Automating Lead Follow-Ups with Scheduled Workflows in a Local-First Desktop AI Agent

This post is from the aiFetchly team. aiFetchly is an open-source, local-first desktop AI agent for business automation.

The follow-up problem

Most leads don't go cold because the product is wrong — they go cold because nobody followed up in time. A prospect replies on Monday, the team means to answer on Tuesday, and by Friday the thread is buried. The same happens with customer emails: the first reply goes out, the customer asks a follow-up question, and the conversation stalls.

The fix isn't working harder. It's a workflow that checks on a schedule and does the routine parts for you.

What a scheduled workflow looks like

In aiFetchly, a scheduled workflow runs on your own machine at times you choose. A typical follow-up workflow has three steps:

  1. Check on a schedule — every morning, the agent looks at your inbox and your lead list for threads that are waiting for a reply or have gone quiet for a set number of days.
  2. Draft from local business knowledge — for each thread, it drafts a reply using your local knowledge base: past emails, product notes, pricing and FAQs stored on your own computer. Nothing is uploaded to a cloud service to do this.
  3. Send on plan, with a human in the loop — drafts are prepared for review, and sending follows the schedule you set — for example, a first nudge after two days of silence, a second one a week later, and no more after that.

Why local-first matters here

Follow-up emails are exactly where a generic AI goes wrong: it invents a price, a delivery date, or a promise your team never made. Because aiFetchly works from your own business knowledge stored locally, drafts stay grounded in facts your team actually wrote down. And because the agent runs on your desktop, customer emails and documents never have to leave your machine.

What you can automate next

The same pattern works beyond email: scheduled research briefs, document processing, and B2B lead extraction can all run on a schedule. Plugins extend the agent to your own mailbox, spreadsheets, and CRM.

aiFetchly's free Community edition is available now, and Plus starts at $10/month. You can download it at https://www.aifetchly.com.

What follow-up do you lose track of most often? I'd love to hear how your team handles it.
