Before buying another AI tool, diagnose one workflow first
Teams often start AI adoption by comparing models or buying another subscription. A safer starting point is narrower: choose one recurring workflow and decide whether it is worth changing at all.
Six questions worth answering first
- Frequency — How often does this workflow actually happen?
- Human time — Where is the repeated manual effort?
- Failure cost — What happens when the workflow is delayed or wrong?
- Decision load — Does it require judgment, or mostly repeatable handling?
- System boundary — Which tools, data and approvals are involved?
- Economic fit — Would reducing the friction create enough value to justify implementation?
The point is not to produce an impressive ROI number. It is to decide whether the workflow belongs in one of three buckets:
- Leave it alone — the economics or risk do not justify automation.
- Improve the process first — the workflow is too unclear to automate safely.
- Investigate automation — the repetition, cost and control requirements justify a deeper look.
A useful diagnostic should also be allowed to say “do not buy anything yet.”
