The Problem Every Brokerage Knows
You spend money on portal listings. Leads come in. An agent picks up the inquiry over WhatsApp from their personal number. The prospect seems interested — the agent shows a property, sends photos, promises to follow up.
Then the agent gets busy. Or leaves for a competitor. Or just forgets. The lead — a genuine prospect who was ready to explore — never hears back. They buy somewhere else, or book a site visit with a rival who called them within the hour.
This is not unique. It happens at nearly every brokerage and developer sales team at a certain size, and it gets worse as the team grows, not better.
Here is what makes it hard to fix on personal WhatsApp:
The lead lives on one person's phone. The conversation belongs to that agent's device. The manager has no visibility. If the agent is on leave, the message sits unanswered. If the agent resigns, the contact walks out with them.
There is no follow-up discipline. WhatsApp has no task queues, overdue flags, or reminders. If an agent does not follow up within a day or two, the lead goes cold — and the platform will not surface the missed conversation.
Managers can see none of it. The team lead has no way to know how many open inquiries sit unanswered, or whether a hot lead from last Tuesday was followed up. They find out when the deal does not happen.
Numbers become personal assets, not company ones. Prospects save agent phone numbers; when that agent leaves, they take those relationships — and can prospect former leads at their new firm.
The solution is not to hire more disciplined agents. It is to change where conversations live.
What a 12-Agent Brokerage Looks Like Without This
Consider a brokerage with twelve agents covering a city. Most inquiries come through two or three portals and a few developer referrals, and each agent handles their own leads on personal WhatsApp.
At any moment there are thirty to fifty open conversations across the team. The manager knows about zero of them unless an agent mentions a deal. There is no shared view, no assignment log, no record of what was promised to whom. When a new agent joins, they inherit no existing conversations; when a senior agent leaves, the manager manually asks for numbers and introductions — a process that often gets skipped.
Response tracking is informal. "Did you follow up with that Malad inquiry?" gets asked in the team meeting, and the honest answer is often "I think so." Conversion is lower than it should be — not because the properties or pricing are wrong, but because a meaningful percentage of leads fall through the cracks between the portal and the site visit.
How Bow Chat Changes the Operating Model
Bow Chat is a shared WhatsApp inbox product built by Boni. The idea is simple: instead of every agent handling leads on their own phone, all conversations go through a shared workspace the whole team and management can see.
Connect a business WhatsApp number. The brokerage runs all lead conversations through a business number (or a few) connected to Bow Chat. Agents stop giving out personal numbers for new inquiries. Prospects message the business line; every conversation lands in the shared workspace.
Every agent gets their own login. Each person has a named login — they see conversations in the shared inbox, reply from the correct business number, and leave notes. Management logs in and sees everything across the team.
Conversations are assigned, not assumed. A lead can be assigned to a specific agent, visible to everyone. The manager can see right now which agent owns which inquiry, the last message, and whether there has been a recent reply. An inquiry sitting without a response for a day is visible.
Labels keep the pipeline organised. Tag conversations — New Inquiry, Site Visit Scheduled, Offer Stage, Closed, Not Interested — and filter by them to see how many active leads are in each stage without asking anyone.
Notes stay with the conversation. After a call with a prospect, an agent logs a private note — budget range, preferred configuration, key objection, decision-makers. The next person who opens that conversation has the context.
When an agent leaves, nothing leaves with them. Because conversations happen through the business number and live in Bow Chat, they stay. A new agent opens the same conversation, reads the full history and notes, and picks up where things left off. The prospect's experience is seamless.
Contact Privacy: Protecting the Business's Leads
An agent handling leads on a personal number effectively has a copy of your prospect list — a risk for client privacy and competitively.
Bow Chat has a role-based contact privacy system: administrators control what each agent can see. You can set a role where agents handle conversations and reply without seeing the full contact record — no phone number, no personal email, just the name of who they are talking to. When an agent leaves, they are not walking out with a list to cold-call. Permissions are per role: seniors get full access, front-line agents can be restricted to name-only.
What You Can Assign, Label, and Track Today
- Shared inbox — multiple agents share one workspace; conversations from connected numbers (regular WhatsApp Web and official Business API) appear together; agents reply from the business number.
- Assignment — conversations assigned to specific agents, visible to management; reassignment is a single action.
- Labels — create and apply labels; filter for a quick pipeline view.
- Private notes — visible to the team, not the prospect; where call summaries and next steps live.
- Conversation history — the full thread stays in Bow Chat across handovers.
- Contact privacy — name-only or no-identity access, configurable per role.
- Campaigns — send approved WhatsApp templates to contact lists with delivery tracking, useful for re-engaging older leads or announcing a new phase.
What Is Still in Development
Bow Chat is an active product; some things are not fully built. Automated lead routing (auto-assigning inquiries round-robin) is not a current feature — assignment is manual today. Detailed per-agent response-time reporting exists in a more advanced panel layer but may not be on all plans. Direct CRM integration is not built-in (an API is available for custom integration). Automated follow-up sequences after a set interval are on the roadmap, not a self-serve feature yet. If any of these are critical, confirm before committing.
Who This Is For
Best for brokerage teams of five or more agents where leads are siloed across personal phones with no shared pipeline view; developer channel-partner desks managing high inquiry volume across projects; sales teams with agent churn where losing leads when someone leaves is recurring; and teams that want to protect their lead database from walking out the door. A solo agent or two-person shop may not need the overhead yet — but at five, twelve, or a thirty-person sales floor, the structural improvement is real.
How to Start
Connect one or more business WhatsApp numbers to Bow Chat, add your team with individual logins, and direct new inquiries to the business number. Existing personal-number chats will not auto-migrate, but from connection onward every new lead is shared, tracked, and owned by the business. Bow Chat is the product to start with if your real-estate team is ready to stop losing leads to personal phones.
