A Minimal Approval Queue for Customer-Facing AI Workflows

Here are human-in-the-loop AI workflow approval patterns that stay understandable for non-engineers.

States

drafted → needs_approval → approved | edited | rejected → sent / written

Plus paused for kill-switch.

Policy triggers → needs_approval

  • Currency / percent-off / "promise" / "guarantee" language
  • CRM fields marked money-sensitive
  • Model confidence below threshold
  • Outside messaging window without template

Operational requirements

  • Mobile-friendly queue
  • Backup approver
  • Audit log
  • Pause without dropping ingest

Many teams overbuild agents and underbuild the queue UI. If the approver cannot clear items on a phone in under a minute, they will bypass the gate.
