PDFs are great at one thing: looking the same everywhere. That's also what makes them annoying. The moment you need to edit the text, pull a table into a spreadsheet, or drop a page into a slide, you're stuck.

I've put together a free set of PDF conversion tools that covers the common cases, and in this post I'll also explain why conversions sometimes go wrong, so you can pick the right tool the first time.

How it works

The workflow is the same for every tool:

  1. Choose the conversion you need
  2. Upload your file
  3. Configure any available options
  4. Convert and review the result, then save it

Picking the right conversion

Most PDF frustration comes from choosing the wrong kind of conversion. There are really four directions.

PDF → Image (JPG or PNG)

This renders each page visually. Use it for website previews, slides, social posts, or sharing a single page.

  • PNG uses lossless compression, so it's usually better for text, diagrams, and UI screenshots.
  • JPG uses lossy compression, so it's usually better for photo-heavy pages and smaller files.

PDF → Text or Markdown

This extracts the text instead of drawing the page. Use it for searching, editing, analysis, or reusing content. Markdown is handy if you're moving content into docs, notes, a README, or a static site.

PDF → Data (CSV or Excel)

This tries to pull tabular content into rows and columns. It works best on tables that are real structured data inside the PDF.

PDF → Office (Word or PowerPoint)

This tries to rebuild an editable document from the PDF. It's the hardest direction, and the next section explains why.

Why PDF conversions sometimes look wrong

A PDF doesn't store a document the way Word does. It stores positioned content on a page. There's often no real concept of "paragraph," "table," or "column" in the file.

So when you convert PDF → Word, the converter has to guess the relationships between text, fonts, images, and layout. A few things affect how well that goes:

  • Digitally created PDFs (exported from Word, Google Docs, etc.) usually convert more predictably.
  • Scanned PDFs are often just page images with no real text. You'll need OCR before you can extract editable text.
  • Complex layouts (multi-column pages, heavy graphics, unusual fonts) may need manual cleanup afterward.
  • Tables are tricky when a PDF stores them as loose positioned text, or as an image, instead of real rows and columns.

Rule of thumb: if you only need to look at a page, convert to an image. If you need the words, extract text. If you need to edit it, expect some cleanup.

  • Students: turn lecture slides or notes into formats that fit your study workflow
  • Office workers: send a Word, Excel, or PowerPoint file as a clean PDF, or pull data out of a PDF report
  • Developers: extract text or Markdown from PDFs for docs, testing, or content pipelines
  • Researchers: pull text or tables out of papers and reports for analysis
  • Content creators: convert PDFs to images for posts, or turn documents into shareable PDFs
  • Everyone else: skip installing a desktop app for a one-off conversion

Quick tips

  1. Start with the output. Decide whether you need an image, text, data, or an editable doc before you pick a tool.
  2. Check scanned PDFs first. If you can't select the text with your cursor, it's probably a scan and needs OCR.
  3. Review tables. Always glance over extracted CSV/Excel data before you rely on it.
  4. Keep the original. Conversion is never guaranteed to be perfect, so keep your source file.
  5. Note the limits. Individual tools may have their own file-size or page limits.
