Enterprise AI programmes often begin with sensible advice:

  • Clean SharePoint.
  • Fix metadata.
  • Reduce oversharing.
  • Structure libraries.
  • Then introduce Copilot.

Necessary? Absolutely.

Sufficient? No.

A beautifully organised repository can still contain a beautifully organised contradiction:

  • an approved policy beside its superseded version
  • a draft beside the document that governs the decision
  • an ownerless site containing highly relevant content

That is the gap between information architecture and authority architecture.

Microsoft’s control stack makes this distinction increasingly visible.

Semantic indexing improves relevance while respecting access boundaries.

SharePoint Advanced Management adds assessment, Data Access Governance, Restricted Content Discovery, Restricted Access Control, access reviews, ownership, and lifecycle controls.

Microsoft Purview adds sensitivity, DLP, retention, records management, and disposition.

SharePoint can enforce approval states.

Copilot auditing can record interactions and resources used.

Microsoft Copilot Search can even curate “authoritative information” through bookmarks and acronyms — a useful reminder that:

Relevance and authority are not the same thing.

These are powerful governance primitives.

But the complete question remains:

Should this exact content be treated as authoritative for this decision, for this user, at this time?

That requires additional machine-readable signals:

  • ✓ approval state
  • ✓ accountable owner
  • ✓ effective / expiry date
  • ✓ supersedes / superseded-by
  • ✓ decision scope
  • ✓ intended audience

The R.A.H.S.I. Framework™

The R.A.H.S.I. Framework™ reduces the problem to four questions:

  1. Can AI find it?
  2. Can the user access it?
  3. Should AI rely on it?
  4. Can we prove why it was relied on?

Searchability is not authority.

Permission is not authority.

Enterprise AI needs information architecture.

It also needs Authority Architecture.

The next enterprise AI control layer may be the one that tells AI what is allowed to count as authoritative evidence.
