"I deleted the wrong file." "I saved over the final version." 😬
Every help desk hears this weekly. The good news: in Microsoft 365, that file is very often still recoverable. You just have to know where to look, and in what order. 🛟
🗑️ Step 1: Check the right Recycle Bin
There are two different bins, and people check the wrong one all the time.
- Local file (Desktop, Documents not synced to OneDrive): open the Windows Recycle Bin.
explorer shell:RecycleBinFolder
- OneDrive or SharePoint file: go to the OneDrive website (or the SharePoint site) and open Recycle bin in the left menu.
For work or school accounts, deleted items stay there for up to 93 days by default. Select the file and click Restore. ✅
🔍 Step 2: Check the second-stage Recycle bin
Did the user (or you) already empty the Recycle bin? Don't give up yet.
At the bottom of the OneDrive/SharePoint Recycle bin page, click Second-stage recycle bin. Items emptied from the first bin land here, and the 93-day clock still counts from the original delete.
Admins can also list and restore items with PnP PowerShell:
Connect-PnPOnline -Url "https://contoso.sharepoint.com/sites/Team" -Interactive
Get-PnPRecycleBinItem | Where-Object Title -like "*Budget*"
Then restore the right item with Restore-PnPRecycleBinItem. (Swap in your own site URL and file name.)
⏪ Step 3: Saved over it? Use Version history
The file isn't deleted, it's just wrong. This is where Version history shines.
- Right-click the file in OneDrive/SharePoint (or File Explorer for synced files).
- Choose Version history.
- Pick the version from before the mistake and click Restore.
No backup ticket, no waiting. 🙌
🚨 Bonus: The "everything is gone" button
Mass deletes, a bad sync, or files encrypted by malware? In OneDrive for work or school, Settings > Restore your OneDrive lets you roll the entire OneDrive back to any point in the last 30 days.
Use it carefully: it restores everything after that point, not just one file.
🧠 The habit to build
When someone says "it's gone," run this checklist in order:
- Which Recycle Bin? (local vs cloud)
- Second-stage bin
- Version history
- Restore your OneDrive
- Then escalate to backups
Most "lost forever" files come back in under five minutes. ⚡
