Helpdesk: "Alex's OneDrive cloud has been spinning on Processing changes since yesterday. Priya says one folder is Sync pending forever and nothing is uploading. Marcus wants us to reset OneDrive or unlink the PC right now so his Desktop will sync again. Can you just force a sync?"
Don't reset or unlink yet. OneDrive "stuck on Processing changes" is usually one broken layer in a documented client chain, not a missing Force Sync button: the status is normal work (open file, large upload, first sign-in after update) → Files On-Demand / local state is wrong or blocked (WIP, Cloud Files Filter) → a specific file or limit is holding the queue (PST/OST, invalid name, hidden/TMP, >300,000 items) → the account is paused, signed out, or needs a controlled reset. Microsoft's Processing changes, Sync pending, Files On-Demand, restrictions, pause/resume, reset, and unlink articles are the sources for that chain — not a tip that says "wipe the profile."
If the real problem is Intune Known Folder Move / silent sign-in (Desktop/Documents still local, Manage backup greyed out), start with Intune OneDrive Known Folder Move Not Working. If the device won't check in to Intune (Company Portal sync), use Company Portal Can't Connect / Device Not Syncing. If a file is gone from the cloud, use Restore a Deleted SharePoint Site, OneDrive, or File. This post covers "the OneDrive sync client stays on Processing changes or Sync pending — and you need a read-first path before reset."
TL;DR
- "Processing changes" is a status, not always a failure. Microsoft: it can mean an open OneDrive file, a large or many-file upload, a fresh sign-in / OS update, or hidden/temp blockers — and after some Mac OS updates it can run a long time with no action required.
- Read the activity center before you reset. Select the OneDrive cloud icon → see which files are syncing, failing, or recently synced. Pair that with File Explorer icons (blue cloud / white check / green always-available / red cross / paused).
-
Files On-Demand reduces local work; it does not turn processing off. Keep FOD enabled when possible (Microsoft ideal-state recommendation; default from OneDrive build 23.066). FOD is not supported with Windows Information Protection (WIP); Cloud Files Filter (
CldFlt) must be AUTO_START if the FOD toggle is missing. - Volume and file type matter. Microsoft recommends syncing no more than ~300,000 items across cloud storage for optimum performance; large ZIPs/videos and Outlook PST/OST in the sync root can keep Processing changes alive. TMP files do not sync and often show Sync pending.
-
Pause/resume is a light nudge; reset/unlink are heavier. Pause 2/8/24 hours then resume can clear a stuck Processing changes loop. Reset (
onedrive.exe /reset) disconnects sync connections but does not delete cloud or local files. Unlink/re-link is the next controlled step if reset is not enough. - KFM / SilentAccountConfig is a different ticket. Policy and silent sign-in belong in DEVTO_43 — link it; don't rebuild KFM from this post.
Where in the chain did it break?
| Step | What should be true | Typical symptom when it breaks |
|---|---|---|
| 1. Symptom captured | Processing changes vs Sync pending vs red error vs paused; who/when/device | "OneDrive broken" with no status string |
| 2. Account + health | Signed in; not paused; Service Health clean | Grey icon / yellow warning / metered pause |
| 3. Activity center read | Known file list vs empty queue vs open Office file | Reset requested before looking at the list |
| 4. Size / volume | No huge PST/ZIP stuck; item count sane | Processing 0KB of x MB for days |
| 5. Files On-Demand | FOD on (or policy intentional); WIP off; CldFlt OK | Toggle missing; everything forced local |
| 6. Names / blocks | Valid names; not admin-blocked type; no hidden TMP | Grey bar icon / Sync pending on empty folder |
| 7. Controlled recovery | Pause→resume tried; then reset; then unlink | Unlink first; folder selection forgotten |
| 8. Admin context | Sync health / KFM / bandwidth policies checked when fleet-wide | Treating one PC reset as the org fix |
Step 1: Capture the exact symptom (read-only)
Write four facts on the ticket before onedrive.exe /reset or Unlink this PC:
| Fact | Why it matters |
|---|---|
| Status string | Processing changes / Sync pending / Uploading / Paused / red cross / "You're not signed in" |
| Where | Taskbar cloud only, one File Explorer folder, whole library, or SharePoint shortcut |
| When | After large copy, Outlook move, Windows update, password change, KFM rollout, or "always" |
| Scope | One user / one PC / whole OU after a policy change |
Then compare:
- Select the OneDrive cloud in the notification area — what does the activity center list?
- In File Explorer, what icon is on the stuck file/folder (blue cloud, white check, green always-available, red cross, sync arrows)?
- Does onedrive.com (or the SharePoint library in the browser) already show the files? Client-only vs cloud-missing splits the ticket.
- Check Microsoft 365 Service Health for OneDrive / SharePoint before you blame the PC.
| Pattern | Likely layer |
|---|---|
| Processing changes after adding thousands of files or a huge video/ZIP | Volume / large file (Step 4) — often wait + bandwidth |
| One Office file open; status never clears | Open file (Step 3) |
| Folder Sync pending; no visible file | Hidden / TMP (Step 6) |
| Grey cloud with line / "sign in" | Account (Step 2) |
| Paused icon | Metered / battery saver / manual pause (Step 2) |
| Desktop/Documents still under local profile; KFM policy "Succeeded" | Wrong article — use DEVTO_43 |
| Company Portal / Intune check-in failing | Wrong product — use DEVTO_05 / 2ab7 |
Step 2: Confirm the client is allowed to sync (read-only)
Before you touch sync state:
- Signed in? Grey cloud with a line, or a yellow/brown warning on the icon, means account attention — password change, frozen account, or incomplete setup. Microsoft: if you changed your password, OneDrive may need you to sign in again.
- Paused? Paused symbol → Resume syncing. OneDrive can auto-pause on battery saver or a metered network unless admin policies disable that pause.
- Personal vs work/school. Confirm which cloud icon you are troubleshooting (white/personal vs blue/work). Pause and reset apply per app instance; people often reset the wrong one.
- Optional sign-in sidebar: codes like 0x8004de40 (and related proxy/auth failures) are sign-in, not Processing changes. Fix auth/proxy first; authenticated proxies are unsupported for OneDrive. Do not treat 0x8004de40 as a Files On-Demand bug.
# Read-only: is OneDrive running for this user? (local helpdesk machine)
Get-Process OneDrive -ErrorAction SilentlyContinue |
Select-Object Id, Path, StartTime
# Read-only: Files On-Demand policy key if present (HKLM)
Get-ItemProperty -Path 'HKLM:\SOFTWARE\Policies\Microsoft\OneDrive' -ErrorAction SilentlyContinue |
Select-Object FilesOnDemandEnabled, SilentAccountConfig, EnableSyncAdminReports,
MinDiskSpaceLimitInMB, WarningMinDiskSpaceLimitInMB
Step 3: Read the activity center and open-file layer (read-only)
Microsoft's Processing changes article lists open OneDrive files as a primary cause. Close the file when editing is done — especially Office files that keep a lock while the client tries to upload.
Also open the cloud icon and scan:
| What you see | Meaning |
|---|---|
| Named file uploading slowly | Likely size/network — Step 4 |
| Empty / unknown progress | Check hidden files and TMP — Step 6 |
| Red X on a path | Hard sync error — open the error, don't reset yet |
| Sync arrows forever after OS update | Can be normal re-enumeration (esp. some Mac updates) |
Sync pending vs Processing changes: Sync pending on a folder with nothing visible usually means a hidden or temporary file. Enable View → Hidden items in File Explorer. Empty folders may show Sync pending until they contain a file — Microsoft documents that quirk.
Step 4: Large files, Outlook data, and item volume (read-only → careful move)
| Problem (Microsoft) | Prefer |
|---|---|
| Very large ZIP / long video / Outlook PST or OST inside the sync root | Move email data files out of OneDrive, or stop syncing that folder |
aria-debug OneDrive logs |
Safe to delete |
| Lots of new files / slow link | Wait; run a speed test; pause/resume (Step 7) |
| Status like Processing 0KB of x MB / huge Contains count | Reduce item count; stop unnecessary SharePoint library syncs / shortcuts |
Microsoft guidance for optimum performance: sync no more than a total of about 300,000 items across cloud storage. Performance issues can appear above that even if not everything is syncing locally. A public preview raises support toward 1,000,000 items on qualifying Windows devices — treat that as preview capacity, not a promise for every PC.
Files On-Demand tip from Microsoft: you cannot remove Outlook data files/folders from sync the same way when FOD needs local access — Outlook must reach the files on the PC. Prefer moving PST/OST outside the OneDrive folder rather than fighting FOD.
# Rough local inventory hint (user profile OneDrive folder — adjust path)
$od = Join-Path $env:USERPROFILE 'OneDrive*'
Get-ChildItem $od -Directory -ErrorAction SilentlyContinue |
ForEach-Object {
$files = Get-ChildItem $_.FullName -Recurse -File -ErrorAction SilentlyContinue
[pscustomobject]@{
Path = $_.FullName
ApproxFiles = ($files | Measure-Object).Count
LargeOver1GB = ($files | Where-Object Length -gt 1GB | Measure-Object).Count
PstOst = ($files | Where-Object Extension -match '\.(pst|ost)$' | Measure-Object).Count
}
}
Hedge: that inventory is a local hint only — shortcuts and multiple work accounts change the real cloud item count. Prefer OneDrive web / admin sync health when the fleet is large.
Step 5: Files On-Demand and the sync engine (read-only → policy)
Microsoft's ideal-state configuration: keep Files On-Demand enabled. From OneDrive build 23.066, FOD is enabled by default for users. End-user path (when policy allows):
- OneDrive cloud → Help & Settings → Settings
- Sync and back up → expand Advanced settings
- Turn on Files On-Demand (or use Free up disk space / Download all files if the UI has already moved to the newer two-button model)
| State | Explorer cue | Meaning |
|---|---|---|
| Online-only | Blue cloud | Not on disk until opened |
| Locally available | White check in circle | Downloaded; can Free up space |
| Always available | Green circle / white check | Pinned; stays offline |
Admin policy FilesOnDemandEnabled (GPO/Intune): enable to force FOD on; disable to block FOD (users get legacy full-download behavior). If users meet Windows/OneDrive requirements but cannot see FOD options:
- WIP / enterprise data protection — Microsoft: FOD is not yet supported when WIP is enabled.
- Ensure service Windows Cloud Files Filter Driver (
CldFlt) start type is 2 (AUTO_START) — Learn documents setting[HKLM\SYSTEM\CurrentControlSet\Services\CldFlt] Start = 2.
Scriptable FOD states (admin/helpdesk tooling):
# Examples from Microsoft Learn (attrib) — run in the user context on the problem PC
# Online-only (unpinned): attrib +u "C:\Users\alex\OneDrive - Contoso\Reports"
# Always available (pinned): attrib +p "C:\Users\alex\OneDrive - Contoso\Reports\keep.docx"
# Clear pin: attrib -p "C:\Users\alex\OneDrive - Contoso\Reports\keep.docx"
FOD does not disable Processing changes; it reduces how much must be fully present locally. Saying "turn on FOD to stop processing" is a myth — Microsoft Q&A and Support treat FOD as load reduction, not a kill switch.
Step 6: Restrictions, ignore lists, and Sync pending blockers (read-only → rename/move)
Before reset, check Microsoft's restrictions list for anything that permanently stalls a path:
| Blocker | What to do |
|---|---|
| Invalid characters `" * : < > ? / \ | ` and leading/trailing spaces |
Names like desktop.ini, ~$…, _vti_, device names (CON, PRN, …) |
Rename / don't sync |
| TMP files | Do not sync; rename extension, move out, or delete when unused |
| Hidden files holding Sync pending | Show Hidden items; move/delete blocker; or copy to new folder and remove the stuck folder |
| Admin-blocked types (grey bar icon on work/school) | Move type out (common: Outlook data) or change tenant block list deliberately |
| Path length / 250 GB per-file sync limit | Shorten path; split oversized content |
| Network / mapped drive as sync root; symlinks / junctions | Unsupported — relocate sync root |
Ignore-list policies (EnableODIgnoreListFromGPO, default ignore list) can leave files local with an Excluded from sync icon and no error — that looks like "stuck" to users who expected upload. Restart OneDrive after ignore-list policy changes (Microsoft).
Step 7: Controlled recovery — pause, reset, then unlink (change one layer)
Only after Steps 1–6 point at client state rather than a single bad file:
7a. Pause and resume (light)
Microsoft: pausing and resuming can help when status shows Processing changes for a long time.
- Right-click the OneDrive icon → Pause syncing → 2, 8, or 24 hours
- Confirm the icon shows Paused
- Resume syncing manually (or wait for the timer)
7b. Reset OneDrive (medium)
Microsoft: reset resolves some sync issues and resets OneDrive settings; it disconnects all sync connections (personal and work/school) but does not delete your files/data. After reset, OneDrive performs a full sync. Re-apply Choose folders if you had selective sync.
Windows (Support order):
-
Win+R→wsreset.exe→ OK (Store reset side-effect; continue if still broken) -
Win+R→%localappdata%\Microsoft\OneDrive\onedrive.exe /reset - Fallbacks:
C:\Program Files\Microsoft OneDrive\onedrive.exe /resetor the(x86)path - Start OneDrive from the Start menu and sign in again if prompted
# Prefer the Support Run dialog paths above in interactive helpdesk.
# If scripting a signed-in user session (example only):
# & "$env:LOCALAPPDATA\Microsoft\OneDrive\OneDrive.exe" /reset
7c. Unlink and re-link (heavier)
If Processing changes remains, Microsoft's Processing changes article points to Unlink and re-link. Unlinking does not delete cloud data; local folders disconnect briefly; changes made while unlinked sync after re-link. Prefer Use this folder when OneDrive detects the existing path so files are not re-downloaded unnecessarily. Clear PreSignInSettingsConfig.json under %localappdata%\Microsoft\OneDrive\settings only when Support's unlink doc calls for credential cleanup.
Do not jump to uninstall/reinstall until reset and unlink have failed — and never delete the user's OneDrive folder "to clear the cache" without a restore plan (DEVTO_24).
Step 8: Admin view — sync health, policies, and KFM handoff
When more than one PC shows the same stuck status after a rollout:
| Control | Why it matters |
|---|---|
OneDrive sync health dashboard (EnableSyncAdminReports) |
Per-device errors, app version, KFM progress; can take up to ~3 days after enable for devices to appear |
| Bandwidth / metered / battery policies | Upload limits and auto-pause change how long Processing changes lasts |
FilesOnDemandEnabled / disk-space thresholds |
Forced full download or blocked downloads under low disk |
| Known Folder Move + SilentAccountConfig | Wrong layer for this article — use DEVTO_43 |
| Ideal-state config | Prefer FOD on, Production/Insiders rings, WNS connectivity, Office differential sync |
Fleet symptom with healthy individual activity centers often means network path (WNS, oneclient.sfx.ms, g.live.com) or ring/version skew — not "everyone needs /reset."
Step 9: Change one thing (only after the read)
After the activity center, FOD, and volume checks agree on the layer:
- Close the open file or move the PST/large ZIP or fix the invalid name — one change.
- Pause → resume once.
- Re-check the cloud icon and onedrive.com.
- Only then reset; only then unlink/re-link.
- Re-select folders to sync if selective sync was in use.
- If Desktop/Documents still refuse KFM, stop and open the KFM triage instead of looping resets.
When a change is justified
| Finding | Prefer | Avoid |
|---|---|---|
| Open Office file holding Processing changes | Close file; wait for upload | Reset |
| PST/OST / huge media in sync root | Move out of OneDrive | Uninstall OneDrive |
| >~300k items / Processing 0KB of x MB | Reduce libraries/shortcuts; FOD; pause/resume | Blind reset every morning |
| FOD toggle missing + WIP | Treat WIP limitation; don't chase attrib | Disable security to "get FOD" without review |
| Hidden/TMP Sync pending | Show hidden; rename/move TMP | Delete whole tree |
| Stuck after Steps 3–6 clean | Pause/resume → reset → unlink | Profile wipe |
| KFM / silent sign-in failure | DEVTO_43 | Rewriting KFM policy from this post |
| Intune device not checking in | Company Portal triage | Resetting OneDrive for MDM |
| File missing in cloud | Restore deleted ODSP | Client reset |
FAQ
Why is OneDrive stuck on Processing changes?
In order of how often helpdesk sees it: an open file in the sync tree; a large file or many files still uploading; a fresh sign-in or Windows/macOS update re-walking the tree; hidden/TMP blockers; or account paused/signed-out. Microsoft also notes long Processing changes can be normal after some Mac updates — wait before reset.
How do I force OneDrive to sync?
There is no separate "Force Sync Now" control in the modern client the way people expect. Practical Microsoft-backed nudges: resume if paused, pause then resume, fix the blocking file, then reset or unlink/re-link. Closing the open file often matters more than any command line.
Does Files On-Demand fix Processing changes?
It helps by keeping most content online-only, which lowers local disk and download work. It does not disable the Processing changes status. Keep FOD enabled when policy allows; do not expect the spinner to vanish solely because FOD is on.
Will reset or unlink delete my files?
Microsoft: resetting OneDrive does not delete your files or data — it disconnects sync connections and resets settings, then fully syncs again. Unlink/re-link also keeps cloud data; pick Use this folder when re-linking to an existing path. Still: do not manually delete the OneDrive directory as a "fix."
OneDrive Processing changes vs Intune Company Portal sync — which is it?
OneDrive Processing changes is the sync app moving files for OneDrive/SharePoint libraries. Company Portal / Intune sync is device management check-in. Use this post for the cloud icon; use the Company Portal triage when apps/profiles won't install or the device won't check in.
