How to Build a Searchable Meeting Knowledge Base from Transcripts

#ai

A meeting transcript is valuable only when people can find and use it later. Teams often record calls, generate transcripts, and then leave the text in an isolated folder. A lightweight knowledge-base workflow fixes that gap.

1. Capture the source and context

Record the meeting with permission and keep the date, project, participants, language, and source link beside the transcript. Context prevents a short excerpt from being mistaken for a complete decision.

2. Preserve timestamps and speakers

Speaker labels and timestamps make a transcript auditable. They also let a teammate jump directly to the moment behind a decision, objection, or commitment. Review names, numbers, and product terms before sharing the final note.

3. Turn the transcript into a decision record

A useful meeting note should separate the executive summary, decisions made, unresolved questions, risks, and action items. For each action, record an owner and deadline when the meeting provides one. Do not bury commitments inside a long paragraph.

4. Connect notes to the work system

Send the approved note to the tools where the team already works, such as Notion, Slack, Google Docs, a calendar, or email. Use predictable naming so future searches can find the original source and the follow-up together.

5. Add a verification layer

AI summaries can save time, but important claims still need human review. Source citations, transcript timestamps, and links to the original recording help a reviewer confirm what was actually said.
