for a packaged, one-click desktop installer.
