Pet Boarding Booking: Seasonal Demand, Size-Based Slots and Deposit Rules

Pet boarding booking is a kennel problem, not a calendar problem

Most kennel and pet-hostel owners publish one flat date picker and let people request any range. Two weeks into Diwali the same mistake costs the season: small enclosures sit empty while the large-breed runs are double-committed and someone is sleeping on a sofa with a Labrador. Pet boarding booking is inventory management on physical pens, and the pen — not the day — is the unit you actually sell. SWIQ runs booking for boarding kennels, grooming counters and pet hostels where a slot is an enclosure for a set number of nights plus the staff minutes to feed, walk and clean it.

SWIQ booking flow - book in three taps, real-time slot availability

Size and temperament buckets decide the slot, not the date

Start with a grid, not a price list. Rows are size buckets, columns are nights:

  • Small (under 10 kg): cages and compact runs.
  • Medium (10–25 kg): standard runs, the highest-turnover bucket.
  • Large (25–45 kg): fewer of them, and they block the peak for longer.
  • Giant (over 45 kg) and medical or isolation pens: always scarce.
  • Cat room, physically separate and dog-free. Always.

Then add the axis people forget: temperament. A kennel-reactive dog cannot sit beside a new intake regardless of size, and a puppy needing four walks a day is not the same product as a senior who sleeps. Publish only the grid as availability, never "we have space", and make the booking form capture weight, breed, age and a behaviour note — the form does the triage your front desk currently does on the phone at 9 pm.

Seasonality: three peaks and the long-stay mix that blocks them

Indian boarding demand has a shape. Summer, April to June, brings week-long family travel. Diwali and the Christmas–New Year stretch bring two- and three-night bursts. Wedding season leaves odd mid-week gaps. Long stays of seven nights or more earn the best revenue per pen, but they block exactly the nights everyone else wants.

A workable rule: hold back roughly 20% of pens for short two-to-three-night bookings until ten days out, then release them. Sell the whole grid to long stays in August and you will refuse forty short bookings in October — and those owners will not call next year.

Deposits, vaccination proof and the rules that protect a perishable pen

Cash up front is not greed; boarding is a perishable product. Once a pen is blocked for a date, an empty pen that night is unsellable. A deposit ladder that works in practice:

  • 30% non-refundable deposit to confirm, balance at drop-off.
  • Free cancellation up to 7 days before, deposit refunded less a ₹200 processing charge.
  • 50% of the booking value retained inside 7 days.
  • No refund within 48 hours on peak dates — the clause that stops the December no-show.

Vaccination belongs in the same place: anti-rabies plus a combination vaccine, valid within the last 12 months, uploaded 48 hours before drop-off. Checking it at the gate means turning away a pet whose owner has packed a bag and driven across the city.

Three edge cases sit inside these rules. Overstays get a two-hour grace period, then 1.5× the nightly rate, plus a system flag if the pen is already booked to someone else at 6 pm. Multi-pet households need one booking that reserves two correctly sized pens, or the grid double-counts. And a pet returning with gastrointestinal trouble or an infestation is isolated and logged, and the pen-neighbours are informed before they find out from their own dog.

Handover windows and the twenty-minute intake slot

Drop-off is not a handover, it is an intake: weigh-in, temperament note, feeding routine, medication, belongings, vaccination check. Budget 15–20 minutes per pet and cap it — five intakes per hour is a realistic ceiling for one front-desk person. The deeper ceiling is staff ratio: roughly one attendant per 15 pens on a normal day and 10 on a peak day, which is what the calendar should really be selling against. Offer fixed intake windows, 09:00–11:00 and 16:00–18:00, and the same at pickup. A digital token system at the gate turns the 5 pm queue of six cars into a number on a screen while staff finish the pet already on the table.

Daily photos, feeding logs and the WhatsApp loop

Boarding customers worry, and every worry becomes a phone call. A daily photo plus one line — "fed 8 am, playful, drinking well" — takes thirty seconds and is the cheapest retention tool you have. Around it, run confirmations on the channel people actually read: WhatsApp reminders for the intake slot, the vaccination deadline 48 hours ahead, the mid-stay status, and pickup day with your closing time on it. Most boarding complaints are communication failures, not care failures.

Copy-ready boarding policy block

Boarding booking and deposit policy

  • A 30% deposit confirms your booking; the balance is due at drop-off.
  • Free cancellation up to 7 days before drop-off (deposit refunded less ₹200 processing). Inside 7 days, 50% of the booking value is retained. Deposits are non-refundable within 48 hours on peak dates.
  • Anti-rabies and combination vaccination certificates, valid within the last 12 months, must be uploaded 48 hours before drop-off. Pets with lapsed vaccination cannot be boarded.
  • Intake slots are 20 minutes: weigh-in, temperament note, feeding routine and belongings.
  • One dog per pen, unless from the same household. Cats are boarded in a separate, dog-free room.
  • De-ticking at drop-off is mandatory; we cannot accept a pet with an active infestation.
  • Pick-up and drop-off during peak weeks are by appointment only.
  • You authorise emergency veterinary treatment up to ₹5,000; above that, we call you first.
  • Overstays are charged at 1.5× the nightly rate after a 2-hour grace period.

Where this leaves you

Treat pens as inventory, deposits as protection, intake as a booked slot and vaccination as a precondition, and most boarding-season problems disappear before they reach your gate. The rest is communication, which is nearly free. SWIQ handles the pen grid, deposits, intake tokens and WhatsApp reminders from one calendar — see it on a free demo to watch a size-based pen hold, a deposit and a daily photo loop behave together.
